Getting Started Getting Started System Requirements Please refer to Supported Hardware and Software document for the most up-to-date listing of recommended specifications for running the RDC program for both Microsoft Windows and Macintosh. Scanner Driver Installation Any scanners currently supported by Panini or Digital Check will work with RDC, but the driver for the scanner must first be installed on your computer. If this is the first time using the program with your scanner, set up your scanner to work with the program. If the driver is already installed, reinstalling it is probably not necessary. Some drivers are automatically installed when the scanner is first plugged in to your computer; others require a driver download and installation process. First, if your scanner manual requires you to do so, be sure your scanner is powered on and connected to your computer. Some scanners must not be connected prior to installation; in that case, you will connect after the scanner driver is installed. It is important to check your scanner's instructions to determine whether or not it should be attached during installation. Follow the steps below to install your scanner driver: Download the appropriate driver 1. Click the Resources menu link on the Home Page. 2. Choose the appropriate driver from the list and click the link to download. Panini a. The Panini link downloads a zipped file. Unzip the file and save it to your computer. b. In the unzipped folder, locate and click the setup.exe file. c. A wizard guides you through the installation process. Your scanner should NOT be plugged into your computer until the installation is complete. Digital Check a. The TellerScanDriver is an executable file. b. Getting Started Logging In Begin by locating the internet address for your site, as well as your user name and password, given to you by your United Business Bank Administrator in an email generated when you were activated. Launch the RDC program with your desktop browser (supported browsers are listed under System Requirements above) and type your site address in the browser window s address bar. Type your user name and password and click the Log In button to open the Home page, from where you can initiate and manage transactions. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 6

Getting Started The Home Page The Home page of RDC displays currently submitted and pending batch deposits recorded in the system for the logged-in merchant, as well as links to details of specific transactions. The menu choices along the top reflect the merchant s role and task access permissions; some will see more menu options. Most maintenance of deposits is carried out by accessing this page first. The shaded blocks signify deposits; the number of checks in the batch and the total amount of the deposit is displayed at the top of each shaded block. The column on the left side of the page lists deposits that have been scanned but not submitted for processing; they are in a Pending status. The column on the right side of the page lists deposits that have been scanned and are in a submitted status (but not yet processed). Both lists include all deposits in the Enterprise, even if there are multiple locations, as long as the user has access to all locations. Deposits in the submitted column are moved to Deposit History at the next processing time. If the list is more than one page, navigate to another page using the forward and back numbered links. Note the Search box at the top right of the page, where you may filter the list by location to narrow the displayed list. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 7

Creating Deposits Creating Deposits Types of Scanning While Merchant users most likely use check scanners and a PC to manage deposits, it is also possible to make deposits through a mobile smartphone interface. See Using a Smartphone to Deposit Checks on page 41 Error! Bookmark not defined.for further information about accessing RDC through a smartphone. This section discusses deposits using a scanner and PC. In this section, we explain how to Create a new deposit transaction Scan a batch of checks Before you create a new deposit 1. Turn on your scanner and log in to RDC. 2. Ensure you have been granted the appropriate access permissions to deposit checks. 3. Be familiar with any deposit limits imposed by your United Business Bank, such as maximum number of items permitted per deposit or maximum dollar amounts permitted per deposit, or if there are limits by day or by month. New Deposits Steps to create a new deposit Before scanning checks you must set up general deposit information in the software. 1. On the RDC Home page, click the Create New Deposit button in the upper left corner. If you don t see this button, you probably do not have permission to create a new deposit. See your United Business Bank administrator. The Create New Deposit dialog box opens. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 8

Creating Deposits 2. Complete the fields (described below), and click Continue. Create New Deposit fields Choose a deposit location Deposit Account Deposit Total Number of checks Description (Required) The dropdown list displays all locations (even if there is only one) of the Enterprise for which the logged-in merchant has access permissions. Click to select the location for which the deposit will be made. (Required) When the deposit location is selected, the corresponding list of deposit accounts for that location is displayed. Click to select the appropriate account from the drop-down list. (Required) Type the total dollar amount of all checks to be deposited in the batch. This number is compared to the analysis of the scanned check images to ensure the amounts agree. (Required) Type the total count of items included in the deposit batch. This number is compared to the batch item totals to ensure the amounts agree. (Optional) Type a description of this batch of checks in this deposit. Note: This scenario assumes the FI Administrator has set up the system to require User Balance options, where the user is required to type batch total and item count values when submitting a deposit. The system prevents the submission of deposits with a user-entered batch total or item count that does not match its own. If the Deposit total and Number of Checks fields are unavailable, then the United Business Bank has set up RDC with Auto Balance options, which automatically reads and generates the numbers for the Deposit Total and the Number of Checks. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 9

Creating Deposits Scanning a Deposit When you ve completed the first step to create a new deposit and clicked the Continue button on the Create New Deposit dialog box, the page refreshes to display the information you just entered on a batch detail page, as well as an assigned batch number and additional options. You are now ready to use your check scanner to create a scanned batch of checks, as well as the Internet Deposit Application (IDA), which is a part of the RDC software. Steps to scan a batch of checks 1. Click the Add Items button. a. The first time you click the Add Items button, an alert message appears asking to download the Internet Deposit Application (IDA) to your computer. The app name is SelectWinApp. Click Run to allow the app to download and launch. This step is only required the first time you create a deposit or if there has been an update to the IDA. b. On subsequent deposits the IDA scanner window opens within a few seconds of clicking the Add Items button. 2. Scanners can be single feed or multi-feed. When using a single feed scanner, each check must be fed individually into the scanner. When using a multi-feed scanner, several checks can be loaded at the same time. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 10

Creating Deposits 3. Place the check(s) in the scanner and turn to the open IDA scanner window on your computer. The IDA scanner window is the main window from which you can scan one or more checks for deposit, and provides the functionality to work with them further. It also displays information about deposit scans already made in the current batch. 4. When the checks are loaded, click the Scan button on the IDA window for the checks to automatically feed through the scanner and record their images. a. For single-feed scanners, continue scanning other checks by repeating step 3 with individual checks, one at a time, until all checks have been scanned. 5. When you are finished scanning, your IDA scanner window displays a Stop button; click it to signal the scan is finished. 6. Before clicking the Complete button, inspect your images and make any necessary corrections. a. Inspect the front image of the check(s) and then click the top button to flip the front image and inspect the rear image. Reset the image if necessary. The image control buttons are described in the next section, The IDA Scanner Window. b. Make any necessary corrections to MICR information or amounts and click Update. See the next section, The IDA Scanner Window. 7. When you click the Complete button, a confirmation message appears if the scans were completed without error (if there are errors, alert messages appear, such as for duplicate deposits or out of balance deposits, discussed in Correcting Deposit Errors on page 18). Click the Yes button to record and tally your scan results, close the IDA scan window, and end the session. The batch detail page (for the batch currently being scanned into) is displayed. 8. On the Home page, the deposit is now listed in the Pending Deposits list as a Pending Deposit. Pending Deposits are not completed deposits they must be submitted before they are complete and finalized. Submitted deposits those in the Submitted queue are listed separately. Creating Deposits The IDA Scanner Window Display of individual check information When both sides of the check are scanned, the scan result appears in the display area of the window, with the first side of a two-sided scan visible. There may also be messages about the scan. You can work with the image before the deposit is complete. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 12

Creating Deposits If you make a mistake and the image does not fill the display area correctly, or you want to change the image orientation, use the buttons along the right edge of the display window to try again. They perform the following actions, from top to bottom: 1. Flip image from front to back or back to front. 2. Rotate the image 90 degrees to the right; continue clicking to rotate again. 3. Invert the colors to turn black to white. 4. Reset the image to the original state. You can also edit the information on the MICR line (ABA number, Account number, Check number, and Amount) for the displayed check and click the Update button to save your changes. (Note: these described edits are on the IDA scanner window, but the same edits may also be made in RDC by clicking the Edit button on the batch deposit listing on the Home page, to open an edit window. See Reviewing and Editing Deposits on page 15.) Display of batch information Note that the deposit information appears at the top and in the summary Deposit Listing list on the scan window. The top of the window displays the date and time the transaction was created, the batch number (generated by the system), the name of the location for which the deposit is being created, the account name and number, and the status of the deposit. A successful check scan has a green checkmark at its left in the list near the bottom. A red X would indicate there was a problem with the check that must be addressed before completion. Remove a check from the batch by clicking the trash can icon at its right end. In the bottom-most section of the window is the information bar, containing the balance and number of checks in the batch. When the system is set to User Balance, the user is required to type the batch total and item count values when setting up a deposit. The system prevents the submission of deposits with a user-entered batch total or item count that does not match its own. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 13

Pending Deposits Pending Deposits Pending Deposit Display Each batch of pending checks forming a single deposit is listed in a shaded block area of the Home page. Pending batches are displayed by scan date with the earliest pending deposit at the top of the list. Shaded area for a single deposit Each batch detail shows the date/time stamp, the unique batch number, the total amount and total items, the description, location, account, and account number associated with the deposit. The view further details, click the batch number link to open its detail page, where further options are available. To Edit the batch, click the Edit button to open the batch for editing. To Delete the batch, click the Delete link; a confirmation message verifies this choice. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 14

Pending Deposits Reviewing and Editing Deposits From the Home page s deposit batch list, click either the long batch number of a deposit or the Edit button of the deposit to open its detail page. Summary information is displayed at the top of the page. Information about each check is in each shaded area in an expanded list, with a front check image visible at the right (click the Flip link to see the back of the check). You can narrow a large list by specifying From and To range amounts in the search boxes. Note: the image of the check depends on the method of capture. If the check was scanned with a scanner, it is displayed in black and white and has been centered and framed. If the check image came from a mobile phone photo capture, it is displayed in color. Note that since the batch is still a pending deposit, it is possible to add new items to the batch by clicking the Add Items button and opening the IDA window for additional check scans for this batch. Pending Deposits Editing Batch Information To edit batch information, click the blue Edit button on the batch detail page. In edit mode, you can edit the following deposit information: Entered Amount, Entered Number of Checks, and Description. If edits are made, they are saved by clicking the Save button, or abandon the edits by clicking Cancel. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 16

Pending Deposits Editing Check Information It is also possible to edit the information about a specific check by clicking the orange Edit button next to the image of that check on the batch listing page. On the Edit Check dialog box, the ABA number, Account number, Check number, and Amount are editable, and a Note may be added to further identify the check. Click Save to save your changes and return to the list of checks within a batch. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 17

Pending Deposits Adding to a Deposit As long as a deposit is in a Pending status and not yet submitted, you can add more checks to the batch, if you have the appropriate access permissions to Edit Deposits. Those without permissions do not see the Add Items button. Steps to add a check to an existing deposit 1. On the RDC Home page, find and open the pending batch to which you want to add one or more checks. 2. When the detail page opens, edit the fields Entered Amount and Entered Number of Checks to include the new item(s). Failure to do so may create an out-of-balance error. 3. Click the Add Items button. The IDA scanner window opens. 4. Load the scanner with the check(s) to add to the batch and following the same procedure for scanning as with a new deposit. The batch retains its batch number but the number of items and total amount is updated in the batch detail. Correcting Deposit Errors If a deposit encounters problems, the batch record on the Home page displays with a red border and an error message at its bottom. Open the batch to see the batch detail page. The batch detail lists the errors found in the deposit. Some errors are caused by operator error (such as an out-of-balance deposit, or exceeding limits imposed by the United Business Bank for maximum numbers of items or maximum dollar amounts for the deposit, for the day, or for the month), while others are caused when the IDA software either misreads or flags the information on the check. For a list of error types, see the table at the end of this section. All errors must be corrected before the batch can be submitted for processing. (Contact your United Business Bank for more information about deposit limits.) Steps to correct deposit errors 1. If the problem (such as an out-of-balance deposit) can be corrected by editing batch information (Entered Amount or Entered Number of Checks), click the Edit button on the detail page to open the Edit page. Pending Deposits 2. If the problem cannot be corrected by editing the detail, you may have to remove the item from the batch. To do so, click the red Remove button beside the image of the check. The Remove Check dialog box opens. Note that the action of removing a check cannot be undone. Error Types 3. Click the Yes, I m Sure button. 4. The check no longer displays in the batch group. 5. To add the item back to the deposit, it must be scanned again. Use the Add Items button on the batch detail page, and rescan the check. Error Name Total $ amount of check(s) does not match the entered $ amount Number of check(s) does not match the entered number Deposit does not contain any checks Description Out of balance message that the total dollar amount of the checks in the deposit read by the IDA software does not match the amount typed by the person depositing the check(s). The total number of items (checks) scanned by the scanner does not match the number of items typed by the person depositing the check(s). The deposit may have been set up, but the scanner did not record any checks scanned. Invalid deposit amount Deposit contains invalid check(s). Amount cannot be $0.00. Duplicate check The scanner software detected a check with duplicate MICR information (ABA number, Account number, Check number, and Amount). 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 19

Pending Deposits Deleting a Deposit As long as a deposit is in a Pending status and not yet submitted, you can delete the entire deposit, if you have the appropriate permissions. Deleting a deposit is deleting the entire batch of checks, which is different from removing a single check from a batch. If you delete a deposit, that action cannot be undone. All checks would have to be rescanned to be included in a subsequent deposit. Steps to delete a deposit 1. On the RDC Home page, find the pending batch you want to delete. 2. Click the Delete link to open a Delete Deposit dialog box. 3. Click the Yes, I m Sure button. 4. Pending Deposits Printing Deposit Receipts You may create and print a PDF receipt report for a batch. Steps to print a deposit receipt 1. On the detail page of a batch of checks, click the Download Icon ( ) at the upper right of the list of checks to open a dialog box inviting you to open or save a printable PDF report file capturing the list on this page. 2. Click to choose your report format: a file with images or without images. 3. A dialog box opens asking you to choose to open with Adobe Acrobat or to Save the file. If saving the file, follow the instructions to navigate to the area on your hard drive where you want to save the PDF file. 2010-2015 Cachet Financial Solutions, Inc. version 2.6.082415.1 21

Submitting Deposits Submitting Deposits On the Home page, locate the pending deposit in the left column you are ready to submit to the United Business Bank for processing. Submitting Deposits Steps to submit a batch of checks 1. Click the blue Submit button in the shaded batch. 2. When the confirm message opens, click Yes. 3. When the page refreshes, the deposit no longer displays in the Pending column, but it now appears in the Submitted column. Submitting Deposits View Submitted Deposits Steps to view submitted deposits 1. To view more detail about a submitted deposit, find the submitted deposit in the right column of the Home page and click its batch number link to open its detail page. 2. From this page, you may unsubmit the deposit (see page 26), or print a deposit receipt (see page 21). You may also search for a specific check by amount if the batch contains a large number of checks. 3. In the image shown below, the check image was created by taking a picture on a mobile device, rather than a scanner. Submitting Deposits Deposit History Click the Deposit History menu item to open the Deposit History page. This page lists all submitted or processed deposits, with the most recent listed at the top of the list. Submitted checks are listed by default; change the list to Processed checks by clicking the drop-down status filter list in the upper right. Processed checks stay in the system for 180 days. The summary information includes the Deposit ID, Submitted Date, Number of Checks, Location, Source (desktop or mobile), Account, and Amount. If the list is more than one page, navigate to another page using the forward and back numbered links. Use the boxes near the top of the page to type search criteria to search a long list for submitted batches, using one or more filters for Enterprise name, date range, amount, or status. Submitting Deposits Unsubmit a Deposit As long as a submitted deposit has not yet been processed by your United Business Bank, you can unsubmit it, if you have the appropriate permissions. Steps to unsubmit a batch of checks 1. On the Home page, locate the submitted deposit in the right column you want to unsubmit from the processing stream at your United Business Bank. 2. Click the orange Unsubmit button in the shaded batch. 3. When the Unsubmit Deposit dialog box opens, it asks whether you are sure you want to unsubmit this deposit. Ensure the deposit information identifies the correct deposit. 4. Click the orange Yes, I m sure button. 5. Research and Search Check Search Check Search Steps to search for checks 1. Click the Check Search menu item to open the Check Search page. 2. Type or enter your search criteria in all or some of the boxes to filter your search to a targeted results list. Some of the fields are for dates and some for numeric or dollar amounts, or other criteria. After you ve entered the necessary information, click the blue Search button. The search results appear in a table at the bottom of the page. Managing Users Managing User Settings Location, Account, and Role settings used by an Enterprise are managed by the United Business Bank Administrator. Merchants who have been given User Management permissions do have control over managing other users in their enterprise; that is, they may add, activate, and deactivate users and assign or edit associated locations, accounts, and roles. User Management View Managing users is controlled on the User Management View page. From this page a merchant user with User Management permissions may: Initiate a Reset Password email message to a user. View the locations to which a particular user is associated. View user profile information about a particular user. Note that the user s name link (last name, first name as added to the system in the Create New User dialog box) is listed above the username used to log in to the system. o View the user s associated account permissions from the user profile. Basic user identification information is collected on the left side of the dialog box. 4. A user may be associated with locations, roles, and accounts. To create associations, click the corresponding heading on the right side to expand that section. Locations: Enterprise and Location lists are displayed for searching and selecting. Click a location to select it. Click the +Add link to make the selected location an Assigned Location. Repeat for additional assigned locations. Click the X across from the assigned location name to remove the location from the Assigned Location list. Roles: Available Roles by location are listed, such as Merchant Operator or Consumer Mobile User. Managing Users Accounts: Available task permissions by account are listed, such as CanScan, CanSubmit, and CanView. Click a checkbox to select the corresponding permissions for a selected account. Click the +Add link to make the selected location a Chosen Account. Repeat for additional chosen accounts. Click the X across from the chosen account name to remove the account from the Chosen list. 5. Click one of these buttons to finish: Add User Fields Is Active First Name Last Name Save & Repeat to add another user with the same properties. The system saves the user you just added and refreshes the dialog box, with all properties except the name already filled out so you can add another user with the same location, account, and role details. Note: On the enterprise details page, click View All under Current number of active users to verify the user you just added and that the count is incremented by one. Save & Clear to add another user with different properties. The system saves the user you just added, clears the fields, and keeps the dialog box open to add another user with different location, account, and role details for the same enterprise. The Current number of active users count is incremented by one. Save & Close if you do not need to add any more users. The system saves the user you just added, the dialog box closes, and the enterprise detail page reappears. The Current number of active users count is incremented by one. (Optional) Check this box to activate the user in the system. A user must be active before they can log in and use the system. (Required) Type the user s first name. (Required) Type the user s last name. Username (Required) Create and type a username for the user. A username must be between 6 and 50 characters. It may contain upper or lower case letters (case sensitive), numbers, period, underscore or @. Depending on how you implement RDC, the user may or may not need to type this username to log in. Email Address Phone Number Note/Tag Locations (Required) Type the user s email address. Without a correct email address, a user cannot be activated since the password setup email is sent to a user s email address, nor can the user s password be reset in the future should the need arise. (Optional) Type the user s phone number. (Optional) Type any additional information you wish about the user. You may use letters, numbers, spaces, and special characters. User Activations By default, users are created as active (although they can t log into the system until they ve set their password), but they can be created as Inactive and activated later. Additionally, it is possible to deactivate a user. This is not the same as deleting them from the database, which is not available; they simply are removed from the list of active users. To deactivate a user, find the user either through the enterprise or through User Management: 1. On the Home page, click the name of the enterprise to which a user is assigned. Enterprises are listed in the enterprises list. Alternatively, type the full name of the enterprise in the search field above the enterprises list. A page appears detailing current information for the enterprise. 2. Under Current number of active users, click View All. 3. Click the name of the user to open their profile record. 4. Click the red Deactivate button. A confirmation message appears; click Yes. The red Deactivate button changes to a green Activate button so the user can be reactivated at a later time. When you click the Send Email button, an email is sent through the system to the email address on record requesting the user to reset their password. They will be prompted to reset their password the next time they log on to the system. 2. A small popup box appears listing the locations to which this user is associated. (Merchant Operators can add locations or account permissions. See subsequent sections on the following pages for more information.) View or Edit User Settings for a User 1. Click the name of the user on the User Management page to open that user s profile page. 2. Setting information may be viewed or edited. Accounts: Edit Permissions link Individual refers to access permissions at that location only. withsubtree refers to access permissions at that location and any sub-locations associated with it. (List of Accounts associated with this user) Opens the Assign Permissions dialog box, where permissions for this user for this account are set. Blue X for roles and permissions Opens a confirmation dialog box to remove the role or account from being associated with this user. Managing Users Adding Roles for a User Roles are tied to a user by associated location. Merchants with appropriate access permissions can associate additional roles by location to a user profile from the User Management page. Steps to add a role for a user 1. Click the Add Location button to open the Select Location dialog box. User roles are assigned according to location within the Enterprise. 2. Search for and/or select the location to which to add roles for the selected user. 3. Click to select one or more roles to which the user should be assigned. For each selected role, choose whether the permissions are for the individual at the specified location or also for other sub-locations within the enterprise. Best Practice: Although it is permitted to assign multiple roles to a user, the recommended approach is that the list of roles contain enough task variations that a user be assigned a single role. Managing Users Viewing Your Profile Anyone who has login credentials to RDC sees their own login name at the top right of the page. Click your name to open a menu to your User Profile, showing your name and email address. A summary of your user account creation date, your assigned locations, and assigned accounts are also displayed. Changing Your Password Users may change or reset their own password after they log in to the system. Alternatively, for those enterprises whose United Business Banks permit it, a Merchant Administrator can initiate a Reset Password email message to a user, who follows a link to the Change Your Password dialog box, as described on page 33. (When not permitted, the user must contact Support for a password reset.) Note that passwords expire after 90 days, and users receive onscreen notification to reset an expired password.
