1 Information Technology Memo To: New Faculty and Staff From: Jason Ball, Assistant Vice President and Director of Information Technology Date: 4/16/2009 Re: Welcome from Information Technology Welcome to the Florida Tech family. As a technology based university it is important to provide you with Information Technology facilities and support that allow you to reach your full potential in your assigned tasks. While many of you will have special IT related needs, we have provided you with a basic set of computing tools and network access. In addition the IT staff is ready to discuss your unique needs and want to support your expanded needs. The basic support in your office includes your desktop computer, access to Banner (our administrative software system), standard Microsoft software, anti-virus tools, a unified network access logon, as well as some advanced Microsoft products. This includes a university wide update service for the latest versions of: McAfee VirusScan and Microsoft Operating Systems Microsoft Office Products (Word, Excel, PowerPoint, Front Page, Outlook, Access etc.) Additional Microsoft Products (Visio, Project, Publisher, Visual Studio) Access to our network facilities is through a standard logon system we call TRACKS which is described in the attached documentation. Our campus network is state of the art with access to regional and national services that are comparable to any university. The instructional capture, delivery, and support services are increasing with more than half of the faculty using these capabilities on a regular basis. We also have some freeware and limited licenses on other products. Our site license with Microsoft also allows each employee one copy the Office products and any upgrade to the operating systems for home use. These Microsoft products are available as a work-at-home license through specific vendors for a nominal cost as described on the IT website ( Included in this packet is a description of our facilities and services and a quick-start reference guide. 3 Information Technology Information Technology Services for Faculty, Teaching Assistants and Staff A comprehensive listing of services and facilities is available online at the Information Technology website at Please visit the IT website for updated information on the services and facilities shown here. Facilities Available for your Use Multimedia Classrooms Florida Tech s multimedia classrooms simplify delivery of technology-enhanced course content. These classrooms may include multimedia projectors, document cameras, write-on LCD tablets, VCR/DVD players and instructor workstations. Many classrooms also offer lecture capture capability (screen and instructor voice recording). Fully-Equipped Multimedia Rooms Fully-equipped classrooms have a full complement of multimedia equipment. An activated university TRACKS account and attendance in the Using Florida Tech s Multimedia Classrooms seminar is required to use the equipment in these classrooms. All equipment is controlled with a touch-panel located at the instructor s station. See the Florida Tech Classroom Capability Inventory page at the end of this guide for specific room capabilities. Laptop-Ready Multimedia Rooms Laptop-ready multimedia rooms are outfitted with LCD projection and audio systems and provide connections for laptops and video devices (such as VCR or DVD players). No other multimedia equipment is installed and instructors must bring a laptop, VCR or DVD player to class to use with these rooms. All equipment is controlled with a keypad, located alongside the laptop connection interface. See the Florida Tech Classroom Capability Inventory page at the end of this guide for specific room capabilities. Multimedia Classroom Training Information Information on the Using Florida Tech s Multimedia Classrooms seminar (including online registration) is available at TRACKS accounts are required for the use of these facilities and these accounts must be activated to work with equipment found in our multimedia classrooms. TRACKS accounts are activated during seminar attendance. Instructors teaching in departmental and laptop-ready multimedia rooms should attend this training seminar as well. Technology Support Center The Tech Support Center is located at the north end of the President s Complex within the Academic Quad. This facility provides technical support to faculty, staff, and students. A description of services provided can be found in the services area below. The TSC may be contacted at or [email protected]. Applied Computing Center (ACC) The Center is the only public computing facility that is staffed. It is an academic environment for students to gather to collaborate on projects in addition to personal computing. Services available include: Internet connectivity; Microsoft Office, SPSS, and Matlab software; presentation and multimedia software. The ACC is located on the 2 nd floor of Evans Library. Other Accessible Public Computing Labs Olin Engineering Complex rooms 127, 128, 130, 132, 228 and 229 are student-accessible computing labs and are available 24 hours a day, 7 days a week. These labs are available for use when classes are not being held in them. Room 272 is also available for access and is not scheduled for classes. Your Florida Tech ID card is required for access; you can apply for access using the online Key Request system at Video Production Studio Located in Olin Engineering Complex 119, the studio provides video production services to enhance delivery of course content. The studio may also be used for the creation of promotional videos. Facilities and services include video capture

Studio Classroom OEC137 Also located in the Olin Engineering Complex, OEC137 provides the ability to capture instructor video and voice, presentations and student interaction. While primarily used for capture of academic courses, OEC137 can also be used for broadcast of smaller events such as press conferences. Contact Amanda Burns at for further information. Center for Teaching and Learning Excellence (CTLE) / Teaching Technologies Center The Center for Teaching and Learning Excellence (CTLE) promotes effective and innovative learning methods within the Florida Tech community of faculty, students, and staff. CTLE produces and disseminates best practices in teaching and learning using workshops, technology transfer, laboratories, and research to integrate tools, theory, and technology for a diverse community of stakeholders. The Teaching Technologies Center, located in Crawford Room 211, provides a one-on-one training and consultation environment for faculty and contains a variety of instructional content creation tools. PC and Mac stations are available for course content development work. Contact Jody Bagdonas for assistance in using technology to enhance your course content at [email protected]. Services Available to You TRACKS Accounts - This is the single sign-on account that provides access to , Instructor Workstations, personal web pages and computing accounts. Your [email protected] address is the official communication medium at Florida Tech. All students, faculty and staff use this as their official electronic communication medium. For more information about (including directions on setting up an e- mail client or accessing via web browser) go to Technical Support - Technology Support Center This is your single point of contact for technical support. The Tech Support Center may be contacted at or you may enter a request on-line at Services include desktop assistance with operating systems, supported software applications, Banner and related administrative software, accounts, anti-virus software and coordination of hardware maintenance. Classroom technical support requests (including emergency assistance) are processed through the Tech Support Center, as well as requests for network and telephone support. Electronic Door Locks and ID Card Access Many facilities throughout campus use the university ID card for access instead of traditional key locks. To request access to a specific building or room go to Wireless Computing Access Wireless access is provided in all campus buildings other than dormitories. You must register your laptop for access prior to use. More information, including coverage maps and laptop registration, is available at Florida Tech Learning Management System (ANGEL) ANGEL, Florida Tech s Learning Management System (LMS), can be used to supplement a traditional classroom course or to deliver courses totally online. Information about Florida Tech s LMS is available at within the ANGEL Information Area. Seminars on using the LMS to deliver your course content are available - contact Willie Freeman at [email protected]. Specific applications for fully online courses should be discussed with the Center for Distance Learning staff.
5 Information Technology All faculty and students use their TRACKS account to logon to the LMS. For account assistance, contact the Technical Support Center at or you may enter your request on-line at For general support and technical assistance on the Learning Management System Software Installation in Multimedia Classrooms/Teaching Labs Software may be installed on instructor and student workstations for instructional use. Instructors must provide detailed information about the software license and which computers need the software. No demo, trial, or unlicensed software will be installed. One week of notice is required for software installation on Instructor Workstations. Software will be installed twice a semester on Student Workstations: two weeks prior to the term and seven weeks into the term. Requests to install software on those dates should be submitted no later than 4 weeks before the installation date. Contact Lab Support at x7390 to request a software installation. For details, visit Software Licenses On-Campus and Work-at-Home The university owns a site license for McAfee antivirus software and Microsoft Office Suite, Project, Visio, Visual Studio, FrontPage, and Publisher. These products are licensed to be installed on any university-owned machine. In addition, all university faculty and staff are permitted one copy for work-related use at home. For MS operating systems, only upgrades are covered. Also, SPSS and MatLab are available. For those packages contact Oscar Williams for information at [email protected]. Using itunesu to Deliver Audio and Video Content Florida Tech has teamed up with Apple to create an itunes media site for university-wide use. This project is known as itunes University, or itunesu. Florida Tech faculty, staff and students can use itunesu to post and download their own audio and video content. This audio/video content is available from the main itunes store and is accessible by anyone in the world. itunesu is located at contact Amanda Burns at [email protected] for information on using this service. Administrative Computing Services (Banner) Banner is the administrative information system on campus and training is available in areas of student records, reading budgets in finance and how to enter requisitions into the system. PAWS is the self-service student web service that allows student to access their records and faculty to advise students in order for them to register on-line. Web for Faculty provides online services to faculty via PAWS. Faculty can review their own class schedules, class rosters, and academic history of students in their classes, as well as students they advise. Instructors submit final grades through Web for Faculty. Features to be implemented soon include an electronic grade book, degree audit, and online access to syllabi and office hours. Please check for information and questions regarding your administrative computing needs. Special Event Support The Instructional Technologies program provides support for university-level special events on campus. This support may include setup of multimedia equipment and onsite technical staff for the duration of the event. Multimedia equipment provided for special events may include LCD projectors, laptops or presentation stations and document cameras. In addition, live Internet (streaming video) broadcasts may be set up for campus events to allow for wider community viewing. For further information or to schedule support for an event, please visit
6 Survey/Evaluation Scanning Services Information Technology The university provides SCANTRON equipment for survey processing and analysis, and for exam scoring. Contact your department for forms and the Technical Support Center for assistance and appointment times. Web Services Web services are available for consultation, university and personal projects, and training for faculty. Sharon Ainsley is the university webmaster; she may be reached at Web Services offices are located at the north end of the President s Complex within the Academic Quad, Building 401. Videoconference Room Videoconferencing services allow participants in remote locations to see and hear each other as if they were in the same meeting room. Presentations may also be delivered to other locations in PowerPoint format. Line use charges may apply, depending on the type of videoconference provided. ISDN (up to 256 K/s) and IP (up to 768 K/s) calls are supported. The videoconference room is located in Crawford Room 328 and can seat up to ten participants. Online courses and programs The Office of the Associate Provost for Online Learning has responsibilities for review and endorsement of all courses and programs for electronic offering. Proposals for the adoption of new technologies for delivery of online and distance learning require the review and endorsement of this office. For assistance with your plans for online courses and programs, contact Dr. Mary S. Bonhomme, Associate Provost for Online Learning, at [email protected] or at Copy Center Copy and print services are available at the university Copy Center, located in Building 406 of the Academic Quad. Services also include poster printing, binding and laminating.
