Hosted PBX Administrator Quick Start Guide 3/11/15
LOGIN Go to http://portal.hpbx.telepacific.net/ You can also login from insidetelepacific.com/portals/tpac-portals.asp, select TelePacific Hosted PBX. Your Username and Password were sent to you by email when your account was set up. If you have multiple locations, you will start by selecting a location. During Initial Setup, the locations will be labeled with your account number and a location identifier (e.g.1002034056-01). By selecting Edit you can change the name of that location. ACCOUNT Once in the portal, the main Screen will look like the below picture. Call Logs and Messages are shown for the telephone number selected in the top right corner. You can see the Call Logs and Messages for each user by selecting their telephone number. 2
Profile and Billing This information is for the main account. If you click on the Profile tab, you will see the Account Name, Account Number, and the Account Password information. You can change your web portal login password here! Web portal passwords are a minimum of 6 characters. The web portal password should not consist of the login ID, password (or reverse sequences). For adequate password strength your password must contain at minimum one number, upper and lower case alpha character, in addition to nonalphanumeric (special) characters. 3
SETTINGS The settings tab allows you to change the settings for the telephone number selected in the top right hand corner. Use the drop down box located at the top right to select the user. Click on View/Edit to manage each setting. Voicemail passwords can be reset by the administrator or the user. Go to Settings/Messaging/Reset Voicmail Pin and select View/Edit. Select Pin Reset and follow the instructions. Initially, all voicemail passwords are set to 8642. 4
GROUP Group Feature Settings allows you to manage your users and your virtual assistant. You can set your business hours and holiday schedule. Setup virtual assistant prompts and manage user accounts. Group Feature Settings: Auto Attendant This allows you to setup your Auto Attendant. Click on Business Hours Prompts and After Hours Prompts to assign descriptions and actions to various keys. 5
Group Feature Settings: Time Schedule This allows you to setup your business hours and holiday schedule. Group Administration: Manage Lines This allows you to change the name and the outbound Caller ID for each user on the account. 6
Group Administration: Manage Users This allows you to manage the customer portal setup for the individual users on your network. You can: Change password Setup password recovery email Assign administrative rights* Manage extension assignments * The individual users can control only their individual profile and settings unless they are set up as an administrator. Manage Locations This allows you to select which location you want to manage. By selecting Edit you can change the name of that locations. 7
Voicemail Setup from Phone Dial 98 or Press the messages button on your phone. * Enter your passcode. Press # Enter a new passcode and press # Re-enter your new passcode and press # Follow the prompts to record your name and greeting. Your voice portal code must be a minimum of 4 numbers with a max of 8. It cannot be repeated digits or sequential digits (i.e. 1234). The voice portal passwords cannot be extremely simplistic (e.g. user s extension, phone number, or reverse sequence of those). Voicemail Setup from Portal Go to Settings/Messaging/Reset Voicmail Pin and select View/Edit. Select Pin Reset and follow the instructions. To Access Voicemail You can access your voicemail from your phone by dialing 98 or the messages * button You can dial into your voicemail from a remote location: dial your phone number and press when the greeting begins to play * You can access your messages via the subscriber portal You can setup voicemail to email to have your messages sent to your email via a.wav file attachment. 8
Setting up Voicemail to Email Login to your account on the subscriber portal at http://portal.hpbx.telepacific.net/ Click Settings Click View/Edit option to the right of Voicemail (under the Messaging header) Choose Use Unified Messaging or Forward to this Email Address Enter the email address(es) where you would like your voicemail messages to be forwarded Click Save Note: Android users will need to download an app to listen to.wav files. We recommend downloading the WavPlayer app from play.google.com. 9
