1. VRD - key points to note a b c d e f g h i j k l m n VRD allows you to connect to a Herbert Smith Freehills virtual machine and work as if you were in the office. Items stored locally on your computer hard-disk (e.g. My Documents folder, Outlook personal folders) will not be available. Specialist software such as Microsoft Visio and LaserForms will not be available. It is possible to connect to your office network printers. It is possible to connect a USB memory stick on Windows computers only. Access to the VRD software does not mean that you automatically have permission to work from home. If you need to work at home, then you must ensure that you are able to carry out your duties at home and have obtained permission from the appropriate person in advance. The VRD session will timeout after 3 hours of keyboard and mouse inactivity. Access to Herbert Smith Freehills systems will timeout after 24 hours irrespective of activity. This process cannot be interrupted, but you will be able to log back in to Herbert Smith Freehills systems immediately for a further 24 hour period. Users of wireless broadband connections may experience occasional disruption due to the wireless signal not always being continuous. If the signal is lost for a couple of seconds, this may be enough time for the VRD session to be disconnected. When working within the VRD it is important to save documents regularly. If you become disconnected then you have 3 hours to reconnect to resume working. If you do not reconnect within three hours then the Herbert Smith Freehills virtual machine will reset and any unsaved work will be lost. If you have been regularly clicking on Save as you work on your documentation it may be possible to retrieve a recent copy of your document from your U: drive. If you lose your connection to VRD you may prefer to contact your regional IS Helpdesk / Service Desk immediately to retrieve your documents before logging back in. Documents must be saved into WorkSite or to your U: drive. Any locally saved documents will be lost. Browsing the Internet within the VRD can reduce performance on certain Websites. If you wish to browse the internet please minimise VRD and use the web browser available to your PC, laptop or device. If opening large PDF files with pictures you may experience slowness while the images are being downloaded. 1

First time user to VRD If you have never used this new version of VRD on your PC or laptop: a Download the VMware View client and; b Install the VMware View client; Please note that you will need to do this on each machine that you want VRD to be available on. Refer to section 4.1 for information on how to do this. 3. Returning user to VRD If you have already downloaded and installed VMware View client on to your PC or laptop (see section 2) then you are a returning user to VRD. Proceed to section 4.2 for information on how to use VRD on your machine: 4. Using VRD for Windows 4.1 Downloading and Installing the VMware View Client This section applies to you if you are a first time user of this new version of VRD, or if it is the first time you are using this new version of VRD on any particular PC or laptop. You will only need to download and install the VMware View Client once. However if you wish to use a different PC or laptop to access VRD, you will need to install the VMware View client on each different machine. a b Open Internet Explorer and go to the website: UK, EMEA: https://vrd.herbertsmith.com Asia: https://hkvrd.herbertsmith.com Click the link to access the download links c Select either Windows 32bit or Windows 64bit depending on your version 2

System Requirements for Windows Windows 7 32 or 64bit / Windows XP 32-bit SP3 / Windows Vista 32-bit SP1 or SP2 Memory at least 1GB of RAM If you are unsure which version to install choose the 32bit version d On the File Download message box click Run Follow the onscreen steps to take you through installing VMware View Client software. e Click Next through the following screens to install the software 3

You are now able to access the Herbert Smith Freehills systems. Follow section 4.2 for information on how to do this. 4.2 Connecting to your Herbert Smith Freehills Desktop a Double click the VMware View Client icon on your Desktop b The server should already be populated with the correct connection server, if not enter vrd.herbertsmith.com for EMEA, UK and US or hkvrd.herbertsmith.com for Asia and click Connect 8

c Your desktop will automatically load allowing you to access the Herbert Smith Freehills applications. Enter your username and RSA SecurID token details and click OK d Enter your password and click Login. Ensure you select HERBERTSMITH or, if you are a GLAD user, HSF in the Domain drop down field. e f Select the Herbert Smith Freehills Desktop Choose Full Screen or Window and click Connect 9

If you are using a Herbert Smith Freehills KIOSK build laptop (standalone machine) you will see a Windows Security Alert dialog box. Click Cancel to continue. Your desktop will automatically load allowing you to access the Herbert Smith Freehills applications. You can change the display from full screen by using the grey bar located at the top of the screen If you choose full window you will have the application bar at the top which will allow you to minimise the VRD session to access your personal computer as 10

4.3 Disconnecting from the Herbert Smith Freehills Desktop session a Click the Start button and select Restart 4.4 Reconnecting to the Herbert Smith Freehills Desktop session Follow the steps in section 4.2 of this guide 5. Troubleshooting for Windows 5.1 What are my details to login Feature / Option User Name: Passcode: Password: Description Windows user name. 4 digit PIN and RSA SecurID token number. Windows password. 5.2 Local and Network Printing a b When you login to the virtual machine your home and network printers will be available to use as normal. You do not need to change any settings. Should you inadvertently click the Connect USB button on the top task bar, this will try to install the printer software to the virtual machine and subsequently fail. 5.3 Connecting USB drives a b c We recommend users do not try to access USB drives from a virtual desktop due to poor performance. This issue has been raised with the software vendors and should be resolved in future versions. If you do access files on the USB drive please note that it can take up to 20 minutes for the device to be scanned and connected to your VRD session. Click Connect USB Device and click the device you wish to connect. 11

d Should you need to access your encrypted USB stick, please contact your local Service Desk. 5.4 Connecting to local drives This feature no longer exists. 5.5 Server connection error If you attempt to connect to VMware view and you do not have an internet connection you will get the following message: 6. Other requirements for VMware View Client 6.1 Anti-virus software (Windows and Mac) You are required to have an anti-virus application installed and running in order to access the Herbert Smith Freehills systems from outside of the office. There are recommended free anti-virus software as follows: AVG Free from Grisoft http://free.grisoft.com/ Microsoft Security Essentials (http://www.microsoft.com/security_essentials/) Alternatively you can purchase any of the following recommended anti-virus applications: McAfee Anti-Virus (http://www.mcafee.com) 12

Symantec Norton Anti-Virus (http://www.symantec.com) 6.2 Firewall software (Windows and Mac) You are required to have a firewall application installed and running in order to access the Herbert Smith Freehills systems from outside of the office. Some versions of Windows and Mac come with a free personal firewall. You are able to install and run a different firewall application if you require. We recommend that you only have one anti-virus or firewall application installed and running. This will help avoid problems later with software conflicts. 6.3 VMware View Client You will need to install the VMware View Client in order to access the Herbert Smith Freehills systems. This software is available for download, instructions can be found in section 4.1 of this guide. 6.4 RSA SecurID token You will require an RSA SecurID token before you are able to access the remote systems for Herbert Smith Freehills. Please contact your regional IT Helpdesk / Service Desk for further assistance. Contact details can be found on the reverse of this guide. 6.5 Other software connected to the internet. Please close any software application that automatically uploads or downloads content from the Internet as this could impact the usability of VRD. For example: itunes.
