1 Encryption at the University of Miami Miller School of Medicine and University of Miami Health System Introduction encryption is used to protect sensitive content that is sent from the UM Miller School of Medicine and UM Health System accounts to external recipients. Messages are encrypted when: The sender requests it, by putting [secure] in the subject line. This is encryption-byrequest. A message is flagged by the encryption utility as containing sensitive information, such as credit card or social security numbers, or a patient s medical information. This is encryption by rule. Sending does not change, except that [secure] must be put in the subject line to force encryption. Note that this action is not needed and has no effect for sent between medical campus (@med.miami.edu) accounts or to accounts on the Gables campus. Those s are always encrypted, but transparently to both the sender and recipient. Instructions for encrypted s The recipient of an encrypted message must first register his/her address. This process includes creating a CaneID and password. For subsequent messages, the recipient must enter the CaneID and password to open and view the encrypted content. The medical campus sender is notified when a message is encrypted, whether by request or by rule, and also notified when the encrypted message has been successfully opened by any recipient. The following series of steps will show you the process in more detail. This document should help you assist mail message recipients outside the University if they need help opening encrypted messages. 1. The recipient of an encrypted message will see the following message.

2 2. The will be accompanied with a "securedoc.html" attachment. 3. Once the recipient downloads the attachment, the following message will open. The recipient must click REGISTER to start a one-time registration process. Once that process is done, this message will update to allow you to access its content. 4. The Secur Registration page will open. Encrypted messages are accessed with a CaneID. Click Start to create a CaneID.

3 5. Enter the required information for your CaneID. A Social Security number is NOT required. Click Continue when you are finished. 6. A suggested CaneID is automatically provided, but you can enter what you like as long as it s not already in use. Click Continue when you are done.

4 7. Enter your desired password. Make sure to read and follow the requirements for password creation at the bottom of the page. Click Continue when you are done. 8. You will then be asked to create a Security Question and Answer in case you forget your password. Click Submit to continue.

5 9. The Cane ID details you selected will be shown to you. Click Continue to Login to login with your CaneID for the first time. 10. Enter your CaneID and password and click Login.

6 11. Your Secur and CaneID registration is done. Click the Close Window link to continue. 12. The original secured message will update and allow you to enter your CaneID password. Enter your password and click Open. 13. The message will open. Click Reply to open the message editor and reply to the message.

7 14. Enter your reply text in the message window and click Send when you are done. 15. You will then be notified that the message has been sent successfully. You are now registered with a CaneID to reply to encrypted messages from the University of Miami system.
