EXACT ONLINE 3 Preliminary Exact Online provides access to online banking many banks. A requirement for this function is the use of the so-called PIN / TAN method for login in to you bank account. If in doubt please check with your bank. You can find a list of all supported banks here: https://subsembly.com/de/finbanks.html If your bank is not listed within Exact Online please do select Sonstige Banken which means other banks.
EXACT ONLINE 4 Set up your bank account If you want set up your bank account this is done in the journals. They can be found in the master data. The master data represent the basic information of Exact Online, you can find them under your company's name in the right Data menu. Journals are an easy way to create a template for the booking information for general ledger accounts. You can define one side of your booking and set up the general ledger account for your standard operations like purchase and sales. The only exceptions are the transaction types for BA-Sonstige, in this case you have to enter both accounts of a booking for debit and credit.
EXACT ONLINE 5 If you click on Journals the overview of the Journals is displayed. To set up your bank account click on Bank. If you want to set up an additional account click on new and perform the following steps described below. Here you see the details of your bank account: Code: An internal number to which no additional function is associated to. Description: here you can enter the Name of your bank. Type: Should be set to Bank.
EXACT ONLINE 6 G/L Account: Here you define the General ledger account linked to the bank account. General ledger accounts you use here, have to be set up as a Type: Bank. Exit automatically: The closing balance of the bank account is a checksum. When the sum of account movements reaches this sum reaches the screen for entering bank booking manually is closed automatically. Main: When this Option is ticked, the information entered for this bank account will be displayed automatically on your invoice and offer documents. Also wherever a payment from the company is required in reference to an outstanding item (usually regarding purchase invoices, but also refunds or direct debits), the journal (i.e. the bank account) marked main will be the source of the funds.
EXACT ONLINE 7 Currency: You can specify whether the account is in Euros or in a foreign currency. Variable Currency: You can perform banking transactions with several different currencies. Variable exchange rate: While you enter a bank booking you can also enter an individual exchange rate for that booking. Number: Here you please enter your bank routing number (BRN) and your account number (AN). The whole entry should have 18 digits, if not please fill up the missing digits with zero between the two values. (BRN000AN) If you fill in your IBAN first this field should be filled automatically. Bank: You can pick from a selection of banks and countries. If your bank is not listed please choose Sonstige Bank, to do so click on the magnifying glass. G/L Account Unallocated: All payments and receivables that cannot be allocated to a specific account will be entered here IBAN & BIC Code: If you want to use the online banking function to import bank statements these fields have to be filled. Once you completed your set up click on save, your bank account will now be listed in the overview.

EXACT ONLINE 9 Import of bank statements To use this function you must enter the login data from your online banking account into Exact Online. This is usually a customer number and a PIN. This data is not stored anywhere in Exact Online. To access your bank account click on its name. After you have entered all your bank data (see above) you will see that a new option has been enabled- Import statements via (Online banking)
EXACT ONLINE 10 Click on verify to check if the connection to your bank account is ready and available. The start date defines from which date onwards you will import bank statements into Exact Online. Older bank statements will not be imported. The system now checks whether a connection could be made to your bank. When a successful connection has been established the system shows the status: There is no permanent connection between your bank account and Exact Online. Only the connection has now been checked and the date range has been defined.
EXACT ONLINE 11 Via the menu Financial you can now import your statements. All your bank accounts are displayed here. Please click on the name of your bank and start the import.
EXACT ONLINE 12 When you start the import you are prompted to enter your banking credentials. After completing the import successfully you can access your bank statements in the menu Financial / Bank / To be completed All your bank statements are now displayed:
EXACT ONLINE 13 When you import a bank statement, Exact Online tries to match as many of the transactions on it to outstanding items (invoices) registered in your company as possible. It does this in two ways: Using information supplied in the statement transaction lines - details like reference numbers and payment amounts that correspond to specific sales or purchase invoices. Using allocation rules determined by you - instructions that are followed when specific text appears in a transaction description (see section below). If you want to match a bank statement manually you can click on edit match.
