Daily, weekly and monthly committee meetings, meetings, small groups, receptions, delegation visits Daily: 1-3 hours a day 1 a month Once/twice a week 4-5 meetings a week Monthly Infrequently Weekly, often several times a week 3 4 times a month

2 3. How do you normally use the AV in MSB105 (Conferencing, displaying data, etc)? VC conferencing Vidyo Display data (presentations, websites, share data) Small Group Teaching Audiovisual, Videoconferencing and teleconference Conferencing (Tele & Video) Small Group Meetings Conferencing, displaying data Small Groups Training 4. What works well in MSB105's current configuration? The table setup for meetings that fit with seating Do not set this room up as HSA-101 has been reconfigured (as that room is a horrible VC experience from us in Windsor!). Currently, MSB-105 is one of the best VC experiences we have. This is because the camera is positioned so that we can pretty much see the entire room and very importantly, we can adjust the camera from our end. That is, we can zoom in/out, we can rotate from one side to the other; these are critical to our having a productive VC meeting Tables and chairs Good sight lines Camera position allows people to be seen fairly well Position of camera allows for the feeling as if you are at one long conference table (at least with some of the rooms in Windsor) Audiovisual to display documents Videoconferencing to Windsor The newer chairs The viewing of the screen is good

3 5. What doesn't work in MSB105's current configuration? Audio volume transfers into the hall ways of MSB when at usable levels When audio volume is turned down so it can t be heard in the hallway, unable to hear participants during the meeting. Internet access unstable Lack of seating for extra people Heating & cooling Teleconference - Using an external phone does not work well. The cords on the floor in front of the door are not ideal and can be hazardous When videoconferencing the other end usually cuts out and you cannot see video the entire time VC freezes and lags Computer takes a long time to turn on and is slow to load documents and share documents with other sites Fix the clock and put it up in a visible location Certain seating locations create awkward viewing angles for far site Small groups inability to break into small groups due to room layout VC freezes and blacks out Computer updates and crashing are an issue No good teleconference solution Tripping hazards by running cables for phone One microphone is an issue for soft spoken attendees Blinds on the door are noisy Blinds on window create noise when HVAC kicks in Inadequate AC power One screen makes sharing content cumbersome Door strikes - lock/unlock not scheduled OTN VC + Teleconference is an impossible situation OTN never works - Support at far sites is an issue

4 Teleconference needs to be set-up separately Extra tables consume a lot of space Clock is loud The screen is so small Hard to get the data big enough to read without losing the opportunity to view those we VC to The rooms configuration means that sometimes at fuller meetings people on the side lines can be hidden from the camera Teleconference options are not the best

5 6. What technology would you like to see provided in MSB105 in the next upgrade? M105 is designed on an antiquated model of an "old boy's club" boardroom. It does not support the dynamic exchange of ideas, and completely ignores those that try to participate via V/C or teleconference Building on the vision for H101, I think M105 could become a space for regular small to medium sized meetings or teaching Having smartboard technology so that we can actively track material that is being shared as a group-using a virtual smartboard so that those involved remotely can participate would also be great A space that has more "plug ins" for electronic devices as well Internal teleconferencing abilities and better videoconferencing with no video issues. having a screen on the opposite wall from the current screen so that a presenter can review that one Installing a permanent teleconference phone Installing a phone on the outside of the room for all the individuals who get paged while in a meeting Relocated screen (to opposite wall) White board Interactive white board Improved audio mics and speakers Integrated VC & Teleconf audio (like HSA101) More AC power AV connections on table AC power connections on table Digital clock Dual screens for displaying content + VC More microphones - table not ideal / ceiling not ideal Camera for skype, etc High lumens data projector Better sound Better screen
