Tuesday, April 28 Thursday, April 30 Tuesday, May 5 LINFIELD COLLEGE HOUSING REGISTRATION PROCESS for 2015-2016 Suburbs (College owned apartments) Doubles and Quads. If you want to live in a suburb double or quad and are suburb eligible, register at 7:00 PM in Wilson Upper Gym. Only students who will be a 3 rd year college student (minimum) or will be 21 years of age by the start of fall semester, August 31, 2015, are eligible to register for the suburbs. Suburbs Triples. If you want to live in a suburb triple and are suburb eligible (see above), register at 7:00 PM in Wilson Upper Gym. Residence Halls Singles, Triples and Suites. If you want to live in a residence hall single room, triple room, or 3 or 4 person suite, register at 7:00 PM in Wilson Upper Gym. *Any remaining Suburbs will be available to students who are suburb eligible. Residence Halls Doubles. If you want to live in a residence hall double room or any other open residence hall room, register at 7:00 PM in Wilson Upper Gym. How does the process work? 1. Read this information packet. 2. Go online and sign housing contract and complete meal plan contract. (You are not choosing your housing assignment at this point). 3. Determine what type of room you want to live in and with whom you want to live. Check the Residence Life website (www.linfield.edu/reslife) for housing floor plans. (Note: floor plans are subject to change and are not to scale.) 4. Prioritize your housing preferences. Have several possible options in case your first choice is unavailable. 5. You must have the correct number of eligible students to fill a room or apartment before registering for that room or apartment. You may not hold a space open for any student who is either ineligible to register for that location or for any student who will not be on campus fall semester (i.e. a student who will be studying abroad in the fall). 6. All students who have registered for fall 2015 classes will be sent a housing registration card indicating the number of credits they will have earned by the end of spring 2015. You must bring this card to housing registration. If you disagree with the number of credits listed on your card, please stop by Student Affairs, Melrose 110, by April 28. 7. To live in the suburbs (College owned apartments) each student must be suburb eligible. Only students who will be a 3 rd year college student (minimum) or will be 21 years of age by the start of fall semester, August 31, 2015, are eligible to register for the suburbs. 8. Come to Wilson Upper Gym by 7:00 PM on the date designated above, depending on what type of housing you want next year. You must bring your current Student ID and your housing registration card. 9. Add up the total credit hours of those students you want to live with to determine your housing priority. Students will be put in order according to the group s total credit hours and then will be allowed to choose their rooms. 10. You will sign a housing contract when you sign up for a room. There will be a $300 contract cancellation fee assessed to any student who does not honor that contract. The cancellation fee will increase to $600 after July 1, 2015. Fall 2015 Class Registration & Housing Registration Card To register for fall housing, you must bring your valid Student ID card and you must be registered for fall 2015 classes. Course registration occurs April 13-15. If you are not registered for fall 2015 classes, you will not be allowed to participate in housing registration. Students must be registered as a FULL TIME student (minimum of 10 credits) in order to be eligible for college housing (except seniors in their last semester of college). After you register for fall 2015 classes, a housing registration card will be sent to your unit box. This card will indicate the total number of credit hours you will have earned by the end of spring 2015. You must bring this card to housing registration. Credit Hour Priority for Housing Selection Housing registration priority is determined by the TOTAL number of COMBINED credit hours accumulated by the students who wish to occupy the room or apartment. The student who has earned the most credit hours in the group will be used to break any ties. In the event of a tie between two students with the same number of credit hours, the lowest ID number will be used as a tiebreaker. If you believe the number of credit hours listed on your registration card is incorrect, you must notify Student Affairs, Melrose 110 IMMEDIATELY so the numbers can be checked with the Registrar. NO changes to credit hours will be made once the housing registration process begins on April 28, 2015. Suburbs (College owned apartments) The Residence Life website, www.linfield.edu/reslife, currently shows all Suburb properties and their capacities. Only students who will be a 3 rd year college student (minimum) or will be 21 years of age by the start of fall semester, August 31, 2015, are eligible to register for the suburbs. Students Unable To Attend Housing Registration If you are unable to attend housing registration at your designated time, you must give your housing registration card and a signed note to someone who will act as your representative. The note must designate the specific person who will select your

housing. Students should have already gone online to sign housing contract. Students should not miss class to attend registration. Students Currently Studying Abroad or on Leave of Absence Students who are currently abroad or on a leave of absence must designate someone who is on campus spring semester and will be able to attend housing registration to represent them during the housing registration process. Send an email to housing@linfield.edu designating the specific person who will select your housing and Cc: that person your authorization by April 17, 2015. Have your representative pick up your housing registration card in Student Affairs, Melrose 110, before housing registration. For students studying abroad, an automatic 15 credits will be added as spring 2015 credits to the total cumulative credits earned as of January Term to determine your housing registration priority. Your representative will go through the regular housing process to register on your behalf. If you plan to live off campus in the fall, you must file an Off Campus Housing Exemption form (see section below). If you apply for a housing exemption but do not meet the exemption criteria, you will be assigned college housing by the Residence Life staff. Students Studying Abroad during 2015 Fall Semester or the 2015-2016 Academic Year Students that will be studying abroad during fall semester 2015 or the full 2015-2016 academic year must complete the online housing registration process by selecting the study abroad option, by May 8. This form will indicate your housing preferences for your return to Linfield. If you are going abroad with a non-linfield program, please stop by Student Affairs, Melrose 110, for more information. Off Campus Housing Exemptions Linfield College is a residential campus and requires all students to live in college housing for three years. Students requesting a housing exemption for the 2015-2016 academic year must complete the online housing registration process by selecting the off campus option, by May 5. If you are currently exempt, you must reapply by completing this process. A student may be exempt from college housing if the student meets at least one of the criteria listed below: 4 th year college attendance (minimum) 21 years of age prior to the start of the 2015-2016 academic year (August 31, 2015) Living with parent(s) or guardian(s) in their primary home of residence within 20 miles of Linfield Mac campus Married or registered domestic partnership Qualifying dependent(s) living with you in your primary home of residence Meal Plan Options All students living in residence halls and students living in fraternity housing (who are non-suburb eligible) must be on a meal plan. Students will choose a meal plan online. All students in the residence halls and students living in fraternity housing (who are non-suburb eligible) must be on one of the three meal plans: Plan A Unlimited: Unlimited AYCE* meals + $125 Flex ($2,480 per semester) Plan B Weekly: 12 unlimited AYCE* meals per week + $300 Flex ($2,420 per semester) Plan C Block: 100 unlimited AYCE* meals per semester + $600 Flex ($2,310 per semester) There is no meal plan exemption available for students living in residence halls or for students living in fraternities (who are non-suburb eligible). Our campus dining services program can accommodate your special dietary requirements. Rooming With an Incoming Student If you have a friend in the incoming freshman or transfer class with whom you would like to live, that person must have paid his/her matriculation fee and designated you on his/her housing preference card before April 17. In order to select a room with a specific, qualified, incoming student, you must ask the Office of Admissions for a letter stating that the student has been admitted, paid a deposit, and designated you on his/her housing preference card. You must bring this letter to Student Affairs, Melrose 110, by noon on April 17. Need a Roommate If you need a roommate for the 2015-2016 academic year, you may post a message on the Linfield College Roommate Search Facebook group. Please log into your Facebook account and type Linfield College Roommate Search into the search bar. Select join group. You must be confirmed as a current Linfield student before you will be allowed access into the group. If you cannot find a roommate, please complete the Current Student Housing Preference form available in Student Affairs, Melrose 110. Residence Life will place you with another returning student or current student who is also without a roommate at the end of the housing registration process. Do not attempt to register for housing if you do not have enough eligible students to fill a room or apartment. Special Needs Housing If you have needs that require special housing, please contact Student Affairs in Melrose Hall 110. Special housing accommodations will be made with a recommendation letter from one of the following: Learning Support Services, Counseling Center, Student Health Center, or the Chaplain s Office. Recommendation letters must be received by April 14. If you are currently assigned special housing, you must re-submit a recommendation letter to renew your special housing request each academic year.

Living with an International Exchange Student Linfield seeks to enhance cross-cultural understanding and awareness among students. If you would like the opportunity to live with an international exchange student and you are willing to participate in activities with him or her when appropriate and convenient, please complete the request to live with an international exchange student form, available in Student Affairs, Melrose Hall 110, by April 17. You will be notified by April 24, 2015 whether you will be able to reserve a spot in your room for an exchange student. International Exchange students will be given 45 credits to add to your credits. Anyone registering to live with an International Exchange student may only select a standard double residence hall room. Only a few exchange students are eligible to live in suburb housing. Please check with Student Affairs, Melrose Hall 110, to see if this option is available. Triple 216 540 Apts. 198 Dana Apts. 139 Summer Housing 2015 If you would like housing for summer 2015, you must complete a Summer Housing Registration Form and turn it into Student Affairs by Friday, May 1, 2015. The Summer Housing Registration Day will take place on Monday, May 11. Frerichs Hall, Potter Hall, Newby, the 540, Legacy, and College Ave. apartments will be used to house students this summer. The rate for a double room is $1125 for the summer. Students employed by the college for at least 20 hours per week in the summer will receive free housing. Waiting Lists If you do not get into the specific room or type of room you want when you register, you may put your name on a waiting list available at housing registration and in Student Affairs, Melrose 110. The waiting list will be ranked according to credit hours. The list will close on May 15. The Director of Residence Life reserves the right to override the waiting list in unusual circumstances, particularly in order to maximize the number of available beds. Portland Housing Limited Portland Campus housing is available for Summer 2015 and Fall 2015. Summer applicants must either be enrolled in classes or otherwise engaged in College- affiliated programs. ROOM REGISTRATION UNIVERSAL TRUTHS 1. Total credit hours always designate priority. Ties will be broken by the student with the highest number of credits between the groups. If that is also a tie, the lowest student ID number will be used. 2. You must be registered for fall 2015 classes as a full time student (minimum of 10 credits) in order to select a room. 3. Once you register for a room, your name will be taken off the list and you may not register for a different room. 4. You will not be allowed to register for college housing without having the correct number of people to fill the space. 5. If you plan on living off campus, you must file a new housing exemption request each year. 6. Once you file an exemption request, and are approved to live off campus, you give up any right to campus housing priority should you later choose to live on campus. 7. People may not switch rooms or roommates, or register for rooms they do not intend to occupy, in an attempt to take advantage of credit hours. All such situations will be dealt with on an individual basis. 8. If you have signed a housing contract or been assigned college housing there may be a contract cancellation penalty assessed if you decide to cancel your housing: Prior to July 1 - $300 Contract cancellation fee July 1 to last day of classes Spring Semester - $600 cancellation fee + pro-rated fee for weeks of occupancy COMMONLY ASKED QUESTIONS AND THEIR ANSWERS Q: I am 20 years old and I have 61 credits. Can I live in the Suburbs (College owned apartments)? A: Only students who will be at least a 3 rd year college student (regardless of credit standing) or will be 21 years of age by the start of the academic year, August 31, 2015, can live in the suburbs. Q: I am 20 years old, have 65 credits, and am currently a 1 st year college student. Can I live in the Suburbs? A: No, only students who will be at least a 3 rd year college student (regardless of credit standing) or will be 21 years of age by the start of the academic year, August 31, 2015, can live in the suburbs. Q: I am not in my 4 th year of college or age 21, but I have senior class standing (94 credits) and I want to live off campus with my friends. Can you make an exception? A: No, Linfield College is a three-year residential college and requires all students to live in college housing, unless they meet one of the following criteria: o 4 year college attendance (minimum) th o 21 year of age prior to the start of the 2015-2016 academic year (August 31, 2015) o Living with parent(s) or guardian(s) in primary home of residence within 20 miles of the Linfield McMinnville campus. o Married or registered domestic partnership or qualifying dependent(s) living with you in your primary home of residence. Q: I will turn 21 years of age during the middle of the academic year, can I live off campus after my birthday? A: No, you must turn 21 years of age by the start of the academic year, August 31, 2015. Q: I am a junior and want to live with another junior and two seniors. Will we get into the HP Park Apts.? A: It is impossible to predict how many credits it will take to get into the HP Park Apartments in any given year. On page 3 of this document there is a list of average number of credits needed for housing types for the last few years. Q: I do not have a roommate. Can I pay the difference to sign up for a double room and keep it for myself? A: You must have the required number of students designated for the room. If you do not have a roommate, you cannot sign up for a multiple occupancy room during the housing registration process. Once the housing

registration process is complete, you will work with Residence Life to select housing and you will be assigned a roommate. Q: If I want to live in the same room or apartment, do I have a priority over other students to live there? A: All rooms and apartments (with the exception of rooms reserved for Residence Life staff) will be open at the start of Housing Registration. Students will not be given a priority to live in their current room or apartment. Q: Can I leave my stuff in my fall room or apartment over the summer? A: No, conferences are held throughout the summer and the Residence Halls and Suburbs are used to house conference attendees. Q: Where can I store my things over the summer? A: The College does have limited storage for students who will be living in the Residence Halls in 2015-2016. Students store their belongings at their own risk. Storage is not available for students in the Suburbs. Students are encouraged to go together with roommates or friends to rent storage units in McMinnville. Q: I never eat at Dillin because I have special dietary needs and concerns, but I live in the residence hall, is there any way I can be off the meal plan? A: Our campus dining services program can accommodate your special dietary requirements. A: Spring Flex dollars do not transfer to the next academic year. Q: If I do not need all the furnishings in my room or apartment, is there any place to store the furniture? A: No, Linfield does not have a place to store furniture not in use. Removal of furniture is not an option.
