Document Usage This document describes the London Grid for Learning (LGfL) Managed Microsoft Exchange Service for Staff (StaffMail) provided in conjunction with Atomwide Limited (Atomwide), in order to clearly define the service delivered. Service Overview The LGfL offers StaffMail for deployment to individual schools or across whole Local Authorities (LAs), within the London area and subscribing directly or indirectly to LGfL infrastructure services. The service is provided using resilient, fault tolerant servers located within the core of the LGfL network. StaffMail is available as an inclusive subscription service for staff and school governors within London Grid connected schools and LAs. Access to StaffMail is via LGfL Unified Sign On (USO) accounts. On logging in to a StaffMail account using a fully featured client, users will be provided with a full functionality Microsoft Exchange account, offering , personal and shared calendaring, and personal and shared address books. When accessing the service with cut down applications, such as those found in mobile devices, users may experience necessarily restricted access to some of the features. Accounts will be accessible via a web browser using Microsoft Outlook Web Access (OWA), via a full copy of MS Outlook, or via suitable mobile clients on a compatible PDA or mobile phone. Mail can be delivered to full client applications using POP3 or SMTP protocols, or forwarded to local LAN based servers. All messages, whether internal, inbound or outbound, sent to or from StaffMail accounts, will be scanned for viruses, spam, pornographic and inappropriate content by LGfL MailProtect. Staff account holders can log into the MailProtect service to control the functionality of their account, including spam release, spam digest reporting, and in and out reporting. StaffMail provides each user with a 5GB mailbox by default. This may be modified on a per user basis, and may be increased subject to LGfL s reasonable usage restrictions. The maximum single size supported is 20MB. StaffMail can be used independently of, or alongside, LondonMail within a school or LA in London. 4 2.1. Domain functionality, account credentials, and on line identity By default each user will receive an address based upon their USO account name with a domain name of lgflmail.org. For example, the user John Smith will receive a USO user name of jsmit and an address of jsmit @lgflmail.org. An LA can supply their own domain such as la.org.uk and this may be applied to all of the users in the USO in their LA. Schools have an option to supply their own domain name such as schoolname.sch.uk and this may be applied to all of the users in the USO in their school Address Book functionality Each user may add and delete entries from their own private address book. In addition, a school staff member will see: all staff at their school only all pupils at their school only that are using LondonMail the LA shared list a LA staff member will see: school lists of staff the LA shared list 2.3. DNS Services DNS services are provided with a support interfaces to allow IT managers in the schools that own the domains to control basic functionality of the configuration. Whilst the system will run with the domain name held by third parties a reduced level of functionality will be available and no support assistance can be provided from Atomwide in these cases. 3. Service Options StaffMail is provisioned on a per-school, or more commonly, per LA basis, using LGfL USO accounts. Details about integration with full USO services are available within the relevant documents referred to in Section Service Operation LGfL hosts the StaffMail on resilient, fault tolerant servers within, and integrated with, the LGfL infrastructure, to maximise service availability. Through its provisioning partner Atomwide, LGfL ensures that StaffMail is configured, populated and maintained in conjunction with the LA, and/or the school(s). Atomwide, operating an LGfL StaffMail Helpdesk, provides advice to LA and school nominated contacts to aid in the correct provisioning and configuration of accounts and account profiles, and the usage of the Exchange feature set London Grid for Learning Trust Page 4 of 5

5 The school or LA is responsible for the reconfiguration of any local servers (e.g. mail servers, PCs etc.) that may need to be reconfigured to ensure continuity of service when USO/StaffMail is first adopted LGfL/Atomwide Configurable Settings Initial setup requests must be presented to LGfL/Atomwide on the appropriate form, by LA contacts or school Head Teachers. Nominated contacts, or higher status administrators, may request addition, modification or deletion of USO records as part of the service. Any such requests should be made using the on line forms on the support web site Client Configurable Settings Once Head Teacher and LA contacts have been established and verified, there is a wide range of user and nominated contact configurable settings within StaffMail. The service is flexible in operation, only restricted in certain areas to ensure security of both user accounts and service availability. 5. Service Reporting Service reporting and usage statistics are available via the support site. 6. Service Change Requests Certain elements of the service can only be modified by LGfL/Atomwide. These modifications can be made throughout the year, using individual and bulk request forms from the support web site, as part of the service. Specifications subject to change.
