2 The Whitsundays The Whitsundays is the ideal destination to Elope for your wedding, and with the help of The Wedding Planners (previously I Do Events), organising your special occasion is simple and seamless. There is no need to spend endless hours researching, as The Wedding Planners will present a range of options for you to customise your special day. With over 5 years of experience in event and wedding coordination, The Wedding Planners have a thorough understanding of the wedding industry, particularly in the Whitsunday region. Tropix Photography The Wedding Planners have a wealth of knowledge on quality local suppliers and utilise this to engage the services of those suitable for your individual needs, saving you valuable research time. At times, our strong working relationships with suppliers may entitle discounts and it is our guarantee that these discounts will be passed onto you; the client. 7 PRICE LIST TERMS PRICES Packages and prices are subject to change without notice Prices are inclusive of insurance and GST OTHER FEES AND CHARGES Packages are inclusive of coordination only, along with any other specified items Other sourced suppliers, products and services are at an additional cost Public holidays will incur a surcharge of minimum 20% (This will only be charged if coordinator assistance/attendance is required on the public holiday and will only be charged for the hours on that day) BOOKING TERMS PAYMENT A deposit of $850 + $250 (if videography package booked) + $200 (if décor booked) one night accommodation (if accommodation is required though your wedding package) is required at time of booking. Additional non-refundable deposits may be required for additional package inclusions (notified at time of booking). Final payment is required ONE MONTH prior to your wedding date ADDITIONAL FEE S Any additional travel required to coordinate clients requirements will be charged at the applicable rate, to cover costs incurred by The Wedding Planners Whitsundays on your behalf. Additional fees may be charged for coordination requests outside of what is included in your coordination package. If a request will incur additional fees this will be advised to you and approved by you, prior to The Wedding Planners proceeding with the request. All requirements must be confirmed by the client in the specified time frames given. Any work resulting from late advice from the client (based on given time frames), will be charged an additional $55 per hour. Any work in the final fortnight leading up to your wedding resulting from late advice from the client, will be charged an additional $110 per hour. EVENT SET-UP AND SUPPLIERS The Wedding Planners Whitsundays requires advance written notice by the client of suppliers being used for event set-up or during the event. The client is responsible for all expenses for such services and payment must be arranged directly with the vendor unless included within the wedding package. Any excess charges including but not limited to damages, cancelation fees, or other additional charges as a result of late notice, from any suppliers (included or not included within the wedding package or contract) are the sole responsibility of the client. We reserve the right to deny permission for services that pose potential damage to our property or violate our terms. The Wedding Planners Whitsundays accepts no responsibility for the services provided by any suppliers/vendors. EVENT TIMINGS The Wedding Planners Whitsundays will do its best to accommodate functions that start after the contracted time due to tardy arrival or delays on the part of the client or guests; however, in such situations, unavoidable delays in service may occur for which will not be held responsible. Please have attendees arrive at the scheduled time to ensure the best service and adherence to the contracted event schedule. Events that exceed the agreed event finish time will be at the discretion of the restaurant in terms of additional service fees or forced conclusion of the event. PROPERTY DAMAGE AND THEFT The client will be held responsible for damage to property and/or venue. We are not responsible for loss or damage of property of the client, guests or external vendors before during or after the event. UNFORESEEN CIRCUMSTANCES If your coordinator is unable to fulfil booked duties due to unforeseen circumstances out of the control and not by fault of The Wedding Planners Whitsundays, a refund will only be applicable to a value deemed suitable by The Wedding Planners Whitsundays or a refund may not be applicable at all. In the case of forced changes to transport and/or ceremony venue due to weather or for any other reason, a new pricing structure will be advised to accommodate revised transport and/or venue. This could be more or less than the original booking, and in most cases several varying price options will be given. In the case of being less, a refund will be given or you may be given option to select new services and products to that value. In the case of being more, the additional payment will be required prior to commencement of events. Availability and price of revised products and services are not guaranteed until client has confirmed their go ahead of the new option. For example, the Seaplanes are sometimes unable to travel due to weather, wind and/or sea conditions. In this case, we can seek availability of helicopters for your travel to and from Whitehaven, though helicopters will usually be at a higher price. This option may be given to you, or if you do not wish to pay any more, you will also be given options to have your wedding ceremony on a mainland location, therefore additional payment, is not required. 7

8 INCLEMENT WEATHER / CHANGE OF VENUE (Decor) In the event of inclement weather preventing you from having your requested venue, I Do Events (decoration) will endeavour to relocate your requested décor to your alternate venue and/or provide other suitable décor to equal value of your order. Each case will be assessed on an individual basis by reference to the preparation involved and time-frame given for relocation. If not all booked décor is able to be used, unfortunately a refund will not be applicable. I Do Events Whitsundays retain the right to cancel decoration on the day, should conditions deem the decoration unsuitable for use. Again, I Do Events will endeavour to provide other suitable décor to equal value of your order. Example: Should you choose to remain at an outdoor venue where the conditions will affect and/or cause damage to our products. LOSS/DAMAGES (Decor) All items remain the property of I Do Events Whitsundays and clients will be charged for loss or damage of any items (with the exception of those listed as items for purchase candles, flower scatters and bonbonniere). The payment for loss or damage of any items must be finalised within one month of the event date. Some choices on your part that may play a part in irreparable or excessive damage to I Do Events Whitsundays property may include and are not limited to: - Choosing an outdoor function in the influence of wind, rain and natural elements - The use of sparklers, matches and cigarettes in the vicinity of decoration INSURANCE If The Wedding Planners Whitsundays are prevented from producing the event herin by reason of any Act of God, fire, flood, public disaster or any other reason within or beyond the control of The Wedding Planners Whitsundays such reasons will be deemed a valid excuse for delay or cancellation of the event. The Wedding Planners Whitsundays will assist the client in rescheduling the event or finding an alternate location. The Wedding Planners Whitsundays is insured for public liability. CANCELLATIONS In the event of cancelling requirements with The Wedding Planners Whitsundays with more than one month notice, your required deposit will be retained along with any other amount charged by The Wedding Planners, to cover work to-date or additions added to your wedding package (i.e. accommodation). Other suppliers booked in conjunction with your package may also pass on cancelation fees of their choice. Any other paid money will be reimbursed. In the event of cancelling requirements with The Wedding Planners Whitsundays with less than one month notice, the total amount of your booking will be retained. If full payment is yet to be made and you choose to cancel your event within one month, full payment is due within 7 days of cancelling. If any portion of these fore-written booking terms are not met, The Wedding Planners Whitsundays retain the right to refuse service. 8
