2 Dear participants, We are very much looking forward to cooperate with you during the YOUTH EXCHANGE organized by L ACIV. It will take place from 17 (arrival) till 24 (departure) June 2016 in small village close to Beauvais called Saint Sulpice. Please send us the final list of participants if you have not already done so along with the flight info by sending an to us at acivbeauvais60@laposte.net as soon as possible. We would like to have also the date of birth of all participants just in case somebody s birthday is during the Exchange so we could organize something special. But please, do not say anything of it to them. On the following pages you will find useful information about the Youth Exchange. If you have any logistical questions, please do not hesitate to contact us by our association mail acivbeauvais60@laposte.net. The objective The general objective of this Youth Exchange is basically to have some good time. And while we do so, to learn that even though we have cultural differences, we all are pretty much the same, that is, human beings. Venue The venue of the June Youth Exchange is Maison Familiale Rurale de Saint Sulpice. It is located in Saint-Sulpice, which is about 20 minutes by car from Beauvais. Participants will sleep in shared rooms (max 7 people per room). Bathrooms and showers are located in the corridors. Sheets, towels and pillow cases are NOT provided by the MFR of St Sulpice so there is need to bring them. Also, all participants should bring whatever hygiene products they may want to use. 3 House rules Breakfast will be served from 8h30 to 9h30. Lunch will be served from 12h00 to 13h30. Dinner will be served from 19h15 to 20h30. It is forbidden to smoke inside de building. It is forbidden to drink alcohol. No showers from 23h00 until the morning. Shared toilettes and rooms will be cleaned by us. It is expected a civilized behavior from all participants. Travel - How to get to the venue? You are responsible for booking your plane tickets. Participants should arrive on 17 June before 16 PM. The YE ends on 24 June after breakfast. Please book your tickets accordingly. If you wish to extend your stay in France beyond the YE, you can do so for 2 days before or 2 days after. All stays beyond those two days will not be up for reimbursement so make sure your travel dates fall within the 15 June till 24 or 17 till 26 June range. If you finally stay more days in France, please, take into account that only your travel tickets will be reimbursed. That means that it is you who will cover your stay costs in France. How to get to the venue? From Beauvais airport and Beauvais train station All participants arriving in any of those places will be carried to the venue by rented mini buses. From Paris Charles de Gaule Step 1: go to the train platform at the airport and buy a RER B ticket to Paris Gare du Nord. Step 2: buy a ticket from the ticket machine in the direction to Beauvais. Normally, there is a train every hour. However, please have a look in the SNCF website to

4 confirm and see its frequency ( It takes around 75 minutes to arrive at the Beauvais Train Station from Paris Gare du Nord by train. From Paris Orly Step 1: go to the train shuttle at the airport and buy an Orlyval ticket. It will take you to Antony. Step 2: Take the RER B in direction Paris Gare du Nord. Step 3: buy a ticket from the ticket machine in the direction to Beauvais. Normally, there is a train every hour. However, please have a look in the SNCF website to confirm and see its frequency ( It takes around 75 minutes to arrive at the Beauvais Train Station from Paris Gare du Nord by train. You made it, welcome! Costs & reimbursement You will be reimbursed after the YE when you have provided us all invoices (with a clearly marked price of the ticket so make sure you have that), boarding passes and any other travel tickets you have. We are NOT allowed to reimburse taxis so please make sure there are other ways of transport like buses or trains available to get to the airport and your flight. If you do take a taxi know that it will not be calculated in the reimbursement. According to Erasmus+ rules, you will be reimbursed 100% of your travel costs, in the limit of 170 (from 500 to 1999 km) or 270 (from 2000 to 2999 km) per participant according to the distance between departure and arrival city. To calculate it, we will use the distance calculator hosted in the Erasmus+ website ( To have cheap tickets and for an easy organization, we invite you to book your flights with Ryanair (WizzAir or Blue Air from Romania also) since these airlines operate from the Beauvais airport.

Very important note: If you have any special dietary requirements, please, inform us about it as soon as possible so we can inform the kitchen stuff with some time in advance. If you say nothing regarding this matter, we will assume you eat everything. Program You can find a copy of the program at the end of this document. Please take into consideration that it may suffer changes after the VPP takes place in late May. Regarding the Europe Day (on Thursday afternoon) we would like to ask you to bring your country s flag along with something edible typical from the city, region or country you come from. The idea is to set different stands for one hour and a half and present your place to the rest of participants and French locals. We would have some time during the week to prepare some posters too, but, if you want to bring something more elaborated such as plans, pictures, drawings, etc. we invite you to do so.
