2 INTRODUCTION The Virtual Private Network (VPN) supplies external computers connected to the Internet with a secure virtual connection to the Edinburgh Napier University network. You can use the VPN from your home computer to access restricted services such as your personal data area, your Outlook client, the intranet and Edinburgh Napier University administration services. This document provides a guide for staff wishing to use the VPN service to access their office files and folders from their home computer out with the University. You will need to set up your office PC as well as your home/external computer; these instructions will explain how to do both. WHAT SERVICES CAN I ACCESS USING THE VPN? You can access the following services using the VPN: Your H Drive and S Drive using ftp. Your office PC using Remote Desktop Connection. Your account using Remote Desktop Connection. The Edinburgh Napier University Intranet. Your Unix data area (School of Computing users only). WHAT ARE THE REQUIREMENTS OF THE VPN SERVICE? You need to register for the VPN service. To register visit the Staff Forms section of the C&IT Services intranet pages and complete the online VPN form. The form will be processed within 2 working days of receipt. You will be notified by once your VPN account has been created. You need a home computer which runs one of the following operating systems: Mac OS X 10.3 (PPC) Mac OS X 10.4 or 10.5 (Intel) You need an existing connection to the Internet. You need to have the following security requirements on your home computer: You must have some form of anti-virus software installed on your computer. Mac Users can purchase anti-virus software C&IT Services Page 2 14/06/2010

3 licences from C&IT Services. Contact the Support Desk for details. You must have up to date virus definitions, run the auto update on your anti-virus software to ensure the files are up to date. You must have a firewall. A firewall is supplied with the VPN client to protect your computer from unauthorised access from the Internet. You must agree to Edinburgh Napier University s Information Security Policy. A copy of the Information Security Policy can be found in the C&IT Services intranet pages. You must set up your Office PC if you want to access it using Remote Desktop. See the Set Up Office PC for Remote Desktop Connection section of this documentation. You must install the VPN client on your home machine. Go to the Off Campus Services section of the C&IT Services intranet pages and download the client for your particular OS. You will be prompted to enter your username/password. Please enter your username with the prefix napier-mail\. See the Installing the VPN Client section of this documentation. 4 SET UP OFFICE PC FOR REMOTE DESKTOP CONNECTION The remote desktop connection allows you to connect to your University computer and work as if you were in your office. To set up the Remote Desktop Connection: Right click on the My Computer icon on your office PC. Select Properties. Click on the Remote tab. Click on the Allow users to connect remotely to this computer tick box. When the Remote Sessions dialog box appears, click OK. Click OK to exit the System Properties dialog box and to apply the changes. You will need your IP address to connect from out with the University. To obtain your IP address: Double click on the C&IT Support icon on your desktop: A screen will appear displaying information about your PC. Take a note of the number next to IP Address; you will need this number to connect to your office workstation from out with the University. Click Quit. C&IT Services Page 4 14/06/2010

5 INSTALLING THE VPN CLIENT Download the appropriate VPN client for your OS/chipset. Step 1 Copy the VPN disk image onto your desktop and double click it. This should mount a volume called CiscoVPNClient. Double click the CiscoVPNClient. Open disk image Open volume Step 2 Double click Cisco Vpn Client.mpkg to start the client install. Start Client Install Step 3 Click on Continue Click Continue C&IT Services Page 5 14/06/2010

6 Step 4 Click Continue to accept License Agreement Click Continue Step 5 Click Agree to accept Terms. Click Agree Step 6 Select the volume you want to install the VPN client on this volume should be on your Hard Disk. Click Continue. Select volume Click Continue C&IT Services Page 6 14/06/2010

7 Step 7: Click on Upgrade or Install to install the VPN Client. Click Upgrade/Install Step 8: If prompted, enter your Mac s local administrator username and password and click OK. 8 STARTING THE VPN CLIENT The Cisco VPN client will be installed in the Applications folder on the Mac. Navigate to the installed Cisco client and start it by double clicking the client icon. You should see a window similar to the one below. Select the connection and click on Connect. You ll be prompted for a username/password use your University credentials. Once logged in, a window will appear asking if you want to Continue. Click Continue to connect. Click Connect USING REMOTE DESKTOP (RDC) Remote Desktop Connection is not installed by default on a Mac. Download and install the latest Microsoft Remote Desktop Connection client from desktopclient You must leave your office workstation powered on to be able to connect to it when you want to connect from an external PC. However, you can switch the monitor off. You can leave your workstation either logged on to the network or logged off from the network. If you leave your workstation logged on then you should lock your workstation in the interest of security. To lock your workstation: 1. Press Ctrl + Alt + Del. 2. Select Lock Workstation. 9 ACCESSING YOUR MACHINE VIA RDC Before you access your machine you must have installed the Edinburgh Napier University VPN Client on your home computer (refer to the section INSTALLING THE VPN CLIENT) and set up the Remote Desktop connection on your office PC (refer to the section SET UP OFFICE PC FOR REMOTE DESKTOP CONNECTION). To access your machine via remote desktop connection: Start the VPN client and connect. Start Remote Desktop Connection. Once you have clicked on Remote Desktop Connections the following screen will appear: Enter IP Address Click Connect Enter the IP address of the PC you will be connecting to. Refer to the section SET UP OFFICE PC FOR REMOTE DESKTOP CONNECTION for information on how to obtain the IP address. Click Connect if you want to connect directly to the machine. Alternatively you could click Options to view some of the advanced options of the Remote Desktop Connection. Once connected, you can log in to your office workstation with your normal Edinburgh Napier University User ID and Password. Once you have logged in you will see your desktop as you would if logging in from your office. You can use the machine as you would your machine at work. C&IT Services Page 9 14/06/2010

10 DISCONNECTING FROM THE RDC There are 2 methods of disconnecting from the remote desktop connection. Method 1: On the machine you are remote controlling, click Start. Select Log Off. This will end all applications that are running, log you out of the machine you are remote controlling and then disconnect you from the remote control session. Method 2: On the machine you are remote controlling, click Start. Select Disconnect. This will disconnect you from the remote desktop session but all programs will be kept running on the workstation that you were connecting to. HOW DO I ACCESS MY H DRIVE? Providing you have Internet access you can access your H drive out with the University using MyDrive. Please refer to the MyDrive User Guide for more information, the guide can be found in the Off Campus Services section of the C&IT Services intranet pages. HOW DO I ACCESS MY UNIX DRIVE SOC ONLY Once you are connected to the service you can access your School of Computing Unix data area by mounting it on the desktop. In the Finder click on Go and select Connect to Server In the Connect to Server box enter smb://crl-socdata and click Connect Type smb://crlsocdata Click Connect C&IT Services Page 10 14/06/2010

11 Type NAPIER-MAIL in the domain box and enter your University username and password. Click OK Type NAPIER-MAIL Enter username and password Click OK Select your data area from the list of shares and click OK. Your data area should be mounted on the desktop.
