Below is an explanation of how the spam filter works and information on what the end user can expect to see in their mailbox. Any additional questions on the Spam Filter can be mailed to the "Spam Questions" conference. The spam filter examines every piece of incoming for various spam "signatures", that is, known characteristics of spam. Each piece of mail is given a spam "score", and, if it exceeds the threshold, the is marked as "spam". Spam is not sent to your CAB Inbox, but is kept in a separate "quarantine" area of the Spam Filter server. Twice a day, you will receive an "digest" notifying you of all the spam that has arrived for your account. For each suspected , you will be given the spam "score", the sender's name, the subject of the , and the date of the . When you receive your digest, double click on the "Attach0.html" attachment to open it in your browser. (If you are using any type of "Pop-Up" Blockers in your browser, they will need to be disabled when viewing the digest). Below is a sample of what the digest looks like:
2 Title: Spam Filter Active / Spam Filter Active : CAB Page 2 of 5 When you receive your digest, you will have four options for each individual marked as spam: (1) do nothing and the spam will be deleted after 14 days; (2) request that the Spam Filter server send the individual to your Inbox; (Release) (3) request that the Spam Filter server send the individual to your Inbox and that any future sent by the sender will be ignored by the spam filter and will automatically be sent to your Inbox. (Safelist) (4) request that the Spam Filter server send the individual to your Inbox and let the spam filter know that the is not spam. (Not Spam) For example, if the subject mentions something about "fortunes in Africa", you would probably choose option (1) and let the spam filter automatically delete the . If the subject of the sounds like something you want to see, you would choose option (2) and the spam filter will send the to your Inbox. If you recognize the "sender" of the as someone you know and wish to receive all from that sender, then you would choose option (3) and the spam

For example, in the unlikely event that the spam filter mis-identifies a newsletter that you receive regularly, option (3) insures that all future from that sender will be received directly to your Inbox. In addition to receiving the digest twice a day, you will have the option of requesting the digest at any time. (Request: New End User Digest) You might want to do this if you know someone has sent you and and you have not yet received it. This way you can know immediately if the spam filter has quarantined the . End User Digest - Help Information Introduction Your End User Digest displays a list of your messages that are in the Quarantine. The CAB administrator controls which actions you can apply to the messages, and which messages are included in your Digest. Actions on Messages in the Digest The actions that you apply are processed by the web server on the Proofpoint Protection Server (Spam Filter). Here are some examples of the actions you can apply to the messages in your Digest: - Release a message from the Quarantine. The message is delivered to your box. - Release a message and add the sender of the message to your personal Safe Senders list. Future messages from this sender will not be sent to the Quarantine. - Tell the administrator that the message is not spam. Future messages that are similar to the not spam message will not be sent to the Quarantine. To apply an action to a message in your Digest: 1. Click the link for the message. For example, click the Release link for a message to release it, or click the Safelist link to release the message and add the sender to your personal Safe Senders list. 2. A browser window opens to let you know the request is being processed. You will receive a security warning like the one below (it will vary depending on your browser type) Click OK or Yes to continue.

These requests are processed by the Spam Filter server. Here are some examples of requests that you can make: placed - Request an updated Digest. The updated Digest includes messages that have been in the Quarantine since your last Digest was sent. - Request your personal list of Safe Senders and Blocked Senders. To request a new Digest or your personal list of Safe Senders or Blocked Senders: 1. Click the link in the Digest for the request. For example, click the Request New End User Digest link. 2. A browser window opens to let you know the request is being processed. 3. Check your for a response to your request. Manage My Account

Here are examples of managing your account: - Add and delete addresses from your personal Safe Senders and Blocked Senders lists. - Choose a Spam Policy from a list of policies the CAB administrator has already set up. A Spam Policy is how your is filtered for spam. (There is currently only one policy) - Choose whether or not you want to receive a Digest even when you do not have messages in the Quarantine. This is an Empty Digest. To manage your Digest: 1. Click the Manage My Account link in your Digest. 2. Click Profile, then Settings in the left side to determine if you want to receive an empty Digest and to select a Spam Policy. Select the check boxes on the right side or click the radio buttons to make your selections. 3. Click Profile, then Account in the left side to view your aliases, if you have any. You cannot make changes to this list. 4. Click Lists to view and make changes to your personal Safe Senders and Blocked Senders lists. Use the New, Edit, and Delete buttons on the top of the page to add, change, or delete entries to your lists. 5. Click the Save button or link to save your changes.
