1 Create Invitations? The invitation manager is found in the Invitation Center. The Manager allows sending either one or multiple invitations to individual invitees or an invitation list. To arrive at the Campaign Manager, click on Tools -> Invitation Center. Choose the event for which you already have an invitation list loaded and click Manage Campaign. Note: To learn how to upload an invitation list, see the document for Uploading an Invitation List in the Help Files. To create a new invitation, click on the Create/Edit button. 1

2 Give your new a name you will easily understand and remember. Select whether you want the invitation to be in HTML or text format. HTML will allow you to set fonts, change colors, add pictures and include links. Text is best for programs that do not allow pictures and links and for personal digital assistants (PDAs), such as Blackberries. You will then enter a From Name if you want your invitees to see your invitation is from someone other than invitation@signup4.com. You must also enter a Reply to address. The address is what your invitees will respond to if they have any questions regarding their invitations. If you need someone to be copied on each invitation , you can enter their addresses in the CC or BCC fields. The BCC field will not display the person s address to the invitee. You must enter a Subject for the invitation . The subject is important because it will tell your invitees what the invitation is about and it can help increase the number of invitees who open your invitation . Always make the subject line different in each invitation you create. This will help when tracking the s that are sent to your attendees. 2

3 Create the content. If you are using either the HTML or text options, you have the ability to add fields from your invitation database to the . You can also upload attachments. If you are using the HTML option, the content box gives you the flexibility of the text changer, so you can add graphics, colors, links, upload and link documents and add tables. 3

5 HTML Only Screen Note: You are allowed to upload two attachments that are limited to a total of 1.5 MB in size. You can use a zip file format for larger files or you can use the upload and link document option found in the text changer for HTML s. 5

6 There are two registration links available to insert into the registration . If you are using the text format, you will want to use the general registration link and provide the Invitation ID. If you are using the HTML format, you can provide the Registration Link for HTML . This will direct the invitee to the event site and the invitee will not have to enter in the Invitation ID. Whether the invitee enters the Invitation ID or is automatically directed to the event site through a link, the registration form will be prepopulated with date from the invitation spreadsheet. Best Practice: The elements to have on an invitation are the text invitation link, the invitation ID and the contact information for the event coordinator if the invitee has any questions. If you are using HTML-based , you will want to include the HTML registration link to the event. Best Practice: You can send as many invitation related s from the system as you need for your event. Consider sending Save the Date, Last Chance, Don t Forget, and About the Event s to deliver information, build excitement, and promote your event. When you are finished building your invitation , click Save . 6
