TENDER FOR MANNING AND MAINTAINING VARIOUS SERVICES IN OUR RESIDENTIAL COMPLEX AT R4-E, B K C, MUMBAI Bank of Baroda invites tender for above mentioned work from reputed facility management companies for manning and maintaining various services by engaging required staff as per requirement mentioned in tender document. Tender form will be available from 21.03.2011 in the office of the Asst. Gen. Manager (Estate Management) at Baroda Corporate Centre, C-26 G-block, Bandra Kurla Complex, Bandra (East), Mumbai- 400051. The form can also be downloaded from Bank s website: www.bankofbaroda.com (tender section) Last date of submission of tender is: 08.04.2011 Bank owns above residential complex at Bandra Kurla Complex where 53 flats and one guest house and one club house are housed. For high quality up keeping above premises and to maintain good ambience we propose to engage one facility management agency for manning and maintaining various services by engaging required staff as detailed below. Initial period of contract shall be for a period of 36 months. PART I (TECHNICAL BID) Downloaded application/ or that collected from the office (on payment of Rs 200/ - by way of DD/ BC) alone need to be used by the contractor. Agencies downloading application form the website need to enclose DD/BC payable at Mumbai for Rs 200/- favoring bank of Baroda while submitting the same and submit the offer in two-bid system to the address given below before 3.00 pm on 08.04.2011. Sealed Envelop 1 Shall Contain 1. Technical bid duly signed by the bidder 2. Organizational data and its enclosures 3. Proof for having satisfactorily executed jobs 4. EMD of `. 50,000/- by way of DD/ BC favoring Bank of Baroda payable at Mumbai. ( No application will be entertained without EMD, Please note.) Sealed Envelop 2 shall contain Only Price Bid only. A) HOUSE KEEPING 1. Daily Cleaning Sweeping and damp moping of vitrified / mosaic tiles ground floor tiles lobby of all the floors, staircase lift [outside & inside] &dry cleaning of open space & weekly wet cleaning. Cleaning of mirrors, glass doors, glass windows, ceiling etc. (internal and external) of guest house & club House Emptying all waste paper baskets, ashtrays from the premises and washing or wiping them clean Collection and deposition of waste from waste paper basket and disposing out side at approved MMRDA / BMC dumping ground on daily basis. Segregation of dry and wet garbage and dumping them in the collection in pits kept inside the compound Cleaning of table tops doors etc. in the premises Vacuuming of all rugs, carpets and blinds and jet pressure cleaning of terrace Thorough cleaning and sanitization of toilets, bathrooms, kitchen etc. Continuous replenishment of toiletries. Keeping all surfaces free of grime, soap mud and smudges. House keeping of internal portion of residential flats is not included in the scope of facility management service provider. Extra charges of `. 400/- per flat for total cleaning shall be paid as and when asked for the same. 2. Weekly cleaning Deep cleaning of flooring by approved cleaning. Cleaning and sanitizing paper bins Sanitizing all telephone instrument Cleaning and sanitizing of all washroom dustbins Thorough cleaning of all walls and doors of toilets Cleaning of all the terraces. Dusting and wiping of all light fixtures 3. Pest control treatment Pest control in guest house and external yard to be carried out. -3-
4. Water Tank Cleaning Over Head & Under Ground Tank twice a year [preferably one in the beginning of the monsoon]. 5. Manpower 2 House keeper to be deployed at the premises for cleaning entrance area, yard, security cabin, boundary wall etc. for carrying out above jobs to the satisfaction of the bank. Bank will provide one room accommodation on the eighth floor near the guest house. Workers should be provided with uniforms for every worker as per their job role. At least two care takers should be engaged tow work from 6.00 am to 10.00 p.m. All the plants & garden, flower bed and other landscape work shall be properly maintained as per their variety and requirement of plants. One electrician and plumber will visit for ½ day ( from 9.30 am ) shall be present and will operate pump and will attend the complaints of the occupants. Contractor has to manage to switch on and switch off of common lights according to need. Vermiculture [every 3 months] there is system of wet garbage management wherein 2 pits are provided in the complex. Wet garbage shall be processed through the pits and converted into compost which shall be utilized as manure for the building garden. The dry garbage shall be collected in separate bags / container and shall be dumped in the pits / trolleys provided by the MCGM. Electrician, Plumber and Carpenter job will be for a minimum period of ½ day and they have to carry out all maintenance and other related job in all the flats / open space of building. 6. Consumables to be used (Procured by contractor in guest house) Tissue rolls, toilet rolls Hands wash liquid soap & small soap for occupants. Other approved toiletries and liquid cleaners Room freshener Please note that penalty of 5% ( on total monthly payment ) will be charged if proper cleaning, maintenance of premises is not maintained or required good quality of material is not used. B) CARETAKER 1. Services Receive guests, enter details in the register and allot rooms as directed by the Bank Change bed sheets, pillow covers in regular intervals, get it cleaned and store the same in safe custody Prepare Tea/ coffee/ Breakfast and serve as per the request of guests. Maintain records pertaining to occupants /time in and time out etc Guest House & Club House cleaning of floors, wall, windows, toilets complete in all respects. -4-
2. Manpower Service of two persons are required for jobs mentioned above to the satisfaction of Bank Workers should be provided with uniform Service of care-taker should be engaged in shifts starting round the clock 3. Materials / Consumables All materials required for kitchen should be procured by the contractor and the cost will be reimbursed by the Bank. 4. Tools & Plant Garden equipments like scissors, spade, lawn movers, etc. 5. Garbage Collecting materials, tubs, black plastic bags trolleys as per BMC norms & other equipments. Mopping machines, brooms, etc Instructions to the tenderer & Eligibility criteria Enclose documentary evidences for having successfully carried out similar services during past three years along with satisfactory certificate form respective clients. Firms do not submit performance certificate are liable to be rejected Bank will provide rest room / place for one care taker at a time. Solvency certificate for Rs 5 lacs (Issued not later than 3 months) Price bid shall be opened for those bidders who fulfill eligibility criteria. Bank has the right to reject / select one or more agencies The Bank reserves the right to reject any or all the applications without assigning any reason thereof. No conditions shall be entertained. Conditional offers shall be rejected In case of any clarification you may please contact to our department. It will be responsibility of contractor to keep the first aid box ( in guest house ) in order. Bank will pay the amount to maintain the said first aid box. It will be solely responsibility of contractor to have their manpower to complete the work within normal time period. Contractor is required to abide by the minimum wage Act, Labour laws etc of the state government / statutory bodies/ Police verification of their staff, etc. The contract period will be for three years ( subject to annual review on satisfactory performance ) from the date of written order to commence work and it will be fixed rate contact and no request for revision of rate will be entertained during total contract period. At any point of time if it is found any unsatisfactory service by contractor, Bank has the right to terminate the agreement giving 2 months notice please note. -5-
The Tender for works shall remain open for acceptance for a period of 90 days from the date of opening of part II of the tenders. If any tenderer withdraws his tender before the said period, the Bank shall be at liberty to forfeit Earnest Money paid along with the tender. The bank will make all monthly payments to the P&FMS contractor for services rendered satisfactorily basis in accordance to the relevant clause of conditions of contract as mentioned above. The earnest money, which will be treated as security deposit (interest free) on award of contract of the successful tenderer, and will be forfeited, if he fails to comply with any of the conditions of the contract. Where copies in support of documents furnished, are to be certified copies, Contractor will carry out the total routine job of electric, carpentry and plumbing without charging extra labour charges.
