It is not intended to be an exhaustive list of services. Office of Information Technology The Office of Information Technology (OIT) provides information technology services and support on the four main campuses of Rutgers University. This guide is intended to provide basic familiarity with OIT and the services it provides to faculty and staff at Rutgers. Rutgers NetID: Your Key to Technology Services Access to nearly all of Rutgers IT services requires the use of a unique network ID (NetID). Faculty and staff are assigned their NetIDs during the on-boarding process. Faculty and staff can manage their NetID passwords, select Rutgers IT services, manage secret security questions and manage Rutgers email personalized addresses by visiting netid.rutgers.edu. RUWireless RUWireless and RUWireless Secure provide Internet access in student centers, libraries, dining halls, residence hall common areas and other locations. RUWireless Secure is recommended because transmitted data is encrypted for greater protection of personal information. Faculty / Staff Technology Guide Campus-Based Email Services On the Rutgers-Newark campus, OIT offers all faculty and staff members individual email accounts on a number of OIT managed computer systems. OIT provides a professionally managed and maintained email service that provides attractive features such as SPAM management, regular backup of email files, and web-based and client-based (e.g., Outlook, Thunderbird, etc.) access to email. Personalize Your Rutgers Email Address Your personalized Rutgers email address (e.g. firstname.lastname@rutgers.edu) is set up during the NetID and services activation process. All email sent to this address will be delivered to the address you selected when you created your personalized Rutgers email address. To view and manage your Personalized, Delivery, and Display email addresses, visit netid.rutgers.edu. GMail @ Rutgers (ScarletMail) The Office of Information Technology is pleased to announce the implementation of the Rutgers Google Apps for Education suite. The Rutgers implementation of Gmail and Google Applications is called ScarletMail and ScarletApps respectively. It includes the most popular Google Apps - Gmail, Drive, Calendar, etc. as well as the recent addition of many of the applications formerly available only with personal Google accounts. New faculty and staff are currently offered ScarletMail accounts during their NetID activation and services selection process. Additionally, any active faculty or staff member may activate the new service. Please note that there are no plans to phase out Andromeda email. To activate and access the ScarletApps service, go to scarletmail.rutgers.edu or the my.rutgers.edu Portal. Mailing List Services OIT offers two types of mailing list services: RAMS (Rutgers Automated Mailing System) is designed to allow authorized users to send mail to specific demographic groups (e.g., all first year students in Newark, a specific course section, staff members of a specific department, etc.). The data used to generate the lists in RAMS is taken directly from official University registration and employment data sources. To learn more about RAMS, please visit rams.rutgers.edu. Mailman allows users to create and manage their own mailing lists. These lists can be highly customized and geared toward specific interest groups. Mailman is integrated with the web, making it easy for users to manage their accounts and for list owners to administer their lists. To learn more about Mailman, please visit email.rutgers.edu. SPAM Management Tools SPAM is computer slang for the electronic equivalent of junk mail. SPAM floods message boards, newsgroups, mailing lists, and Rutgers email accounts with unwanted, unsolicited and often repugnant messages usually advertisements, promotions or deliberate disruptions. Rutgers provides advice on how to avoid spam as well as tools for managing spam. To learn more please visit ncs.newark.rutgers.edu/spam. Free and Discounted Software Faculty and staff can obtain free and discounted software through the University Software Portal. Titles from Adobe, Apple, Microsoft, SAS, SPSS and more are available for download. The software portal accepts Rutgers purchase orders for departmental purchases, and personal checks, or Visa / MasterCard for personal purchases. Academic Software Currently, departments and colleges share in the funding of the Maple, Mathmatica, ChemBioDraw, RefWorks, GIS software, Oracle, and Census Seat site licenses which are then made available to faculty and staff through the soft ware portal at software.rutgers.edu. Rutgers has negotiated educational discounts on computers and accessories from popular vendors such as Apple, Dell, Lenovo and Hewlett-Packard for both institutional and personal use. Access the online stores through FindTech. The site also offers advice on deciding what to buy. Visit findtech.rutgers.edu for more information. myrutgers Portal Primarily targeted at students, the myrutgers portal brings together a variety of information and services that are also available to faculty and staff at Rutgers University. The portal can be customized to suit individual interests and also provides another easy way to check email. OIT Newark Help Desk Computer Repairs? Departmental Services and Computer Repair is a department with Newark Computer Services. Departmental Services and Computer Repair is conveniently located in Hill Hall, room 122 on the Newark Campus for faculty and staff who want to have their institutional or personal computer professionally serviced. Services are fee-based. Learn more at ncsds.newark.rutgers.edu/ds. Computer Training Newark Computing Services offers free computer training for faculty, staff and students. Print Conservation at Rutgers Every January and July, $30 is posted to the printing account of each Rutgers student, faculty and staff for printing in the computing labs on campus. Accounts are charged 4 cents per sheet for black-and-white printing and 25 cents per sheet for color printing. Once your $30 allocation is exhausted, you can pay for additional printing with your Raider Card (ID card). The computer labs at Rutgers have saved more than 62 million sheets of paper during the first four years of the print conservation program. To learn more, check print usage or add funds to an Raider Card, visit printing.rutgers.edu. Protect University Information No computer or workstation is immune to compromise. University information and network assets are of significant value and protecting them is the responsibility of everyone handling these assets. Departments maintaining non-public personal information are responsible for that information and any disclosure of it. Departments holding unnecessary personal/confidential information should remove and properly dispose of it. It is everyone s responsibility to take appropriate measures to keep information/data confidential and private due to the dangers of identity theft and compromise of that information. Know how to report a computer abuse incident. Keep your laptop secure at home and while traveling. Use the Cisco VPN client for telecommuting to keep information confidential. Keep non-public personal information encrypted and delete any unnecessary nonpublic personal information (NPPI). Never store NPPI on mobile equipment. Do not send NPPI over a wireless connection. Do not open a link embedded in an email. They can be phishing sites where any information you provide can be used for identity theft. Never share personal information (e.g. passwords, social security numbers, credit card numbers) in email or at untrusted web sites (phishing). When discarding an old computer, wipe the drive clean. Virus, Spyware & Malware Removal In addition to providing free antivirus software, OIT provides assistance in detecting and removing viruses, spyware and malware. Simple infections can be remedied at our help desk for no charge. More complex infections can be remediated by the professional repair staff of NCS Departmental Services for a fee. Phishing Phishing is the attempt to solicit your personal information such as your username, password or Social Security Number by an untrustworthy entity. Your Rutgers and personal email accounts may be targeted. You should never reply to these requests. Instead you should delete the message and all future phishing messages. If you responded to a phishing email with your Rutgers password, you should change your password as soon as possible at netid.rutgers.edu or the contact the Help Desk at help@newark.utgers.edu. This allows Rutgers faculty, staff and students to access the everyday tools and utilities on campus as well as off campus. Please visit oit.rutgers.edu/remote for more information. Enterprise Systems and Services Enterprise Systems and Services (ESS) is the university business unit responsible for the design, implementation, operation, maintenance and evolution of central Information Technology (IT) facilities supporting the university community. From admission through graduation, from paychecks to web payments, ESS systems and services provide both the interface and foundation architecture for administrative operation of central university functions. RU-iptv RU-iptv is an innovative service designed to provide video programming over the Rutgers University data network. Launched through a partnership between the Office of Information Technology (OIT) and the Department of University Relations, RU-iptv offers local, national and international programming, as well as live coverage of Rutgers campus events. Services for Faculty Blackboard @ Rutgers Blackboard is a partnership between Newark Computing Services (NCS) and the Office of Academic Technology (OAT). It is a course management system used to extend the learning environment outside the classroom. Blackboard has many features that facilitate teaching, learning and interaction including: Incorporation of files, graphics, and audio/video clips into course materials Facilitated communication through: Instructional Computer Labs / Campus Computer Labs OIT operates a number of computer labs on the Newark campus. In these labs, students have access to Windows and Mac computers, a wide variety of software applications and high speed black and white and color laser printers. In a number of the OIT operated facilities, specialized instructional computing labs are available. These labs can accommodate anywhere from 20 to 60 students (depending on the location and schedule) and can provide hands-on access to specialized software during the teaching of the class. OIT Academic Digest OIT provides a monthly academic digest to help faculty and staff keep abreast of changes in OIT services. Enhance Student Learning with Technology The Office of Academic Technology supports faculty in the use of instructional technology. This office provides resources and technical assistance for technologies including, but not limited to: enhanced classrooms, Blackboard, synchronous communication such as Collaborate/Class Live Pro/Elluminate, podcasting, and personal response systems (clickers). In addition, instructional design assistance is available to help faculty enhance student collaboration, increase the effectiveness of class discussions, and improve student engagement. Faculty can schedule audio recording of lectures and make them available to users. Recordings can be scheduled online at cygnus.rutgers.edu/podcasts/podcast.html. itunes University is also available for faculty and staff at itunes.rutgers.edu. OIT Newark Help Desk Alternate Realities Imagine an environment where students come willingly to participate. This environment has clear tasks and an overall goal for all students. Each task completed advances the student closer to the end goal. In order to complete tasks, students must process content, give input, and solve complex problems. Each task builds upon the last and students must learn from previous successes and failures. This is the environment often faced when playing many of today s games. Online Class Rosters and Grade Submission Authorized faculty and staff can view, download and administer class rosters and submit grades and warnings online. To access class rosters and grade submission directly, please visit sims.rutgers.edu/rosters. Instructors can submit grades and view class rosters in Blackboard. RIAS (Rutgers Integrated Administrative System) Rutgers Integrated Administrative System (RIAS) helps automated Key functions within the areas of budgeting, financial reporting, General Ledger, Human Resources, Payroll, and Procurements. Authorized individuals are able to requisition goods and services directly from their desktops and monitor status. The requisitions are electronically routed through a streamlined departmental approval process directly to University Procurement & Contracting, or in the case of preferred suppliers, directly to the vendor. Qualtrics: Survey Solutions Qualtrics is an online enterprise survey solution which provides advanced survey logic and analysis targeted at research surveys, with a focus on academic institutions. Faculty / Staff Technology Guide Cyber-enable Environment Research Support The OIT Office of Instructional and Research Technology (OIRT) is a single point of contact for research faculty IT support. OIRT can help in many areas including infrastructure, high performance computing, and other unusual technologies. OIRT is also a bridge to many outside organizations such as Internet2, NJEdge, Teragrid, and others. For more information please visit oirt.rutgers.edu. Internet 2 National Research Network Internet2 is a consortium of 223 universities and 68 affiliate members including museums, libraries, and non-profit corporations. The consortium members work together with industry and government to develop the next generation of network applications and technologies that can take advantage of significantly higher bandwidth than today s Internet. Rutgers was one of the early participants in the consortium and continues to serve as a member institution. The primary goals of Internet2 are to: Create a leading edge network capability for the national research community Enable revolutionary Internet applications Ensure the rapid transfer of new network services and applications to the broader Internet community. High Performance Computing High Performance Computing (HPC) expertise and resources are available at Rutgers and offsite, including access to the National Science Foundation s (NSF) Teragrid systems. Software Site Licensing University-wide site-licensed software is made available in the public labs on all campuses and to the extent possible under the site license agreements available at apps.rutgers.edu (Apps). OIRT Video Production OIRT Video Productions assists faculty and staff at Rutgers University by providing them with a set of comprehensive and flexible multimedia services to supplement the efforts to integrate media in the classroom, the university workplace, and research settings. Statistical and Analytical Support Services Statistical, mathematical, and analytical work can be performed on apps.rutgers.edu using packages like SAS, SPSS, Stata, Matlab, Mathematica, Maple, PSPP, R, Sage, and more. Anyone with a NetID who has not yet used Apps can request this service via netid.rutgers.edu and then point their browser at apps.rutgers.edu to use these resources and see the full graphical user interface of these packages. Technical Support Staff Meetings NCS organizes monthly NITF (Newark Information Technology Forum) meetings on the Newark campus of IT technical support staff. Typically, topics include general interest presentations by IT support staff, vendors, and OIT. These meetings are video conferenced between an announced set of rooms, streamed live via vcenter.njvid.net to anywhere with built-in Q&A (log in with your NetID), and recorded for Vcenter.NJVid.net VoD service. Telecommunications Resources The Telecommunications Division (TD) is the university business unit responsible for the design, implementation, operation, maintenance and evolution of central voice, video, and data networks. These high performing networks are critical utilities at the university and are fundamental to the success of research, teaching, and learning. TD strives to provide seamless and pervasive telecommunications for the university community. Technical Support Mailing Lists RU_IT@email has become the main IT support mailing list in use at the University. This list provides a forum for obtaining technical advice and guidance, realtime updates on the status of services, platform specific troubleshooting, as well as a place to bounce ideas off other technical staff. IT Support Toolkit While originally designed with the Unit Computing Specialist position in mind, this site is intended to help all Rutgers IT professionals find the information they need in order to successfully perform their jobs. It contains a great deal of Rutgers-specific information and, though not intended as an all-inclusive technical manual, it does contain some very helpful technical advice as well.
