DELTA SIGMA THETA SORORITY, INC. FOUNDERS DAY WEEKEND HOUSING Once you have registered for the Founders Day Weekend you will be able to link to housing. The hotel link for hotel reservations is at the bottom of your Registration Record receipt. Housing will open May 15, 2012. Housing will close July 31, 2012. Rooms have been blocked in seven hotels. Please refer to the hotel information for more details. You must be registered for the Founders Day Weekend in order to secure hotel accommodations. You will need your registration reference number in order to secure hotel accommodations in the Delta room blocks. Each registration is allotted one room. Reservations will be processed on a first come, first served basis. Your hotel and room selection will be confirmed before you end the session online. An advance Non-Refundable deposit equal to the first two nights room and tax will be required to reserve a room. Deposits must be made with a credit card only. Major credit cards accepted are Master Card, Visa, American Express and Discover. Credit cards will be charged the advance deposit as well as a onetime Non-Refundable $2 fee per reservation at the time of booking. Credit card provided cannot be changed once reservation has been confirmed. Customer service agents will assist with any changes to your room reservations or other questions regarding your hotel assignment. Why should I book a room through Delta? Negotiated hotels rates incorporate many benefits for you and Delta. Based on the number of rooms in Delta s block, the hotel provides complimentary or reduced rates for meeting room rental, staff accommodations, and food and beverage. In addition, a percentage of sleeping room revenue is often rebated to Delta. The rebate is used to cover audio/visual, electrical, and other meeting costs incurred at the hotel or convention center. If Delta is unable to achieve its room block commitment because attendees are making reservations at other hotels or canceling/shortening their length of stay at the hotel, the hotel charges Delta an attrition fee to make up for its lost sleeping room revenue. An increase in attrition fees may lead to an increase in registration fees or other expenses related to the convention. Anticipated sleeping room pickup is Delta s strongest tool when negotiating future sleeping room rates and meeting space. What other benefits are there to reserving a room through Delta? Delta and our official housing company will work on your behalf to help resolve any issues, if there is a dispute with the hotel, or if you are dissatisfied with your accommodations. Transportation will only be provided from Official Hotels. When you factor in cab fares and travel time to an alternate hotel, you may discover the benefits are not as great as you originally planned. Staying at an official hotel allows you to better network with your peers and remain in the center of the activity surrounding the meeting. In addition, Delta hotel contracts include clauses that protect our attendees in a variety of areas. For example, if the hotel is oversold and must relocate an attendee to another hotel, the hotel must provide complimentary transportation to the alternate hotel and pay for one night of accommodations. This benefit is only extended to attendees at the Official Hotels. What is Delta doing to reduce its exposure to attrition fees? Delta has teamed up with a housing agency who tracks sleeping room reservations and cancellations for each Delta event and works with future hotels in adjusting sleeping room blocks to match current trends. Seven hotels will house sorors, guests, their families, vendors and others attending the event. Shuttle transportation will operate between the Official Founders Day Hotels that are not within walking distance of The Walter E. Washington Convention Center. HOUSING PROCEDURES AND INSTRUCTIONS (PLEASE READ CAREFULLY) Delta Sigma Theta has partnered with Wyndham Jade Housing to administer Delta Sigma Theta Sorority s room block for the Founders Day events. Once you have registered for Founders Day Weekend online, you will link to Wyndham Jade to make your housing reservation. Please keep in mind that you will not be able to reserve housing until you have registered for Founders Day. Online reservations are available 24 hours/day. FOUNDERS DAY WEEKEND RATES To receive the Founders Day Weekend rates listed, you must make reservations after you have registered online for Founders Day Weekend. Seven hotels are participating as official Founders Day Weekend hotels. HOTEL RESERVATIONS The Delta/Wyndham Jade Housing Bureau will provide an easy and convenient way for you to make your hotel reservations online. Reservations are processed on a first come, first served basis, effective May 15, 2012. The Delta/Wyndham Jade Housing Bureau has been instructed to honor requests received on May 15, 2012, and thereafter until the cut-off date, July 31, 2012). Requests received prior to the effective date will not be honored. Requests received after the cut-off date will be processed by the hotels and based the current hotel rate and availability. DEPOSIT REQUIRED The Delta/Wyndham Jade Housing Bureau will collect a TWO (2) NIGHT NON-REFUNDABLE DEPOSIT for each room plus appropriate taxes (currently 14.5%) at the time of the reservation. Deposits are required for all reservations. Major credit cards (MasterCard, Visa, American Express, and Discover) are accepted. CHECKS, MONEY ORDERS AND WIRE TRANSFERS ARE NOT ACCEPTED. Credit cards will be charged the advance deposit as well as a one-time Non-Refundable $2 fee per reservation at the time of booking. RESERVATION DEADLINE DATE All reservations must be made on or before July 31, 2012. Please note that after the cutoff date, Wyndham Jade cannot guarantee availability or discounted group rates for the Sorority s block of rooms. REFUND OF DEPOSIT Please note that deposits are NON-REFUNDABLE. If your reservation is cancelled, your deposit will be forfeited. Failure to check-in to your hotel on the designated arrival date will result in a no-show charge by the hotel, your entire reservation will be cancelled, and your deposit will be forfeited. MODIFICATIONS/CHANGES Customer service agents will assist with any changes to your room reservations, cancellations, or other questions regarding your hotel reservation. CANCELLATIONS Cancellations of reservations may be processed via the web and/or must be submitted in writing and forwarded by email to: deltafounders@wyndhamjade.com on or before October 1, 2012. Please keep in mind that if your reservation is cancelled, your deposit will be forfeited. If you are not able to honor your reservation, you may sell your room to another soror; however the seller and buyer are responsible for working out the deposit transaction. The Founders Day hotels will not refund any deposits. Please remember to modify the name on your room reservation to reflect the change. ACKNOWLEDGEMENTS Confirmation: Your hotel acknowledgement will be generated online upon completion of your hotel reservation and automatically sent to the email address provided. Your confirmation (Web ID) number is assigned by Delta 6
Housing and assures that the hotel will honor the reservation. You may receive another confirmation from the hotel with their unique hotel internal confirmation number.
