1 Recreate your Newsletter Content and Layout within Informz (Workshop) Monica Capogna and Dan Reade Exercise: Creating two types of Story Layouts 1. Creating a basic story layout (with title and content) Go to Mailings>Story Layouts Click Create A create story layout pop up box will appear. Name your layout Main Story Article Last name. Choose the layout type mailing

2 Go to the table icon and insert a 2 x 1 table (one section for header, the other for content). Once you have created your table with header and content cells, you can add the text color, font, and size so your style will carry through to your mailing. First add the header formatting. Place your cursor in the first cell and click the Edit Table/Cell icon. Select edit cell. Under the properties tab click the text formatting button towards the bottom.

3 Make the header text Arial, size 14pt, and foreground color hex #76a642. Click ok to finish. It will bring you back to the cell properties window, click ok again. Then click within the same cell and type Title goes here. Notice how your text renders as the formatting you just applied. Next, place your cursor in the cell below (where you want your content to go) and repeat the steps above, selecting Arial, size 10, and make the color black. You can type content goes here for that area. Once you are done making changes, be sure to click save. 2. How to create a story layout with image and text: Go to Mailings>Story Layouts

4 Click Create. Name it Main Story Article w/ Images Last name. Go to the table icon and insert a 2 x 1 table (one section for header and the other for content). First add the header formatting. Place your cursor in the first cell and go to the Edit Table/Cell icon on your toolbar and click Edit Cell. Under the properties tab click the text formatting button towards the bottom.

5 Make the header text Arial, size 14pt, and the foreground color hex #76a642. Click ok to finish. It will bring you back out onto the properties tab, click ok. Then click within your cell and type Title goes here. Notice how your formatting is coming through. Next, place your cursor in the cell below (where you want your content to go) and repeat the steps above. For the content area make the text Arial, size 10, and the color black. Type content goes here in that cell. Enter your cursor at the beginning of the content goes here text and insert a 1x1 table. Place your cursor in the newly created table and insert your image via the Insert Image icon. Please choose the image labeled Institutes.jpg It s located in the images folder. Now that your image is inserted select the image and click on the Insert Image icon again. When the window opens look for the pixel width of the image.

6 Now insert your cursor in the table the image is in and choose Edit Table. Select the Fixed Table Width radio button and type in a width that is 5-10 pixels wider than the image. So for this example you ll want to choose 210 px.

7 Now select the Properties tab and choose the alignment you d like the table to have. If the text does not flow around your image after completing these steps you can go back and choose No from the Collapse menu. Now you ve successfully entered a story layout which incorporates an image with wrapped text.

8 Exercise: Using Story Layouts in your mailing Now that we have created our story layouts, let s insert the Main Story Article story layout into a mailing with actual content. Go to mailings>view> Improving your Newsletter Workshop folder Go to the mailing named MC User Conference Final Newsletter. Then click edit to go into the mailing. Head to the design tab. On the screen you ll see one story has already been placed in the mailing, and then there is a create new story link, please click that: A window will open (which is your editor). Go to the Insert drop down at the top, and choose Insert Story Layout. A box will open that says Select Story Layout. Under the drop down please choose the Main Story Article Last Name here story layout that you just created. Then hit add.

9 You ll see that the layout is now in your editor. Please refer to the Text for Story Layout text file that has been provided for you. Copy the first line of text which is 2012 Client Satisfaction Survey, and paste it where it says Title goes here. Then in the text file, copy the remaining text and paste in where it says Content goes here. Make sure to hit save, and your story will appear at the bottom. One final step, make sure to hit save at the bottom of the page so the story will be saved. Now you have successfully used a story layout (complete with adding content) in your mailing!

10 Exercise : Creating Your Stories in Content Manager CONTENT MANAGER INSTRUCTIONS Step 1: Create the Stories in Content Manager Create the folder Content Manager > Folders Click on Add Content Folder Please name it Informz User Conference (with your last name afterwards). Create the folder to keep all of the stories organized for each newsletter. Once you ve created the folder, create the page template and stories that will appear in the newsletter. Create the page template Content Manager > Page Templates Click on Add Page Template Page Template Name: Name the template for organizational purposes. For this exercise please name your template Informz Newsletter Template and add your last name after it. Branding: Select the look you d like the page template to have. Please choose the UC 2012 Form Branding Default Folder: Select the folder you d like the template to be housed in. You ll want to choose the folder that you just created. Page Title: This will be shown in the title bar of the browser. Please name it Informz Newsletter and put your last name after it. HTML Head Tags & Body Tag Parameters: This is for design purposes only and is optional.

11 If you want to create a sidebar or apply additional layout to the page template do so in the template section. Do NOT delete the %%LOC(INFORMZ CONTENT HERE)%% tag, as this indicates where the body of the story is to go. Create the stories Content Manager > Stories > Create The first screen will ask you to select your summary and story body layouts. The summary layout should be the Main Story Article w/ Images- your last name here (the one that we created earlier. And the body should be the same.

12 Once you have selected these, please click update. The next screen is where you will name the story and create the content. Story Name: Name the story so you can find it in your folder. Name your story Informz Story 1 with your last name after it. Story Title: Place the title of the story here, this will be used if using a table of contents. Let s name our story Informz Story 1 with your last name after it. Active Status: Change this to active. Folder: Select the folder you created to house your stories. You ll want to select the Informz User Conference Last Name folder you created. The remaining information can be left at its default.

13 Please note the most important things to remember are the story must be set to active in order to be seen, and most likely you will want to have a story that never expires. Here is a preview of the summary and body before the content is added in:

14 Next click in the summary to add your text. Please use the placeholder text that has been provided for you labeled Text for Story Layout_Summary. The title (which can go where it says Title goes here) should be Work Group Program Kick-Off. The rest of the text can be copied and pasted into the area that says content goes here. Your finished summary should look like this: Then click in the body to add your text. Please use the placeholder text that has been provided for you labeled Text for Story Layout_Body. The title (which can go where it says Title goes here) should be Work Group Program Kick-Off. The rest of the text can be copied and pasted into the area that says content goes here. Your finished body should look like this:

15 Repeat this process for all newsletter stories. Please note you can have as many as you would like!

16 Exercise: Inserting your Stories into Content Manager Assembling the Stories in the Newsletter With the summary and story created in Content Manager, the next step is to insert the story from Content Manager into your newsletter. Please go to the Improving your newsletter Workshop folder (mailings>view). Then, go to the MC User Conference Final Newsletter mailing (that you have been working in). Move into the design tab. We want this story to be inserted at the top of the newsletter. The editor window will open, delete the text in there. To insert your story summary click the Insert from Content Manager icon on the toolbar. You can also choose the Insert on the toolbar, and choose Insert from Content Manager Another window will open where you can select the summary you created in Content Manager. Note, your stories can also be searched by folder. Once Summary is selected you ll see the story summary automatically populate in the editor window.

17 To link the summary to the body of the story you created, highlight the text you want to link (in this case it would be Read the full story ) and click the Insert Hyperlink icon on the toolbar. Select Body of a Story from the dropdown menu. Content Stories: Select which story body you want to link to. Please link to your Informz Story 1 Last name that you created

18 Page Templates: This is the branding that the story landing page will use, and you ll choose the template that we created named Informz Newsletter Template Last name Name: Name the link as you d like it to appear on the mailing activity report. Click Insert Hyperlink when all your options have been selected. Once the summary is to your liking click Save. Repeat for additional summaries. Again you can have as many as you would like!
