Designed for on-demand availability, ease of use and cost-effectiveness, your reservationless Conference Connections service takes communications to new heights of efficiency. This User Guide is intended to define Conference Connections terminology and explain its features and how to use them. It will also help maximize the benefits you and other participants experience during conferences. Verizon Conference Connections User Guide User Guide User Terms and Definitions Attendant A person summoned on-demand to answer questions or provide other assistance during conferences. Conference Dial-In Number The telephone number dialed by parties in order to conference. For your convenience, the same telephone number is always used for your customer account. Participant An invited party to a telephone conference. Participants join a conference by dialing the Conference Dial-In Number and inputting the correct Pass Code. Pass Code A 7 to 10 digit number used to identify the meeting the caller wishes to attend. Subscriber The Subscriber owns the conference account and Pass Code. The Subscriber usually begins all conferences. Subscriber PIN The Subscriber PIN of 4 to 10 digits is required to begin all conferences to prevent unauthorized access to the conference bridge. 02/01 3 Need Assistance? Verizon Conference Connections User Guide Feature Descriptions Announcements for Entry and Exit At your option, the reservationless Conference Connections system can sound a tone or do nothing when participants enter or exit a conference. Attendant Request The Subscriber or Participants can request attendant assistance for private or group consultation. The person requesting assistance remains in the conference until the attendant handles the request. Conference Continuation This feature allows the subscriber to exit a conference after it begins without disconnecting the participants and must be activated for each conference call. Note: the system automatically defaults to end the conference call when the subscriber disconnects. Conference Lock/Unlock This feature lets the Subscriber lock a conference once all parties are present to keep the conference private. Attendants cannot enter locked conferences, but can ring the conference requesting that the Subscriber unlock for attendant entry. Help Menu Help with using conference commands is available to every conference Subscriber and Participant. The system plays a private help message to the requester that lists the available features and their associated touch-tone commands. Mute/Unmute The Subscriber can collectively mute or unmute all lines in the conference except for the Subscriber s line. The participants can mute and unmute their own lines to help control distractions and interruptions. Participant Count The system automatically tracks the number of participants on a conference. Any Subscriber or Participant can check the number of people in conference at any time. The system announces the count privately to the requester. Quick Start As a rule, conferences do not begin until the Subscriber enters the conference. However, your account can be configured to allow the Subscriber to use this feature so that the conference begins as soon as the first Participant arrives. In this scenario, Participants who arrive before the Subscriber may talk to one another before the conference actually begins. Though the Quick Start feature offers less security, it allows unplanned meetings to occur whenever needed or permits conferencing when the Subscriber is unavailable to start the conference. 02/01 4 Need Assistance? Verizon Conference Connections User Guide Subscriber How to Conference Before the Conference: Invite participants to join your conference by pre-distributing the following: 1. The date and time of the conference 2. The Conference Dial-In Number 3. The Pass Code for conference entry followed by the # sign 4. Optional provide Participants with system features To Begin a Conference: 1. Dial your Conference Dial-In Number 2. At the prompt, enter your Pass Code followed by the # sign 3. Press * to identify yourself as the Subscriber 4. Enter your private PIN followed by the # sign 5. Press 1 to begin or join a conference Subscriber Controlled Options: 1. Press 1 to change PIN 2. Press 2 for Roll Call options 3. Press 3 for Quick Start 4. Press 4 for auto continuation 5. Press 5 for overview of account options Notes: A Subscriber can have only one active conference at a time. The Subscriber s PIN is required to begin a conference. If Participants dial in before the Subscriber s PIN is entered, the Conference Connections system places the Participants on hold until the Subscriber arrives. After 10 minutes without the conference subscriber, the call will be disconnected. Verizon Conference Connections User Guide Controlling Features During a Conference: Once the conference has begun, a Subscriber can control reservationless Conference Connections features using the following telephone keypad prompts: Feature Attendant Request Join Call 00 Attendant Request Private *0 Announcement Entry and Exit *3 Conference Continuation *8 Conference Lock *4 Conference Unlock *5 Help ** Collective Mute ## Collective Unmute 99 Participant Count *# Individual Mute *6 Individual Unmute *7 Prompt To End a Conference: 1. Say goodbye to conference Participants 2. Hang up 3. A short message is played for remaining Participants, then the system disconnects them Note: If the Subscriber inadvertently disconnects, all parties can dial back into the conference. 02/01 6 Need Assistance? Verizon Conference Connections User Guide Participant How to Conference To Join a Conference: 1. Dial your Conference Dial-In Number 2. At the prompt, enter your Pass Code followed by # 3. If the conference has not yet started, you may be placed on music hold 4. When the conference has started, you will automatically be joined after completing Step 2 Using System Features During a Conference: Once the conference has begun, a Participant can access reservationless Conference Connections features using the following telephone keypad prompts: Feature Attendant Request Group 00 Attendant Request Private *0 Help ** Participant Count *# Participant Mute *6 Participant Unmute *7 Prompt To Exit a Conference: 1. Verizon Conference Connections User Guide Tips for Successful Conferences Conference Preparation: 1. Plan an agenda for your conference 2. Determine who has a need to attend your conference 3. Distribute the conference agenda to Participants 4. Notify Participants of conference time, date, dial in number and pass code 5. Tell Participants what input you expect them to offer during the conference 6. Advise Participants of what materials they will need to access during the conference 7. Request that Participants be punctual Conference Facilitation: 1. Introduce each party on the conference 2. Explain briefly why each party has been asked to attend the conference 3. Ask Participants to speak one at a time during the conference 4. Summarize the objectives of the conference 5. Cover the agenda and stay on schedule Conference Closing: 1. Summarize the results of the conference as they relate to the stated objectives 2. Summarize the next steps to be taken if appropriate 3.
