1 How do I download the Lync Client Tool for Mac? The Lync Client allows you to use your computer as a telephone as well as enabling the unified communication features. Part 1: Installing the Lync Client Tool. 1. Click this link for software: 2. Select MAC. 3. Select Lync14.0.2_ALL.dmg. 4. Click Save File. 5. Double Click Lync14.0.2_ALL.dmg. 6. Double click icon. 7. Click Continue. 8. Click Continue. 9. Click the Continue and Agree buttons. 10. Click Install. 11. Enter your Cougarnet\username in the name field and your password. Then click the Install Software button. 12. The Validating packages status bar appears. 13. Click Close. 14. On the Finder Toolbar select File then New Finder Window. 15. On the left under Devices click on Up arrow on Microsoft Lync. This unmounts the installer. To open Lync click the L icon on the Dock. Part 2: Verify that there are any updates. If so follow the instructions below. 1. Go to the Toolbar and select Help. 2. Select Check for Updates. 3. Install any needed updates. 4. Enter in your Cougarnet\username in the User ID field and the domain password. How do I sign-in to the Client? Sign-in to Lync. 1. Click the Lync icon at the bottom of the screen. 2. Type your full address. 3. Type your password. How do I make a call? You can make a call three ways: 1. Enter the phone number in the Search field and hit enter. 2. Select a Contact then click the Telephone icon at the bottom and select your choice of options to make a call. 3. Click the Phone tab and use the dial pad to make a call. How do I answer a call through the Client? When you receive a phone call, a Call Invitation alert appears in the lower-right of your computer screen. 1
2 How do I add a contact? To add a Contact: 1. Type a name in the Search field. 2. The person s contact information appears in the area below the Search field. 3. Hover over the name of the person you want to add as a Contact. 4. Click the + that appears. How do I create a contact group? To Create a Contact Group: 1. In the Microsoft Lync main window, right-click an existing group name, and then click Create New Group. 2. Type a name for your new Group in the Group Name field. 3. Press <return>. How do I send an instant message (IM)? To Send an Instant Message: 1. Double-click your class buddy s Contact entry. 2. Type the message that you want to send. 3. Press <return>. 4. When the IM conversation is complete, click the X in the top left corner of the window. How do I listen to my Voice mail in Lync? To Listen to the Voice Mail in your Client: 1. Check your Inbox. 2. 3 How do I forwarding a call? You may set Lync call forwarding to three different options: 1. Turn off call forwarding; Forward my calls to; and Simultaneous Ring. 2. The Turn off call forwarding option restricts all incoming calls to your Lync phone. 3. Set up an alternate phone number for your Call Forwarding or Simultaneous Ring in the phone call preferences menu option below. How do I set my picture? If you want to set up a picture you will need to log into any Windows machine with Lync installed and follow the instructions below. This is not possible on a MAC client. Uploading your picture to Lync: For Internet Explorer 1. Go to the website where your picture is (Windows Live, Facebook, LinkedIn, or Flickr). 2. Right click the picture and select Properties. 3. Copy the Address URL. 4. Go to the Lync main window and click the Options button. 5. Click My Picture. 6. Paste the web address in the Enter a web address and check the connection text box. 7. Click Connect to Picture. 8. Click Ok. For Firefox 1. Go to the website where your picture is (Windows Live, Facebook, LinkedIn, or Flickr) and right click the picture. 2. Right click the picture and select Copy image location. 3. Go to the Lync main window and click the Options button. 4. Click My Picture. 5. Paste the web address in the Enter a web address and check the connection text box. 6. Click Connect to Picture. 7. Click Ok. Where can I change my personal settings for my Lync Client? To Change your Personal Settings: 1. In the Toolbar select Lync. 2. Click Preferences. 3. In the Appearance Tab you can change the Instant Message Font Style and add Emoticons. 4. In the General Tab you can change your Services, Logging, and Downloads. 5. In the Phone Calls Tab you can select how you want your Calls forwarded and how you want your calls redirected. 6. In the Accounts Tab you can select how you want your Account Settings, Microsoft Exchange and Outlook Settings, and Server settings. 7. In the Alerts Tab you can select Notifications and Alerts settings. 8. In the History Tab you can opt to save conversations. 3
4 9. In the Photos Tab you can choose your photo settings. How do I set up conference calling? If you are on a call and you decide that you need to have a conference call that includes the Contact to whom you are speaking with and additional participants, this can be done in the Conversation Window of your current call. Escalate a call to a conference call. 1. Call a Contact in Lync. 2. In the Conversation Window, click the People Options icon. 3. From the drop-down menu that appears, select Invite by Name or Phone Number. 4. In the Invite by Name or Phone Number dialog box, select a Contact. 5. Click Ok. How can I send an attachment? To Transfer an attachment in Instant Message: 1. Using your mouse pointer, drag the file that you want to send from a Windows folder location and drop it onto the conversation window. 2. When the transfer is complete, a Transfer of <file name> is complete message appears in the conversation window. How can I share my desktop? To Share your Desktop: 1) In the Lync main window, right click a Contact. 2) Select Share Desktop. 3) When you are done sharing your desktop, close the Conversation window. Note: No transfer of control and Application sharing is allowed on MAC. How do I set up a video calls? To Make a Video Call: 1. In the Lync main Windows, right click a contact. 2. Select Start a Video Call from the drop-down menu. 3. To end a Video Call, close the Conversation Window. 4
5 How do I set up a delegate? Please note if you want to set up a delegate you will need to log into any Windows machine with Lync installed and follow the instructions below. This is not possible on a MAC client. For those that need someone to answer calls and incoming s Delegate assigning is recommended. A delegate is someone who is granted permissions to open another person s folders, create items, and responds to requests. The person granting delegate permission determines the folders they can access and the changes they can make. You can assign one or more delegates to make or receive calls on your behalf. 1. In the Lync main window, click the Options button, click Call Forwarding, click Edit my delegate members, and then, in the Delegates dialog box, click Add. 2. To remove a delegate, again in the Delegates dialog box, check the box beside a listed delegate, and then click Remove. What is a Response Groups? Please note if you want to view which Response Group you are in you will need to log into any Windows machine with Lync installed and follow the instructions below. This is not possible on a MAC client. The Response Group Service is a Unified Communications application that is used to create and configure workflows. Workflows route and queue incoming calls to groups of designated agents. An agent group is a collection of agents who handle incoming calls from the Response Group Service. When an administrator creates an agent group, he or she can select the agents that are assigned to the group, and specify whether the group requires agents to sign in and out. You will be considered either an informal agent or a formal agent, depending on whether you are required formally sign in to your agent group to begin receiving calls: Informal agents are agents that have been assigned to an agent group that does not require them to sign in and out. Informal agents are automatically signed in to the group when they sign in to Microsoft Office Communications Server 2007 R2. If you are an informal agent, you can receive calls routed to your group by using Microsoft Office Communicator 2007 R2 Attendant or Office Communicator 2007 R2. Formal agents are agents that have been assigned to an agent group that requires them to sign in and out. Formal agents must be signed in to the group before they can receive calls routed to the group. To View which Response Group you are in: 1. In the Lync main window, click the Show Menu arrow, point to Tools, and then click Response Group Settings. 2. Sign in with your CougarNet credentials and password. 5
