Secure Control Room Services verses Outsourced Provider Actual Case Study & Comparison After being approached by a manned guarding company operating their own 24 hour Control & Information Room Gallinet undertook a full survey of their requirements and current operational commitments. After establishing that a fully professional service could be provided with a seamless transition and no degradation to their contractual commitments, a proposal was provided to monitor the duties of all uniformed staff, receive and pass alarm activation calls and record any incidents that may occur during their tour of duty. Shortly after the service commenced the client provided us with the following feedback: - Service Levels Week One: - The clients staff were achieving an average of 71% compliance with regards to booking on and check call disciplines. Week Two: - Figures of over 97% were, and continue to be, the norm. (Note: - It has been our experience that the absolute certainty of missed calls being escalated, without exception, quickly yields a high degree of compliance from clients employees.) Control & Reporting Positive feedback from the client was received stating that the information provided from Gallinet's Control Room was proving to be more timely, accurate and in some cases actually more honest than previously enjoyed from his own in-house staff. Gallinet s controllers all have several years experience in the industry, they are not call centre staff but professional security controllers, most of whom have all worked together in excess of 10 years. Live monitoring of all assignments, staff on & check calls. Clients call schedules are monitored by controllers taking agreed action in the event of any call not being received to prevent customer dissatisfaction in the event of late or absent staff and also providing legally required health and safety monitoring of both site and supervisory staff when working alone Automated Scheduling and Roster Checking Clients can define a more often than not schedule for assignments that the system will continue to populate automatically only alerting you when an issue is detected, employee on holiday, training certificate expiring etc. The processes of rostering your assignments therefore becomes a far less time consuming undertaking. Individual instructions for each and every assignment Clients can define instructions globally or on an assignment by assignment basis selecting different check call schedules or late arrival tolerances and escalation procedures to suit any specific client. Alarm Activation receipt and notification Gallinet s control room will be your first keyholder ensuring that calls reporting alarm activations are answered promptly and the information recorded accurately. They will then notify your response officer providing additional details regarding the assignment as he may require. Fully audited record of all events / incidents Our systems record all calls received by date, time and CLI detail. All actions taken by controllers are recorded in a non-editable incident log available live to clients 24 hours per day and in real time via our secure web server. Client on-line access to schedule systems Our clients have on-line access to our scheduling, monitoring and reporting systems providing many tools to assist all departments

6 KEY SERVICES PROVIDED...2 Brief Summary of Key Services Provided...2 Smart Phone or PDA System Access Clients or their Supervisors or management staff can use web enabled phones and PDA's to access Gallinet's systems and either make changes to rosters or check on the status of staff on duty without the need to return to any office. Management Information & Incident Reporting All activities are fully reported from check calls received or missed, payroll and invoice information, personal and assignment records, staff holiday and sickness, staff qualifications and training records. All departments so authorised by the client can have access to these records via our on-line systems. The clients of our clients can have access also restricted to your requirements. Automated SIA License Verification Our systems will automatically connect to the SIA s central database and verify the current status of all employees SIA licenses alerting management of any revoked or expired licenses. Independent and Unbiased Reporting Our controllers do not share a common employer with the staff they are monitoring and therefore are free from the pressures and influences that perhaps in-house staff feel upon them. This ensures that the facts are reported as they actually are, good or bad. Our clients benefit from a wholly truthful and accurate picture of their operations enabling them to meet their own contractual obligations and just as importantly, to know when they are not. Central Reporting Gallinet s control and information room provides a central hub for the reporting of incidents occurring on assignments. Managers have on-line and real-time access to the incident log ensuring that they are fully aware of any events having occurred before they receive the call from their client. Disaster Recovery and Business Continuity Protection As our systems are duplicated at several different geographical locations we are protected from power loss, floods and other events that would normally cripple most businesses. As our clients can access our services and their records from any internet connected PC they are also not reliant on their normal base of operations and therefore achieve a level of business continuity protection that would normally require a considerable financial investment to achieve.

8 CONNECTING YOUR BUSINESS...2 With a full audit trail of actions taken and by which user senior managers no longer have to hunt for answers to many questions. The existence of by-exception reporting allows those ultimately responsible for meeting the companies contractual obligations to its clients to quickly and easily monitor service levels. Finance and Payroll Human Resources Finance departments can produce payroll and billing reports to gross values secure in the knowledge that duty start times have been verified by live control room monitoring. Additional savings can be gained by importing this data direct to your own accounting and payroll application or out-sourced payroll service. HR departments can effectively monitor staff records including holiday entitlements, sickness, qualifications held, SIA license verification and their expiry dates with this information being immediately available to all authorised personnel. If HR update an employees details all departments are immediately viewing the most recent records also. Sensible delegation of site specific scheduling can be granted to an on-site Supervisor or Manager allowing them to manage their rosters with Managers secure in the knowledge that they can view or edit any decision taken at site level. End-Client view-only access can also be granted demonstrating a level of operational confidence and transparency that few companies hope to achieve. Site based or Mobile Supervisors and Area Managers are no longer required to work solely from the office. Free from files full of telephone numbers and AI s all information is now available to them on the road at home or anywhere an internet connection is available. The use of Smart Phones, PDA s and Lap-Top s truly make it possible for the mobile manager to be effective from anywhere. With access to staff records, schedule data, assignment details and incident reports all located in one central and accessible source.

9 EMPLOYEE INFO PORTAL. PeopleHours can communicate directly with your staff using an Employee Information Portal service called TelMe The TelMe service portal has been designed to communicate messages, rosters and duty schedules to all employees within your company easily, accurately and by the fastest means possible. Traditionally schedule information has been passed via telephone calls to individual staff or periodic posting of duty schedules, both methods being time consuming and expensive. The service communicates using both push and pull information flows with either the employee getting the information or the scheduler sending it. Employee Pull access includes: - Web access for PDA and mobile phones and devices. Employees can use their mobile phones, PDA s, I-Phone s or home computers and lap-tops to access the portal with minimal instruction beyond the internet address they would need to visit, which can of course be linked from your own company web site. Optional Payroll information display. PeopleHours managers can choose to display either duty schedules only or to include pay rates also that will apply on a shift by shift basis. Security Each employee will have their own unique log on username and password which will grant them access to their own duty schedules only. Usage recording and reporting A full record of all logons is maintained, PeopleHours users will know if a particular employee has viewed his roster or any message and when. There will be no claiming I didn't see it. Employee Push access includes: - Message of the day Employees viewing their schedule can be presented with a message of the day broadcast to all staff or individual messages tailored to specific employees or all employees working on a specific assignment.

10 LONE WORKERS: A DEFINITION. Lone workers are those who work by themselves without close or direct supervision. They are found in a wide range of situations [The Health & Safety Executive] You don't have to be this alone to be a lone worker..! Do You Employ A Lone Worker..? The Health & Safety Executive (HSE) is often asked the question, "is it legal to work alone and is it safe?". The HSE concludes that "there is no single answer; it will depend on the findings of a risk assessment but often the answer will be yes". The HSE suggests the following definition "Lone workers are those who work by themselves without close or direct supervision. They are found in a wide range of situations". This definition does not mean that an individual has to work an entire shift to qualify as a lone worker. It can apply to short periods in a shift, perhaps only 10 or 15 minutes, when people are working alone. THE LEGAL POSITION Establishing safe working for lone workers is no different from organising the safety of other employees. The employer needs to know the law and standards that apply to their work activities and then assess whether people working alone can meet the requirements. The Health & Safety at Work Act 1974 (HSWA 1974) and Management of Health & Safety at Work Regulations (MHSW 1996) apply. These require the employer to: - Devise and implement safe working arrangements to ensure that the risks are eliminated or adequately controlled Where it is not possible to devise arrangements for a person to work alone in safety then alternative arrangements providing help or back up have to be devised. The employer should not require an employee to work alone unless: Safe working arrangements have been devised According to the HSE control measures may include; Supervision and monitoring A lone worker working away at another employer's workplace is still the responsibility of his/her own employer. MONITORING & SUPERVISION OF PEOPLE WORKING ALONE Monitoring can help to ensure that employees are protected from the risks associated with working alone. Procedures will need to be put in place to provide this monitoring of lone workers to see they remain safe. These should include regular contact via check-calls between the lone worker and another party to a specific timed schedule with an implementation plan to be initiated should the lone worker fail to make contact as expected. Lone working can take place when people: Work as individuals at a fixed site, e.g. in a shop or petrol station Are separate from others, e.g. in warehouses or automated plants Work away from their base or at remote locations, e.g. construction workers, maintenance, repair and cleaning workers Work outside normal hours, e.g. cleaners or security staff

14 SIA LICENSE VERIFICATION... PeopleHours is the first and only application that will perform scheduled checks of all your staff to ensure full SIA licensing compliance. This subscription based service offers the following key benefits: - From within PeopleHours operators can invoke a check of a current or prospective employees license details, name of holder, expiry date, license type, revoked status etc. The system will perform a weekly check of all employees license details and compare this against the records held by the SIA. An report will highlight any issues, revoked licenses, those that have or will shortly expire as well as any discrepancies in the name of the holder etc. The process is fully automated removing any need to remember to make checks yourself or concerns that your staff are following your procedures. In addition to the delivered users can generate reports from within the main PeopleHours application at any time. Both the reports and the provide a verifiable history of your verification procedure. One beta customer, despite doing the laborious and time consuming SIA check each week said: The report did throw up a revoked licence that we were not aware of at that time and when double checked separately with the SIA website indeed was found to be invalid. Another chose to make use of the service after: I checked all licences on the 3rd, the SIA revoked one on the 6th, they contacted me regarding employing an unlicensed officer on the 14th!
