Microsoft Lync 0 Joining a Conference Introduction You and meeting participants may join a Lync 0 meeting and conference call in several ways:. With Lync 0. You need the full Lync client installed (necessary for presenters). You have full privileges.. With Lync Attendee installed. You need to be able to install software on your computer, but you do not need to buy any software. You can join meetings and have the full experience.. With Lync Web App. You do not need to install software, but you do need an up-to-date Microsoft Silverlight plug-in. You can see presented content and IM, but can only participate in audio by phone. 4. With a phone only. You only need a working telephone. You can only participate in the audio portion of the meeting. This self-help document will step you through how to join a conference using all of the above methods. You can use your computer or your phone for audio. If you are using your phone for audio, and you are a presenter or leader, you must secure your pin before joining the meeting. Using the Computer for Audio. In Outlook, open the meeting you want to join. If you are the presenter, open in your Outlook Calendar. If you are an attendee, open from your Inbox or Outlook Calendar.. Click the Join online meeting link (Fig, ).. The Join Meeting Audio dialog box will appear. Make sure the Use Lync (full audio and video experience) radio button is selected (Fig, ). Figure 4. Click OK (Fig, ). 5. You will enter the conference. Lync 0: Joining a Conference Using the Phone for Audio. Open the meeting request from your calendar in Outlook.. Click the Join online meeting link (Fig, ). The Join Meeting Audio dialog box will appear (Fig ).. Click the Don t join audio radio button (Fig, ) and click on OK (Fig, ). You will enter the session. 4. Once in the session, click the three dots in the bottom right corner for More Options (Fig, ). 5. Click Meeting Entry Info (Fig, ). Figure Figure 4 6. The Meeting Entry Info dialog box will appear (Fig 4), dial the number listed (Fig 4, ). 7. The phone will prompt you for meeting information. Enter the Conference ID: (Fig 4, ) and press #. 8. Press * when prompted. 9. Enter your PIN when prompted. 0. You will join the audio part of the conference. Securing Your Pin If you are presenting or leading the conference where you will use phone for audio for the first time or have forgotten your pin, you must secure your pin. Once you create your pin, you will keep this pin indefinitely. You may however, reset your pin.. Open your web browser and type dialin.towson.edu in the address line. The Dial-in Conferencing Settings and PIN Management site will appear.. Click Sign In under Personal Identification Number (PIN) (Fig 5, ). Figure 5
Lync 0: Joining a Conference. Choose English by clicking the drop down arrow (Fig 6, ). If you are using Chrome, Internet Explorer, or Safari, you will enter the domain and username towsonu\user Name into the username box and Password into the password box (Fig 6, ) and click Sign In. If you are using Firefox, you will click Sign In and then enter your User Name and Password in the Windows Security or Authentication Required dialog box and click OK. Figure 6 4. Enter a New PIN (it cannot be your phone extension) and Confirm it in the designated areas (Fig 7, ). 5. Click OK (Fig 7, ). 6. You will return to the Dial-in Conferencing Settings and PIN Management page. A message will appear Your PIN was successfully changed. 7. Click Sign Out on the right hand side of the screen. 8. You have now secured your pin. Figure 7 Joining the Conference Using Lync Attendee You may use Lync Attendee to join an online conference if you do not have Lync 0 or Lync 00 installed on your machine. Lync attendee allows participants to join online meetings, share information, and also use the audio and video features. Lync attendee needs to be downloaded. You may not use Lync Attendee to initiate an online meeting.. Open the meeting invitation from your email inbox or calendar.. Click Join online meeting.. Click Download and install Lync Attendee (Fig 8, ). Figure 8
Lync 0: Joining a Conference 4. The Lync download window will appear in your browser. Click the Download button (Fig 9, ), and follow the onscreen prompts to install the software on your machine. They will differ depending on the browser you are using. Figure 9 5. Once the software is downloaded you will need to close your browswer and re-enter the meeting. Do this by opening the meeting invitation from your email inbox and clicking Join online meeting again. 6. Lync Attendee will automatically launch. You may join in of ways: Join as a guest: Click the Join as Guest radio button (Fig 0, ). The box will expand. Enter your name in the text box (Fig 0, ) and click the Join button (Fig 0, ). You may get a message informing you that you are in the meeting lobby (Fig 5) - depending on what meeting options the presenter has chosen. Wait for the presenter to admit you to the meeting. When admitted, you will get a message informing you of this. Click OK (Fig 6). Join using your corporate credentials: Click the Join using your corporate credentials radio button (Fig, ). Enter your Sign-in address (netid@towson.edu) (Fig, ). Enter your User name in this format towsonu\netid@towson.edu (Fig, ). Enter your Password (Fig, 4). Click the Join button (Fig, 5). You will enter the meeting. Joining the Conference Using Lync Web App 4 5 Figure 0 Figure Lync Web App is a browser-based version of Lync. It allows people who do not have Lync 0, 00, or Attendee installed to participate in a meeting. You only need the most current version of the Microsoft Silverlight browser plug-in installed. You have access to Instant Message (IM), phone based audio, file distribution, PowerPoint presentations, desktop and program sharing. You cannot be a presenter and use the Lync Web App. 4
Lync 0: Joining a Conference. Open the meeting invitation from your email inbox.. Click the Join online meeting link.. Click Join the meeting using your web browser (Fig, ). Figure Figure 4. Click the Join as a guest radio button (Fig, ). The box will expand. Enter your name in the text box (Fig 4, ) and click the Join Meeting button (Fig 4, ). Click the Join using your corporate credentials radio button (Fig, ). The Windows Security dialog box will open (Fig 7). Enter your NetID and Password (Fig 7, ) and click OK (Fig 7, ). The box will expand and your Lync corporate credentials will automatically fill in (Fig 8, ). Click the Join Meeting button (Fig 8, ). You will enter the meeting immediately. Figure 7 Figure 8 5
Lync 0: Joining a Conference Calling In You will not have audio while in Lync Web App. You must call in for audio capabilities:. Click Join Information and Meeting Options at the top of the window (Fig 9, ).. From the Join Information and Meeting Options dialog box (Fig 0), dial the number listed (Fig 0, ).. You will need to enter the Conference ID: (Fig 0, ) and then press #. 4. You will be asked to record your name and press #. 5. You will enter the conference call. You will show up twice in the Lync window - as yourself and as an unknown number. Figure 9 Figure 0 Joining by Phone You may participate in a Lync conference call or the audio portion of an online meeting by calling in. If you are the leader (presenter) of the conference call, please note that you must secure your pin before beginning a meeting first. These instructions are found on page of this self-help document. Join as a Leader (Presenter). Open the meeting request.. Under Join by Phone, dial the number listed (Fig, ).. When the phone prompts, enter the Conference ID: (Fig, ).and press # 4. Press * when prompted. 5. Enter your PIN when prompted. Lync 0: Joining a Conference Join as a Participant. Open the meeting request in your Inbox.. Dial the number listed under Join by phone (Fig, ).. When the phone prompts, type the Conference ID (Fig, ) followed by the pound sign # 4. Record your name when requested to do so, and then press pound #. 5. If the leader has not joined the call, you must wait on hold before you are connected to the call.
