1 Porter College Housing Office Move-out Guide June 4, 2009 Move-Out Issue Did you know Over 500 Porter residents will be checking out from June 6 June 12 The last meal in the Dining Hall will be lunch on Fri., June 12 Nearly 300 Porter students will walk across the stage at the Oakes Field during their graduation ceremony at 9am on Sat. June 14 General Information Your current Housing Contract expires at 12:00 pm (noon) on Friday, June 12 th. You must vacate your room/apartment and return your room key(s) by this time. The residential areas must be inspected, cleaned, and prepared for summer conferences and the start of the Porter A Construction Project the following week. This deadline will be strictly enforced. Residents found in the halls or apartments after the 12pm deadline will be assessed a $100 charge (and $100 each day thereafter). You may file a Housing Contract Extension Request at the Porter Housing Office (D106) if you have an exceptional circumstance, which will not allow you to move Important Items to Know About Submit your forwarding address for mail to the Porter College Office. It will take a week or two for the mail to start forwarding to your new address. Place a hold on packages that may arrive after you leave; they cannot be forwarded! The same for magazine subscriptions. Only first class mail will be forwarded. All campus and college policies continue to remain in effect during finals and move-out. Violations occurring in the last days will still be adjudicated regardless of a student s move-out day/time. 24-hr Quiet Hours begin on Thursday, June 4 and go through noon on Friday, June 12. out by the June 12, noon deadline. You must file an extension by Thursday, June 11. Those needing to file an extension include graduating seniors, students living in campus housing for summer session, students living in employee housing for the summer and those with transportation issues. Also please note that the Porter Housing Office will notify you in writing whether or not your extension request has been granted. Need a housing reference for summer housing? File a Reference Release Form at the Campus Housing Office and the Porter Housing Office or through your Student Portal. It takes the Campus Housing Office at least 24hrs to put the release into the housing data system. We can only release information if this form has been filed. Prevent a Hold on your account return library books, pay all fees left on your account, complete judicial sanctions (if applicable), pay parking tickets (if applicable), etc. Your phone service will automatically shut off by Sunday, June 14.

2 Page 2 of 5 Moving/Packing Tips: Porter College Housing Office The end of the year can be a stressful time. Between final projects/papers, final exams, looking for summer jobs, and moving back home or to a new summer location you have a lot of important things to take care of in a short amount of time. To make your move-out process go more smoothly, we offer the following tips: It always takes longer to pack and clean than you expect give yourself an extra hour or two from the time you plan to leave If you have roommates, talk about what needs to be cleaned and how you are going to do it don t assume that it will just work itself out Don t wait until the end to start packing do a little each day start with the items you don t use/need regularly use packing as a study break from finals If your parents are coming to pick you up, start making arrangements now so that you know what day and time you need to check out. Need Boxes??? Check the cardboard dumpsters behind the dining halls and in the parking lot deliveries come fairly regularly around here Strong boxes can be found at liquor stores but if you are under 21 leave the liquor at the store :-) Rubbermade Totes (and other brands) are great to pack and store items in. They come in a variety of sizes, stack nicely and can be used over and over again. Grocery stores have regular shipments and can provide great boxes too. Leave the produce boxes there because critters and eggs/larvae can be transported from there to here and then to your next home (we don t need/want the roaches :-) Loading Your Vehicle(s) A temporary loading only pass can be picked up from the Housing Office. This is not a parking pass but a 30-minute loading only permit. You will be asked for the car s license plate number so be prepared to provide it when you pick up the pass. The Loading Pass will not prevent your vehicle from being ticketed if you park in the handicap spaces, fire-lanes, CRE spaces and other reserved spaces. Leaving your vehicle unattended in a fire-lane may result in a ticket. The roadway that runs through the apartments is considered a fire-lane. Please do not park your vehicle there or leave it unattended. If you need more than 30 minutes to load your vehicle, please purchase a day pass from TAPS.

3 Porter College Housing Office Checkout Process In order to make your move-out -- checkout go more smoothly please thoroughly familiarize yourself with all aspects of the move-out --checkout process. In doing so, you will save yourself time and possibly money. Page 3 of 5 You are required to pack up all of your belongings and clean your room/apartment before you check out. Once your belongings are removed and your room cleaned, you will be ready to be checked out by a staff member. To be checked out, you will need to come to the Housing Office where staff members will be available to formally checkout residents as residents are ready. A staff member will go back to your room to preliminarily inspect for cleanliness and damages. While there, you will review the Room Condition Report from when you moved into the room and complete the Checkout Form. The staff member will also collect your keys (splitter hub/power cord if one was checked out from the Housing Office). You will sign the Checkout Form and receive the yellow copy as your receipt. Maintenance Staff will conduct a final inspection for cleanliness and damages after you leave. Failure to formally checkout with a staff member will result in a $50 Failure to Checkout Charge. Check-out Schedule For checkouts prior to Monday 6/8 Pre-scheduled checkout appointments with your RA (appointment times must be made at least 24 hours in advance. For checkouts from Mon-Wed 9am 5pm Come to the Porter Housing Office to arrange a checkout 5pm 9pm Pre-scheduled checkout appointments with your RA (appointment times must be made at least 24 hours in advance. 9pm 9am No checkouts will be made (if you need to leave during this time frame, you must pre-arrange a time with your CRE.) For checkouts on Thursday 9am noon Come to the Porter Housing Office to arrange a check-out 1pm 6 pm Come to the Quad to arrange a check-out For checkouts on Friday 9am noon Come to the Quad to arrange a check-out

4 Page 4 of 5 Cleaning Expectations/Check List Apartments/Hall Rooms Porter College Housing Office Pack all personal belongings and remove from room Clean and wipe out closet and drawers (desk, closet/wardrobe, etc) Wipe down top and sides of desk and wardrobe Remove trash and scrub out trashcan(s) and recycling can(s) Remove all tape and marks off walls and ceiling Wipe down windows and windowsills Wipe mirror(s) Remove all signs and tape from door and walls/ceiling Fold mattress pad (white cloth) and place on bed (there should be one (1) per bed) Smoke detector(s) in proper place Desk chair clean and in place Vacuum carpet in rooms Apartments Only Clean area in front of apartment door (remove all items and sweep) Clean kitchen thoroughly (wipe out fridge/freezer, scrub sink/counters, wipe out drawers, cabinets, wipe stove) Clean bathroom thoroughly (scrub tub/shower/toilet/sink and wipe out drawers and cupboards) Wipe down all tables and chairs Scrub tile floors (bathrooms/kitchen/main doorway) Hall Rooms Only Wipe down room door and walls on either side of your door (in hallway) and remove all posters, stickers, staples from corkboard Vacuum carpet around your doorway (at least half way between your room and the room on either side of yours) Do not leave anything outside your room Unwanted But Usable Items We will be collecting usable items and non-perishable food items that you do not wish to take home with you. You may bring your items to the I-Lounge or the bicycle storage area under A-Building. Below is a sample of items we will collect: Food items (non-perishable) dried, canned or enveloped items, jars Clothing and Household items clean and usable Toiletries bottled soaps, shampoo, conditioners, unopened bar soaps, unopened toothpaste and toothbrushes, feminine products o Please do not bring used toothbrushes or bar soap

5 UCSC Sample Cleaning and Damage Charges This is a partial listing of common cleaning and damage charges. A comprehensive list can be found at the Porter Housing Office. Please show respect to our Custodial and Grounds staff by helping to keep the common areas (bathrooms, hallways, Quad) clean during finals and move-out.
