3 1. WHAT IS is Allen & Overy s remote working option. It can be accessed from within Allen & Overy from any of its offices globally or externally with an RSA SecurID token. The SecurID will either be a small, separate device or an application installed on your BlackBerry (see Appendix 1). Using Omnia remotely in this way gives normal access to Omnia including virtual files, Microsoft Office applications, Carpe Diem (including SmarTimers) and the Intranet; all that is required is a trusted PC with an Internet connection. 2. THREE IMPORTANT POINTS REGARDING YOUR PC/APPLE MACINTOSH Although Allen & Overy only primarily supports PCs and laptops, a best endeavours policy is applied for supporting Apple devices. To gain full Omnia functionality within you will need to download specific software Citrix Receiver and further details are in Section 4. (c) Note: You do not need to do this if using on an A&O laptop. Not only can you access via Internet Explorer, you can also use multiple browsers such as Mozilla FireFox and Safari. When downloading the Citrix Receiver software, full details and screenshots are provided in this guide on the basis of using Internet Explorer and Safari. 3. HOW TO ACCESS You can access the site both internally from an A&O office and externally using a trusted PC or laptop. To gain access on an external PC or laptop (including an A&O laptop), you will need to use an RSA SecurID token (see Appendix 1). Ensure you have read Section 2 above before doing this for the first time. Access is gained as follows: Type into a new Internet Explorer window and you will then see the following (whether internally or externally): Select your normal home office from the dropdown list: TSG:

4 (c) Select myomnia as outlined in red: Note: myomnia gives full access to Omnia and its applications. The option gives access to only without the ability to file items to a virtual file. See Section 9 for further details. (d) If you see the following Security Alert, click OK: (e) If accessing the system externally for the first time on that PC or laptop, you will see the following prompt notifying you that the Citrix Receiver software needs to be installed on your PC or laptop (this is not the case if using an A&O laptop no software installation is needed): Before installing and using please refer to Section 4. Once installed, continue access with step (g) below. (f) Having installed the software you would then see the screen below (with an additional message: An appropriate client is available on your computer ). When you subsequently access the system, select your home office and choose myomnia the screen below will appear. If accessing the system within an A&O office, the PASSCODE field will not be present: TSG:

The Passcode (seen if you access the site externally) will be the number generated entirely (or in part) by your RSA SecurID token this will depend upon whether you are using a separate device or the RSA SecurID application installed on your BlackBerry (see Appendix 1 for exact details). Add this and click Log On. Note: Subsequent access will be as described above, but excluding step (e). (i) You should then select your Omnia icon from the MyOmnia.net screen. 4. DOWNLOADING THE SOFTWARE TO USE If accessing on an A&O laptop, you do not need to download software. Full Omnia access via from a home PC or laptop requires the download of software called Citrix Receiver. If you plan to use a public computer, you may well not be permitted to install this software you may only be able to access your (see Section 9). You will be prompted to install the Citrix Receiver software when you log into externally for the first time. The prompt will appear after having selected your normal home office and myomnia from the Mobile Working page. The Install option (shown in Section 3(e)) needs to be clicked to start the download. Do note that you may not see a prompt for installation if using an Apple Macintosh. You should then refer to the relevant Appendix for installation instructions: Windows XP Appendix 2 Windows Vista or Windows 7 Appendix 3 Apple Macintosh Appendix 4 5. USING FOR THE FIRST TIME Once you have downloaded the Citrix software (this is not necessary if using on an A&O laptop), you can use Omnia and its applications. It looks exactly the same as Omnia in the office you have complete access to Outlook and are subscribed to all the matters as you would be normally. Having read the Good things to know in Section 5.1 below, note also the methods of working outlined in Section 5.2 below. Information specific to an Apple Macintosh is contained in Appendix Good things to know about working with The Citrix Receiver icon You will see the Citrix Receiver icon in your system tray (bottom right of your screen, just to the left of the clock). If you cannot see it, click the Show hidden icons button (outlined in white below) in case your PC/laptop has hidden it: TSG:

6 (This is how the Show hidden icons button appears in Windows 7, but it may show slightly differently in other versions of Windows). (i) (ii) The Citrix Receiver icon works slightly differently outside the office to inside and should be used at the end of your working session as a quick check to ensure you have properly logged out of (see Section 7). Its disconnect option can also be used to disconnect from a session if you plan to take a longish break (couple of hours perhaps) from working and your internet connectivity is not always consistent. By doing this, you will then be able to log back on and reconnect to the previous session with all its open applications. Documents should, however, be saved and closed before disconnecting. (c) (d) (e) (f) Add MyOmnia.net site to your trusted sites for better working (not relevant if using an A&O laptop) When using Internet Explorer, adding MyOmnia to your trusted sites may restrict pop-ups appearing; it will also enable you to more easily reconnect to a current session of myomnia in the event, perhaps, that you lose internet connection while working. Details of how to check whether MyOmnia is already added/or to add MyOmnia to your trusted sites is shown in Appendix 5 (note that it is not simply the address). Launching applications: You can launch any application from Omnia by clicking on the relevant icon as you would in the office. Opening an application may not happen immediately on your PC or laptop it must first initialise and then access the server before your personal settings are loaded (you should wait until the application has loaded before trying to access anything else). Time-outs (loading applications) If you are logged into and do not use the MyOmnia application screen for 20 minutes, that screen will time-out. If you are already working in Omnia at that point, this probably will not affect you you will only notice it if you need to load any other application from that screen beyond 20 minutes after logging on. If it has timed out, it gives you the option to reconnect and you will be required to add in your log in details again. Time-outs (general working) If you leave a working Omnia/Citrix session open for more than eight hours, will automatically time-out. You should, therefore, ensure you save your documents regularly and close them when finished and close your session when finished. Closing down correctly When you have finished working, you should follow the closing down guidance in Section 7 to avoid the risk of documents being locked and/or potentially document edits being lost. You should save and close all documents, close all open applications and log out of following that documented process. 5.2 How will I work with There are, essentially, two ways of working with Method One should always be used unless one of the circumstances listed under Method Two occurs (details of working with Method Two are contained in Appendix 6) TSG:

7 Method One: You work as you would in the office at your desk, ie over an internet connection on a PC or laptop, you work via with constant connectivity documents are opened and edited whilst you are connected. You are effectively working in the 'live' Omnia environment. Method Two: This is for use in specific, exceptional circumstances. This involves logging into checking a document out to your local PC or laptop and editing and/or printing the document on that local PC. You do not usually remain connected to whilst you are working on the document. Once the document work is complete, you log back into Omnia and the document is checked back in Omnia as a new version. This method should only be used in the following circumstances: (i) (ii) (iii) In the event of a crisis situation you would first be notified if it was necessary to work using this method. It may be necessary if there are a large number of people needing to work remotely at once. If the format of a printed document is important see Section 6 below. If your Internet connection is troublesome if you are dialling into through a modem, or if you have a particularly troublesome broadband connection. See Appendix 6 for further details for checking out documents to your home PC/laptop or A&O laptop if working with this Method Two. 6. PRINTING FROM If you have a printer connected to your home PC or laptop, you will be able to print out any information that you see on screen whilst working within However, as has a universal printer driver (to cater for all kinds of external printers), the printed item may not show all that you had expected and the formatting may not be perfect. If this is the case and you need precision printing, you can check-out your document to your local PC or laptop and print to your local printer (see Method Two detailed in Section 5.2(ii) above and Appendix 6). If using in an A&O office, you will be able to print as you would normally. 7. LOGGING OFF VITAL INFORMATION Each time you work with you must thoroughly close down that working session (this becomes even more vital if working on a public PC) as otherwise, someone else would be able to access your Omnia account and information on that PC/laptop. In addition, if you do not exit correctly, it may be problematic if you try to access the system again soon after. Always follow the steps below and note, in particular, Point 7(e) below: Save and close any Microsoft documents you have open. Close all applications, including the Omnia application which you should leave until last TSG:

8 (c) You will then see the Workspace Manager splashscreen appear and disappear to indicate that your working session is closing: (d) If you are uncertain whether or not the splashscreen has appeared, follow the steps below (to check the Citrix Receiver) to ensure that your working session has properly closed. You should click Log Off at the top of the myomnia.net screen if this option is still displayed (as this screen times out after 20 minutes, it is quite possible that that this will no longer be available, but if it is there, you should click it): (e) If the Citrix Receiver icon is still present in your system tray (bottom right of your screen, just to the left of the clock) you should use it to access the Connection Center to check you have completely logged off (if you cannot see the icon, click the Show hidden icons button see Section 5.1 for more information in case your PC/laptop has hidden it). If it is available to use, follow the next steps (some PCs/laptops will not show the icon once you have completely logged out, but others will). (f) Right-click over the Citrix Receiver icon and choose About. Note: If using an A&O laptop the Connection Center you need to access may be available to view by right-clicking the Citrix Receiver icon, selecting Online Sessions and then Connection Center (as you can in the office). If Online Sessions is not available, you can find the Connection Center under the About option as described here. (g) In the About Citrix Receiver box, select Advanced followed by Connection Center: TSG:

9 (h) You will then see the Citrix Connection Center box showing any ICA Connections if there are items showing in the ICA Connections box, this will indicate that you are still connected. There should be nothing displaying in the ICA Connections area. Note: This image shows that there is still an active connection. The server (blurred out for security purposes) is shown by the red arrow. This image was taken before Omnia itself had properly closed down (you will see the Omnia icon further down). It is possible that you may just have the server alone or, perhaps, the server plus one or two of the icons shown in the image above. (i) (j) If you see Omnia plus lots of other applications, like Word etc, wait a couple of moments in case they are still in the process of closing (and the Workspace Manager splashscreen may not have actually displayed yet). If you only see the server (shown by the red arrow) and one or two items (but all the other key applications such as Word and Omnia are gone) and there seems to be no further activity, click on the server name and choose Log off. 8. HOW TO CHANGE YOUR PASSWORD FROM Your password can, if necessary, be changed via You should do this if you believe your password has become compromised; but it may simply be that you are prompted to change your password as the 90-day limit is approaching. Whatever the reason, you should ensure you read the important note below. If you are using an A&O laptop, ensure your Endpoint Security password is correctly updated at the appropriate point. IMPORTANT: Whatever the reason for changing your password, you should ensure that your applications are all closed and you are not logged into Omnia; so either change it at the MyOmnia.net screen prior to starting Omnia or if you wish to change it during your working session for any reason, you will need to close down those applications, including Omnia, before making the change. This ensures you avoid various password errors. (c) Log into and, before clicking your Omnia icon from the MyOmnia.net screen, click the Settings button at the top: Select the Change Password option from the Settings screen: At the next screen, type your Old and New password, Confirm the New password and click OK: TSG:

10 (d) (e) You will then see notification that your password has bee changed and you can then click OK to clear the screen followed by Save. You can now proceed to click Omnia and start working with your applications. 9. THE OPTION When you log into you generally choose the myomnia option which provides full Omnia access as if working in an A&O office. This access requires the download of a piece of software (Citrix Receiver software) which you may not be able to perform on a public computer. The option provides access only to Outlook and does not require such software. 9.1 When should the option be used? (c) If you are on a public PC and unable to download the Citrix Receiver software. In the event of a crisis situation you would first be notified if it is necessary to work using this method. It may be necessary if there are a large number of people needing to work remotely at once. If such a situation occurs, details of how to work with documents is set out as Method Two in Section 5.2. If you wish to simply glance at your s and do not plan to process anything. 9.2 What is important to know? The option does not enable any filing of s to a virtual file (neither those received nor those you send). You could arrange to copy any s you send to a colleague and ensure that they file the item into Omnia or perhaps to yourself you could then file any such items from your Inbox on your return to working with full Omnia or from your Sent Items if you do not send a copy to yourself. 9.3 How do I use the option? Log into select your normal home office and then select Using internally: Having clicked , you will be taken to Microsoft Outlook Web App. Should you need guidance on using this, visit: Global Home Page > Global IT Training > Courses and Documentation > A&O Applications > Remote Working > Outlook Web App User Guide. Using externally: Having clicked , follow the steps immediately below TSG:

11 (c) (d) Click the relevant option under the Security area at the top and tick the next box if appropriate. Type your normal User Name in the OMNIA User Name box. The PASSCODE (seen if you access the site externally) will be the number generated entirely (or in part) by your RSA SecurID token this will depend upon whether you are using a separate device or the RSA SecurID application installed on your BlackBerry (see Appendix 1 for exact details). (e) (f) Type your normal Omnia Password in the OMNIA Password box. Click Log On. 12 APPENDIX 1 USING AN RSA SECURID TOKEN As described in Section 3 of this document, you will need a SecurID token to gain access to outside of Allen & Overy, even if you are using an A&O laptop to access It may be an individual device (hard token) or the RSA SecurID application may be loaded on to your BlackBerry (soft token). 1. Requesting an RSA SecurID token Allen & Overy will provide a SecurID token if there is a business need specific to an individual's role. The request must be justified and authorised by a Partner or Director. The request form is available on the Intranet at Help and Contacts > My IT > Request a SecurID token (under Useful Links). 2. Locating a soft token on a BlackBerry Select the icon titled on your BlackBerry. If this icon is not immediately obvious, it may be located under the Applications or Downloads folder (this will depend on your BlackBerry model). 3. Using the SecurID token (a hard token or a soft token on a BlackBerry) When at the Log In screen of complete your User name and Password as described in Section 3 and then complete the PASSCODE (the box highlighted in black in the image below) as described below, depending on whether you have a hard or soft token. 3.1 Inputting the passcode from a hard token Complete the PASSCODE box by entering your personal PIN code (your four digit extension number at your office) followed immediately by the number showing on your SecurID token (this token number will be displayed for up to 60 seconds.) 3.2 Inputting the passcode from a soft token Once you have located the SecurID token on your BlackBerry (explained in Point 2 above), you will be prompted to Enter PIN: as shown in the image here: Note: The PIN will be provided to you by the IT Service Desk TSG:

13 Once the PIN has been input, press Enter on your BlackBerry and an eight-digit SecurID token number will be displayed for up to 60 seconds. Type this eight-digit number into the PASSCODE box on the screen (highlighted in the image above in black). 4. Things you should know (c) (d) If you enter the wrong SecurID token number into the you will be prompted to enter a second number to validate your credentials. Any token (both hard and soft) can be locked out by repeated failed authentication attempts; if this occurs you will need to log a call with IT Support. A security feature of the soft token is that you receive a unique SecurID token number no matter what PIN you enter. However, only the SecurID token number generated with your assigned PIN will be the correct number. If, therefore, the SecurID token number is rejected at the point of entry into you should check that you have originally entered the correct PIN to generate the SecurID token number. There is an option to add an additional password to further secure access to the RSA software. However, this has not been set at the outset since your BlackBerry itself already has a password. If you do wish to set an additional password, you can select the Manage Tokens menu option within the software, and then select Change Password TSG:

14 APPENDIX 2 INSTALLING THE CITRIX SOFTWARE ON A PC (WINDOWS XP) Installing the Citrix software enables you to have full Omnia access remotely rather than only (see Section 9). It is not necessary to install it if using an A&O laptop. Do note that some public computers may not allow you to install such software; you would, therefore, be restricted to access only. 1. Follow the steps to access detailed in Section 3. When the Install box appears, click I agree with the Citrix license agreement option and click Install: Note: This Install box may appear before or after you select your normal home office and MyOmnia. 2. Choose Run when the File Download Security Warning box appears: 3. A box will appear showing the progress of the download and then, once download is complete, click Run from the next Internet Explorer Security Warning box shown here: 4. Once the file has run, you will see the Citrix Receiver box and you should click Install: TSG:

15 5. When the installation is complete, you will see the following box and you can click Finish: 6. You will be taken back to the original myomnia.net logon screen shown here which you can complete now to access Omnia. Note: It may sometimes be necessary to close this Internet Explorer window and start afresh with a new window (ie type select office and myomnia). Once the new log on screen appears, you can then log on. 7. Should you need information regarding completion of the log on details, see Section 3(g). Once logged on and at the MyOmnia.net screen displaying your applications, you should then select your Omnia icon TSG:

16 APPENDIX 3 INSTALLING CITRIX SOFTWARE ON A PC (WINDOWS VISTA OR WINDOWS 7) Installing the Citrix software enables you to have full Omnia access remotely rather than only (see Section 9). It is not necessary to install it if using an A&O laptop. Do note that some public computers may not allow you to install such software; you would, therefore, be restricted to access only. Once you have successfully downloaded the Citrix software, it is worthwhile adding the myomnia.net site to your Trusted Sites. You may see this prompt the first time you log on before you click Omnia from the applications screen. See Point 9 below for details. 1. Follow the steps to access detailed in Section 3. Once you have selected your normal home office and MyOmnia, you will see the Install box. Click I agree with the Citrix license agreement option and click Install: Note: The Install box may appear before adding your normal home office. 2. You may then see this note in a red box regarding ActiveX which you should read now and note for later. Once you have read this, look to the bottom of your screen for the yellow bar which is discussed below. 3. The yellow bar at the bottom of the screen will then give you the option to download the Citrix Receiver software. When you see this, click Run: 4. The yellow bar will remain on the screen detailing progress of the download. You may or may not subsequently see a security prompt, to which you should select Yes. 5. Once the file is downloaded, you will see the Citrix Receiver box at which you should click Install: Note: A different Citrix Receiver box will then display showing progress of the installation TSG:

17 6. You will then see a box indicating that the installation is complete, at which you should click Finish: 7. You will be taken back to the original myomnia.net logon screen shown here which you can complete now to access Omnia. Note: It may sometimes be necessary to close this Internet Explorer window and start afresh with a new window (ie type select office and myomnia). Once the new log on screen appears, you can then log on. 8. Should you need information regarding completion of the log on details, see Section 3(g). 9. Having logged on for the first time, when you reach the MyOmnia.net applications screen, watch out for a prompt at the top of the screen. Following the advice in this prompt will enable you to reconnect to an open working session (ie all windows and applications currently open) should you lose a connection whilst working. By clicking the link, it follows on to advise you to add the myomnia address to your trusted sites. It is worthwhile doing this now but it could be completed at any point by following the instructions in Appendix 5. This is the prompt that you might see: 10. If you click the above link, you will then see the notification below. You should then proceed to add myomnia to your Trusted Sites by following the steps in Appendix 5 and once done, return and click Continue at this screen: 11. Once back at the MyOmnia.net screen displaying your applications, you should then select your Omnia icon TSG:

18 APPENDIX 4 INSTALLING CITRIX SOFTWARE ON AN APPLE MACINTOSH Installing the Citrix software enables you to have full Omnia access remotely rather than only (see Section 9). Ensure you have read the short Section 4 before proceeding with the installation below. Having installed the software, it is worth noting the information in Point 2 below. 1. Performing the Citrix Software Installation Having typed in the address bar of an Internet supported browser, select your normal home office followed by the myomnia link. You may not be prompted for the installation of the software but you will not be able to go beyond this screen and launch Omnia without doing the download. (c) Type directly into your Internet browser: receiver.citrix.com. Click Download Receiver for Mac: (d) There will be a progress bar top right of the screen while the Citrix Receiver is being downloaded. You may also see a progress bar bottom right of the screen next to the recycle bin as shown here: (e) Once the Citrix Receiver has been downloaded, it then needs to be installed. Click the Downloads icon at the bottom right of the screen next to the recycle bin and then click the CitrixReceiverWeb.dmg file to begin the installation: (f) A box will appear confirming that the file is being opened. At the next Citrix Receiver box, click Install Citrix Receiver.pkg: You will then see a number of Citrix Receiver Installation boxes, the first of which is the Introductory box below: (g) (h) (i) You will see the Introduction screen here at which you should click Continue at the bottom: At the License screen shown here, click Continue at the bottom: Click Agree at the License box that follows TSG:

19 (j) At the Destination Select screen shown here, select how you wish to install the software and click Continue at the bottom: (k) At the Installation Type screen, shown here, click Install at the bottom: Note: If requested, type your password to authorise the installation and then click Install Software. (l) You will then see an Installation box while the installation takes place. Once the various files have been written, you will then see this Summary box confirming that the installation is complete: 2. Logging into for the first time useful things to know Select your normal home office, followed by the myomnia link. Complete your User name and Password (see Section 3 for more information) and your Passcode (see Appendix 1) and select Omnia from the MyOmnia.net screen. While doing this, note the Citrix Receiver icon in the taskbar: A box will appear confirming you are starting the application. Following this, the Citrix Receiver icon may then display as follows in the taskbar: (c) (d) You may then be asked whether or not you wish to use a microphone or webcam with Omnia. While working, you will see the Citrix Receiver icon as shown on the left of the taskbar in this image. When Omnia is minimised, it will display as shown here outlined in red: TSG:

20 APPENDIX 5 ADDING TO YOUR TRUSTED SITES IN INTERNET EXPLORER This is not necessary if using an A&O laptop (the information should already be added). When using Internet Explorer, adding to your trusted sites will enable you to reconnect to a current session of myomnia. This means that on reconnection, all previous open applications and windows will display as they were when you were previously working. This would be useful in the event, perhaps, that you lose internet connection while working. This option can be set at any time as shown below. (It may be that you were prompted to do so after you installed the Citrix Receiver software). Note: Depending on your location, it may be that you have two sites to add. 1. The easiest way to add the correct address for your location is to perform these steps from the main MyOmnia.net screen. So, open an Internet Explorer window, access and from the Mobile working screen choose your home office and select myomnia. Once at the MyOmnia.net screen, do not log on but carry out the steps below. It is the address on this page that needs to be added to your trusted sites and, by doing this from here, the address will be picked up automatically. 2. From the Internet Explorer window, depending upon your version of Internet Explorer, either select the Tools menu or the Tools button followed by Internet Options. 3. From the Internet Options box, click the Security tab and ensure the Trusted sites zone (the green tick) is highlighted. 4. Click the Sites button. 5. If you have accessed these Internet Options from the MyOmnia.net screen, the relevant address will automatically appear in the Add this website to the zone: box and all you need to do is click Add. The address will then appear in the Websites box. Note: If your location has added either of the following addresses: you will actually need to manually type the second address too (you would type this second address in the first box and then click Add and it will be transferred to the second box). 6. Click Close followed by OK TSG:

21 APPENDIX 6 HOW TO CHECK DOCUMENTS IN AND OUT OF OMNIA The method of working outlined in this Appendix need only be used in specific circumstances and you should read Section 5.2 of this document before proceeding. 1. How to check-out a document to your home PC/laptop or A&O laptop Log into and choose the myomnia option (see Section 3 for further details). Locate and select the document and click the Check-Out... button on the Omnia toolbar or, alternatively, right-click over the document and select Check Out. (c) (d) In the Check-out Document box, enter a Return date (if you know when you will check-in the document) or leave it as it appears: Click on the button at the end of the Copy to: field (outlined in red) to select where the document should be checked-out to: (e) (f) (g) (h) Select your local PC or laptop by clicking Workstation C Drive (B:) outlined in red (you may need to expand Computer in order to see it): You should now decide either to: simply leave the selection as is (or navigate to a specific folder); or create a new folder to which your document(s) may be checked-out (and call it, perhaps, AllenOvery). Note: It may be easier to create a new folder specifically for this purpose as it makes locating the document(s) easier later. Therefore, either select a current folder and click OK or click the Make New Folder button, type AllenOvery and press Enter to name that new folder and then click OK to select it. Type any required comments in the Comments box (these will be seen by anyone trying to access the checked-out document in the meantime) and click OK. Note: Your document is now checked-out TSG:

22 2. Locating and opening a checked-out document on your home PC/laptop or A&O laptop (c) (d) Open Word (or other relevant application) and click File followed by Open. Within Computer/My Computer (depending upon your operating system) from the left pane, select C: (local disk) and the contents will then be displayed on the right. Double-click your AllenOvery (or other) folder (created in Section 1(g) above) and you will then see your document which you should double-click to open. Now you can edit and/or print your document. Ensure that you regularly save your document whilst editing 3. How to check-in documents back to Omnia once you have finished working Log into and choose the myomnia option (see Section 3 for further details). Locate and select the document and click the Check-In... button on the Omnia toolbar or, alternatively, right-click over the document and select Check In. (c) You will then see the Unlock Document(s) box and Omnia will automatically populate the Copy From box with the folder containing your document: Click OK to save the document as a new version (the document is now checked-in). 4.
