1 Gartner Symposium/ITxpo Hotel Accommodation: How do I register for the event? Please visit our Symposium/ITxpo Registration page or call our Symposium/ITxpo Registration Team at If you are a Gartner Executive Programs member, please contact your service delivery associate to register you for the event. When can I make my hotel reservation? Hotel reservations will open May 6 at 12:00 p.m. EDT, 9:00 a.m. PDT. I am a Gartner Executive Programs Member. How and when can I book my hotel reservation? If you are a Gartner Executive Programs member, we have a priority booking window that opens on April 29 at 12:00 p.m. EDT, 9:00 a.m. PDT. Once you have been registered by your service delivery team, you may log back into your account and select Make Hotel Reservation. Can I call the hotel directly to book my hotel? Reservations cannot be made with the hotel directly. Any calls to the hotel will be redirected to the Gartner Events team. If you didn t select hotel accommodation during registration, you can log back into your account and make a reservation at any time. I was registered by someone else, how do I make a hotel reservation? If you are already registered for the event you will need to log into your gartner.com account and select Make Hotel Reservation you will be able to select your dates, and will be shown a listing of available hotels. Please refer to the example at the end of this section. There are a few event questions that you will be required to answer in the registration system prior to booking your hotel reservation. We recommend that you do this prior to the hotel registration date to ensure a smooth reservation experience. What do I do if I am having trouble logging into the registration system? Attendees who are having trouble logging in to their gartner.com account should follow the links and instructions on the log in page for assistance. Resetting credentials can be done online. Will there be special rates offered by hotels in Orlando? The official Gartner Symposium/ITxpo 2015 hotels will be the only hotels to offer special discounted

2 rates for this event. Hotel reservations can be made during the Gartner Symposium/ITxpo 2015 registration process. Additional charges such as multiple occupancy fees, resort fees and taxes are not included in the room rates listed and may be applied by the hotel. Do you require a minimum night stay at certain hotels? Yes, there is a required mandatory 3 night stay (either Sunday - Wednesday or Monday -Thursday the week of the event) at the following hotels: Disney s Yacht & Beach Club Boardwalk Inn Animal Kingdom Contemporary Resort Polynesian Resort Grand Floridian Resort Wilderness Lodge Coronado Springs Caribbean Beach Resort Waldorf Bonnet Creek Wyndham Bonnet Creek Marriot Courtyard Lake Buena Vista Springhill Suites Lake Buena Vista Fairfield Inn Lake Buena Vista All reservations made at the Walt Disney World Swan and Dolphin require a minimum four night stay. These four nights must be between Sunday, October 4, 2015 and Thursday, October 8, What if I need to change or cancel my hotel reservation? You can edit your hotel reservation online by going back into your gartner.com account and selecting Edit Reservation. All hotel changes must be completed prior to September 4 at 5:00 p.m. EDT to avoid being charged the minimum night stay by the hotel. Should you need to cancel a hotel reservation you can do so online through the registration system or by calling the Symposium/ITxpo Housing Team at Please be aware of that cancellations are allowed up to September 4 at 5:00 p.m. EDT without penalty. If you are no longer planning to attend the event, you will need to cancel your event registration prior to September 4 at 5:00 p.m. EDT. Click here for the event terms and conditions. Please note that when you cancel your event registration your hotel reservation will be canceled as well. I received a phone call from someone saying they can offer me a room at a lower rate or at a different hotel. Is this a scam? Gartner as a rule will always contact attendees directly about administration of their Event experience. Gartner Events always provide notice to Attendees and Sponsors when we will be using a third party provider like George P. Johnson as part of the Event administration. As such, it is good practice to assume that any third party provider that contacts you about a Gartner event may be a scam. Case in point: many of our exhibitors and delegates have been contacted by an organization claiming to be

3 affiliated with Gartner, Exhibitors Housing Management. This is a scam as Gartner is not in any way affiliated with EHS. If you have registered as an attendee or exhibitor for Symposium/ITxpo and you receive an from a third party provider claiming to be contacting you on behalf of Gartner Events, please contact the Gartner Events team at [email protected] before responding. Are rooms available at a government rate for Public Sector attendees? We have secured a number of rooms at the current GSA per diem rate, which can be viewed and reserved only by Public Sector attendees within the tool. The rooms that are available at the current GSA rate are subject to adjustment if and when GSA rates are adjusted in All attendees that book into the blocks at the GSA per diem rate will be required to present official identification of public sector status at the time of check-in. For more information on who qualifies for the GSA rate, please click here. In addition, we have a block of rooms available at rates comparable to the GSA per diem schedule at the Marriott Village. These hotels are all on the Symposium/ITxpo shuttle route. Can I pay for my Public Sector hotel reservation upon arrival? Those government attendees who are booked into these GSA hotel rooms will not be charged until they check-in. Please note that you will be required to present official identification of public sector status at the time of check-in. I am a Public Sector attendee do I need to do anything to ensure I can see the GSA rated rooms? If you have not already done so, you will need to have updated your registration profile to reflect Public Sector as your industry. You can update your profile at the time of registration or any time after. We recommend that you do this prior to the hotel open dates to ensure a smooth hotel reservation process. If you are an Executive Programs member please contact your service delivery associate to update your profile to reflect Public Sector. Can I book more than 1 reservation? Only registered attendees will be able to make a reservation. In order to provide an enhanced hotel reservation process for our registered clients provisional reservations are not permitted. However, if you are part of a registered team looking to stay together, please the Symposium/ITxpo Housing Team at [email protected] with details of the registered attendees and hotel preference. These blocks will only be accommodated at the hotels where we have a general attendee block and rooms are available on a first-come, first-served basis.

4 Why do I only see certain hotels available? The accommodation you are able to select is based upon availability at the time of your reservation. How do I get to the event if I am at one of the offsite hotels? We offer transportation from the official Gartner Symposium/ITxpo hotels. Shuttles will run every minutes throughout event hours. The evening of the Special Event, shuttles will return to the hotels on each bus route as well as the ESPN Wide World of Sports Touch Down Lot. What if I am driving in for the event or if I want to stay at a hotel that is not listed as an official Gartner Symposium/ITxpo hotel? We do offer a shuttle from the ESPN Wide World of Sports Touch Down Lot You may drive your car and park here and we will provide shuttle service to the Dolphin Hotel. Shuttles will run each day of the event every minutes through the day. The evening of the special event shuttles will return back to this lot as well. Please note there is no parking at the onsite hotels for the event. Who do I contact if I have a question?
