We prepare and file annual returns, agency transmittals, and file W-2 forms with the appropriate federal, state, and local agencies. Research and Respond to Inquiries - Ascentis maintains a close relationship with the various tax agencies and works with these agencies to reach resolution on the customer s inquiries. Once an inquiry is received, Ascentis tracks the progress from receipt to resolution. Special Filing and Amendment Requirements - Ascentis will meet special filing requirements as needed on behalf of the customer. Special filing is required for third-party sick pay and 945 taxes, which are routinely handled. Customers who have an expansion or reorganization to their existing business, such as a merger, consolidation, or reincorporation, can rely on Ascentis to partner with them to meet these special requirements. Finally, Ascentis prepares and files necessary amendments on behalf of customers for any tax periods originally processed by Ascentis. Automatic Funds Transfer - Funds collection is accomplished quickly and efficiently by using the standard funding methods of Drawdown/Reverse Wire and ACH Debit. Quarterly Tax Statements - Within 45 days of the close of quarter, Ascentis will prepare and deliver a tax statement that includes a record of the quarter s activity. The statement includes a tax liability summary, tax account reconciliation, and summaries of deposits and filings for each tax type filed on the customer s behalf at quarter-end. Advice of Debit (AOD) - An Advice of Debit (AOD) acts as a means of informing you that Ascentis has initiated a debit to your designated funding account. This feature provides you with acknowledgement that a debit to your account has been generated and documentation to compare to bank records and debits for payroll taxes of another office of your company. 13 Statement of Security Product-level security Ascentis HR Ascentis HR can be securely accessed via Remote Desktop with SSL 128-bit encryption through Remote Desktop Gateway server. Each user should enforce TLS authentication from each Remote Desktop Client. Each user is assigned a unique login and a secure password to access the Remote Desktop Gateway. A second login is required to access the HR product. Role-based security enables the administrator to grant staff members and managers access to only the information they should see, on a tab by tab basis. Ascentis HR includes Sarbanes-Oxley financial audit reporting which tracks the user and change date and time for any changes made to compensation. User accounts are locked after three (3) incorrect login attempts. Ascentis Payroll Ascentis Payroll is a Web-enabled application with the client portion running on the user s local workstation. No data is stored locally, and all data communicated between the user s PC and the Ascentis Web server is encrypted with SSL 128-bit encryption. Each user is assigned a unique login and secure password. Login and password information is maintained only on back-end servers, and not on any Web server to ensure that password lists cannot be compromised. User accounts are locked after five (5) incorrect login attempts. Ascentis Time Ascentis Time and Ascentis TimeKeeper are both Web applications running over SSL with 128-bit encryption. Employees are granted access to various sections of the Ascentis Time service based on selections made by the client and the employee s role. Ascentis Self-Service Ascentis Employee and Manager Self-Service are Web applications running over SSL with 128-bit encryption. A complete log is maintained of all user activity including successful and failed logins, password changes, and user authentication. Employees are granted access to various sections of Ascentis Self-Service based on selections made by the client and the employee s role. Datacenter security Ascentis primarily hosts its products with RagingWire datacenter. RagingWire is audited annually for SOC1 Type II compliance. Ascentis also hosts certain clients from our own datacenter. That datacenter is also audited annually for SOC Type II compliance. Both datacenters are consolidated into the Ascentis SSAE16 Type II report, which is available upon request. The datacenter infrastructure includes: Stateful packet filtering at the firewall. All traffic passes through the firewall before reaching a Web server. The network is protected by a network Intrusion Prevention System (IPS) along with Network Intrusion Detection System (IDS). Traffic leaving the Web server must again pass through the firewall before reaching the client s databases, giving another level of stateful packet inspection and filtering. Servers are installed with current operating systems and updates are applied regularly. We use trusted Certificate Authorities for Web servers, including Thawte, Verisign and GeoTrust. Rev 3/25/14
