Mimecast Services for Outlook (MSO4) End User Quick Start Guide for Outlook 2010/2013 Mimecast Services for Outlook (MSO 4) is a software application that integrates with your Microsoft Outlook. Once installed, MSO provides access to many Mimecast services directly from within Microsoft Outlook, such as: Direct access to your email archive Managing your personal blocked/permitted senders lists Reviewing your On Hold (quarantine) queue Exporting archived emails to your mailbox Applying delivery options when sending emails, e.g. including appending signatures and branding, delivering emails securely and managing attachments Real-time views of inbound and outbound emails, even if the company email server is unavailable Sending Large Files through Mimecast Note: Permissions to use MSO and available features are determined by your Administrator. Logging in with MSO Prior to accessing MSO features, software needs to be installed in your Outlook application and you will need to authenticate your login Information with Mimecast. Your Administrator will define the authentication method you should be using. When you launch Outlook, if you do not authenticate automatically, you will be notified with a pop-up message that you are required to enter credentials. Click on the Status Panel (bottom left corner of Outlook), which will take you to the Account Options screen. You may have one or more authentication methods defined for you. Choose at least one, and enter your password. 1
Mimecast Tab Navigation Once successfully authenticated, the Mimecast tab and options will be available. The image below is specific to Outlook 2010: Search your archive, save search criteria, and work with search results Access to your Online Inbox, Online Sent Items, and ability to activate Continuity Send large files through Mimecast, and monitor the access to the files Apply control over what emails are allowed to your Inbox, and report potential spam Monitor and control Large File Sending Authentication, software updates, and reporting feedback to Mimecast Note: Clicking the Help icon options. on any of the Mimecast pages provides more detail about how to use the various Searching for Emails The Mimecast Archive provides quick access to your historical emails. There are multiple options when it comes to searching your archive: Quick Search - The easiest option is to perform a Quick search. In the Mimecast tab, simply enter your search term in the Quick Search bar. This searches all aspects of the message (subject, headers, body, attachment, attachment name, attachments type) across the last years worth of email. The Search Editor can be used to create a Basic or Advanced search. Clicking the Search button from the Mimecast tab opens a box with the Basic search options showing by default: Basic Search: enter your search terms, the date range and the sender/recipient of the email Advanced Search: provides even more controls to ensure that only the emails you are interested in will be returned as results Choose from Any, Exactly, or All, and then enter the relevant search text Either enter the sender or recipient email/domain; or select to Only show emails sent to me Select the date range for the search Select the attachment type and enter any text from the attachment 2
Recent and Saved Searches After you run a search, it will automatically be saved in your Recent searches. If you plan on running a search frequently, save the search. Clicking Save from the Recent searches or Search results tab to save your search criteria for future use. Search Results The Search Results screen allows you to view and respond (reply, reply all and forward) to emails, export all your results, or save selected emails to your Outlook Inbox. You are also able to block senders from sending future emails, or report emails as potential spam. Exporting Emails To export (and save) all of your search results to your Outlook mailbox, click on the Export button at the bottom of the Search window; or to save specific emails, click on the Save button when previewing the email. Managing your Mailbox Managed Senders MSO provides tools for you to manage your mailbox. A block rule can be used to stop unwanted emails being delivered to your Inbox, while a permit rule can be used to ensure that emails from a specific sender are accepted - and therefore are not delayed in delivery to your Inbox. To add an email address or domain, click on Managed Senders in the Mimecast tab and add entries to either the Blocked or Permitted lists. To block senders, you can also right-click on an email and select the Block Sender option. On Hold Your Administrator may have created policies to ensure that possible junk or spam emails are not delivered directly to your Inbox, but are instead held in a quarantine area (or Hold Queue). On Hold provides access to review emails in your queue, and then either release or reject emails, add the sender to your Permitted or Blocked Sender lists, or report the email as spam. Reporting Spam There may be instances when you feel that certain emails should not have been delivered to your mailbox. Reporting the email as spam moves the email to your Junk Mail folder, adds the sender s email address to your Blocked Senders list, and forwards the email to the Mimecast Security Team for review. This will help in reducing future spam email to your Inbox. Note: This process does not open a Mimecast Support ticket, nor will you receive any feedback regarding your submission. 3
Create a Stub Use the Stub option to remove the contents of the email from Outlook. The email will still be visible and accessible, and the contents are downloaded from Mimecast when the message is accessed. Stubbing emails helps to reduce the size of your Outlook folders, helping to reduce the storage load on the company infrastructure and to improve your Outlook performance. This feature is most helpful when applied to large emails that you don t need to access regularly. Online Inbox & Online Sent Items Your company may have policies in place to delete emails after a certain amount of time, or when your mailbox reaches a certain size. The Online Inbox and Online Sent Items provides real-time access to your emails at any time from within Outlook, even if they no longer exist on your company mail server. You are able to view these emails, respond to them or even export them to a mailbox folder of your choice. Composing Emails When composing emails, additional options may be available from the Mimecast tab: Control how email is delivered Strip attachments (over 1 Mb) from email and replace with link Access Knowledge Base, submit feedback or update software Choose to apply Stationery or not Send large files directly through Mimecast, and not the email server Note: If any these options have been disabled by your Administrator, they will not be available in the Mimecast tab. Replicated Folders Your Administrator may have enabled Folder Sync so that you can view your folders in Outlook even if the email server is unavailable, or emails no longer exist. To view your email folders as you can view them in your mailbox, expand the Mimecast Archive - MMS mailbox. Many of the folders that are displayed are default folders within your mailbox, such as Inbox and Sent Items. Click on the expansion arrow next to Inbox to view your personal sub-folders.
