1 iconnect: Join a web conference from an external location Overview To participate in a web conference you will require: internet access speakers or headset microphone web cam (optional). It is recommended that you try to join the web conference 5 10 minutes prior to the session to allow time for a quick audio check. The below instructions show you how to: 1. Join a web conference from an external location (i.e. without a DETE logon ID and password). 2. Complete the audio setup once in the session so you can hear and communicate. 3. Change the connection speed if you experience problems staying in the session. Note: You may go into the Web Conferencing Configuration Room at any time to configure your audio. 2 Steps to follow Step 1 Join a web conference from an external location 1. Select the session link provided by the session facilitator.! 2. Select Guest. 3. Enter your: Address Display Name (name that will appear in the session) Session Password.! 4. Select Log In.! 2

3 Note: It may take several minutes for the session to initialise.! 5. Open the Java applet for the session. Note: Different browsers provide different options for opening the JNLP file.! 6. Java will begin.! 3

4 7. The iconnect (web conferencing) software may need to download. Note: If this is your first web conference, allow extra time for the Java applets to download and install. 8. If any security warnings appear select the option that allows you to Run the iconnect (Elluminate Live!) application. 4

5 9. Once downloaded, the iconnect (web conferencing) software will open and connect to the server. 10. Select your connection speed. Note: Wireless is the recommended but you can choose LAN if you have a fast connection. You have successfully joined a web conference (your display name will appear in the participant window).! 5

6 Step 2 Complete the audio setup 11. Select Tools. 12. Select Audio. 13. Select Audio Setup Wizard 14. Select your audio output device.! 15. Select OK. 6

7 16. Select Play. 17. Use the slider to adjust the volume as required. 18. Select Stop when the speaker settings are correct. 7

8 19. Select: Yes to continue. No to reset the speaker volume.! 20. Select your audio input device.! 21. Select OK. 8

9 22. Select: Single Talker if using a headset or microphone for one person Multiple Talkers if using a microphone with multiple people. 23. Select Record. 24. Record a short message using the slider to adjust the level. 25. Select Stop to test the microphone levels. 9

12 Step 3 Change the connection speed 30. Select Tools. 31. Select Preferences. 32. Select Connection. 33. Select a lower connection speed. Note: The connection speeds decrease as you move up the list, e.g. choose Wireless (300 Kbps) if your current setting is Cable/DSL. 34. Select OK.
