Oracle Events 2014 San Francisco This document is an FAQ document the content has put together for the 2014 Speakers The information / answers in this document are applicable to all speakers participating in the Oracle events taking place in San Francisco 2014. Please take the time to review the event websites for more detail about the activities taking place. The Oracle Content Team ******************************************************************************** General Show/Registration Questions Q. How can I change my professional title, bio or other general contact information? A. (Non-Oracle Speakers) Please log into the SRC and proceed to the Confirm Speaker Contact Info task (Participants Tasks tab). From there, you will find the link to update your account profile information. Please note, that changing your information is not something another individual, including Speaker Services/Content Team can do for you. This task is only something that can be done by the speaker, and will require logging in with your Single Sign On user name and password. Oracle Employees cannot edit their account profile information. Q. Where can I find information about transportation around the venues? A. On the event websites, under registration, travel and logistics. Example: Oracle OpenWorld: https://www.oracle.com/openworld/travel/index.html Q. When can I pick up my badge and conference materials?
A. Please visit the Agenda page of the event you are speaking under and it will list the locations and hours for registration. Q. Can I register onsite? A. The answer to this question is different for employees and non-oracle attendees. If you are an Oracle employee, the answer is no. There is no employee on-site registration. If you are a non-oracle attendee, you can register on-site; however, we asked that all speakers register prior to going on site. This is a required task. So if you have not registered, please do so before arriving on site. Q. I would like to add a co-presenter to my session, can I still do that? A. Unfortunately the deadline for adding speakers has passed. The only changes that are being accepted are emergency speaker changes with justification. Q. What do I need to bring with me to registration? A. Please make sure to bring your ID and your Single Sign On User Name and Password. You will need to know the log in information on site and there will not be an option to retrieve that once you arrive. Q. Can I pick up my friend s or co-worker s badge? A. No, only the individual who owns that badge can pick up their own materials Q. Can I get the scanned data from the attendees scanned in my session? A. Due to privacy policy, we only give out the headcount numbers to speakers and the survey results Q. How quickly will I see my session survey results? A. About a month after the event concludes. Q. I am a speaker at Oracle OpenWorld, can I attend JavaOne session with my speaker badge? A. No, your complimentary speaker badge only give you access to the conference sessions within the conference you are speaking for Session Day Questions Q. My session has moved, how will attendees be notified of the change?
A. We do have to move sessions from time to time to accommodate more people. We always stay within the same venue. We notify pre-registered attendees via email and we also post the change in the virtual daily updates Q. How do I reach the speaker team on-site in the case of a last minute change or cancel? A. You should do two things. First send an email to speaker-services_ww@oracle.com and you may also call the onsite number(s) provided below. (Please note, this number will not be operational until Sunday, Sept 22 and will only be operational during show hours.) All other times use the email. Make sure you provide your session id, session title, time, date and location. Voicemail is not available, so if you do not reach someone, please use the email. Any of these numbers may be used: Monday 9am Thursday 1pm 1-650-622-3112 1-650-622-3431 1-650-622-3166 *These numbers are posted on the speaker portal as well. Internet Questions Q. When using the internet in the rooms, what VPN client can be used? A. Any standard VPN Client Q. In addition to the session rooms, is Wi-Fi generally available? A. Yes generally throughout the whole show. The key for speakers is using Wi-Fi in their sessions is general attendee password is oracle14. Speaker should not plan on using any non-approved wi-fi devices on or off the network. Session room wi-fi will be provided to speakers who need it in their session room by the tech. We do not distribute that password prior to the event. Q. Is there Internet in the session rooms or hard wire connections? A. Each session room has both wireless and wired connection. This year each room has its own access point to ensure the best wireless connection is available to speakers. Q: Can I bring in colleagues to attend my session? A. All attendees must have the right badge type and pre-register for the session, or be willing to wait in the stand-by line. You may not bring in other attendees when you enter your session early.
Q. Can I give out prizes, distribute hands outs or collect business cards / scan attendees? A. Oracle is a green company, so we do not allow handouts of any sort to be given out at sessions. Prizes are also not permitted. You may not collect any attendee information through your own scanning or asking for business cards. Speaker Resource Center Q. When I log into the SRC, I don t see any session listed for me? A. WE find in many cases that multiple emails are used. Speakers must use the same email to register and log into the SRC, as is used for them on their session. Please make sure to only use one email throughout the show. Q. I accepted my session. Does that mean I am registered? A. No, accepting your session is a separate task from registration. Please make sure to read the portal and the SRC for all mandatory tasks. Presentation Questions Q. When is my presentation due? A. Presentations are due on or before your session day. Please read the presentation section of the Speaker Portal carefully. Don t forget to bring your presentation with you to your session. Presentations are not pre-loaded for you. You can bring this on a memory stick or run it off your own laptop. Q. Are Presentations preloaded? A. Presentations are not pre-loaded; you must bring your presentation with you to your session Q. How many files can we upload in the SRC for our session? A. Only one file If you are co-presenting and you have two separate presentations, we recommend combining those two into one file or creating a zip file. Each speaker should continue to use their own company or generic template. But you can save as one file. Read the speaker portal presentation section for more details. Q. I am a customer, co-presenting with an Oracle employee. Can I just put my slides in their template? A. No. Oracle may not share a template with non-oracle speakers and vice versa. Each speaker must use their own company branded template or a generic one. Oracle employees must use the Oracle corporate template. Q. I uploaded my presentations, but now have an update can I update and re-upload my file?
A. Yes, you can upload updated files at any time even post event. Just use the same process in the SRC and by uploading your presentation, you override the one currently there. Please note: That if you replied no to your speaker consent task, you should not upload your presentations. ALL presentations that are uploaded will be made public. Uploading overrides the consent. If you make a mistake and upload and need to remove, please send an email to speaker-services_ww@oracle.com and we can remove it for you.
