Requirements The following requirements should be met to access the VU Webmail. A computer (Apple, Windows, Linux) with an active internet connection. One of the following browsers: Internet Explorer, Firefox, Safari. Other Browsers may work but have not been tested. Your VU-net-id. University Centre IT VU University Amsterdam 2
4. Login to Outlook Web App Go to the following website: https://webmail.vu.nl Select your security option, click show explanation if you are not sure what option to select.. If you experience problems with the interface in the normal version you can select: Use the Light version of Outlook Web App. Enter your VU-net-id user name and password. Click Sign in In the left column your mailboxes are shown. On the bottom left you can find the Calendar, Your Contacts and a Tasks list. 5. View your current mail quota Hover with your mouse over your name in the left column where the overview of your mailbox is shown. A pop-up will show you the amount of space you are using and how much space you have left before you are no longer allowed to send e-mail. University Centre IT VU University Amsterdam 3
6. Junk e-mail settings In the left column where the overview of your mailbox is shown there is a mailbox with the name Junk E-Mail. E-mail marked as Spam by the Surf Spam filter will automatically be dropped in this mailfolder. E-mail in this folder older then 30 day's will be deleted. Please check this folder regularly and check if e-mail is not falsly marked as Spam. Warning: Not all e-mail marked as Spam will be delivered into this mailbox. E-mail with a high spam score will be deleted on the mailserver and will not be delivered to your mailbox. No response will be send to the sender and no notification will be send to you. When you are using the vacation response service it will not react on e-mail marked as Spam. 7. Configure a forward When activating a forward a copy of all e-mails will be send to the e-mail address you specify. This will only be done as long as the specified e-mail address is active. Make sure you still login to your VU-Mail regularly as to delete e-mail from the server to prevent you from running into the quota limit. Go to options in the top right corner. In the left column select Organize E-Mail. Select Inbox Rules Click New... University Centre IT VU University Amsterdam 4
Select, under *When the message arrives, and: [Apply to all messages] Select, under Do the following: Redirect the message to... A new window will open with your address book. Enter the e-mail address you want to send a copy of all your mail to after To -> Click OK If you don't see a new window you may have a pop-up blocker active blocking this window. Turn it off and try again. Click Save You will get a warning: This rule will be applied to every message received. Is it correct? Click Yes. You may also get a warning stating that if you have configured rules within Outlook that these will be cancelled. 8. Turn on the autoreply (vacation response) Go to options in the top right corner. In the left column select Organize E-Mail. Select Automatic Replies Enter the necessary details and type the message you want people to receive when they send you an e-mail while you are away. Save your changes with Save in the lower right of the screen. 9. Add a signature. Go to options in the top right corner. University Centre IT VU University Amsterdam 6
In the left column select Settings. Select Mail. Enter your signature Save your changes with Save in the lower right of the screen. 10. Open a shared mailbox account In the top right corner click your name. Enter the name of the shared mailbox in the Select mailbox: field. Click Open University Centre IT VU University Amsterdam 7
11. Open a shared calendar Click Calendar at the bottom of the left column. Right click My Calendars and select Open a Shared Calendar... Enter the name of the shared calendar and click OK University Centre IT VU University Amsterdam 8
