Cost of tender paper:- Tender documents can be had on payment of Rs. 285/-(Rupees two hundred eighty five) only by way of bank draft drawn in favour of CCL, EBC payable at SBI, Kathara. NSIC holders can get tender documents free of cost after producing photocopy of NSIC certificate. 2. Availability of tender paper/document:- Tender paper/document shall be available in the office of the undersigned on any working day from to during working hours excluding Sunday/holiday. In addition to above method, tender documents will also be available on CCL Website and a tenderer can down load it from the Website and in the event, the cost of the tender documents shall have to be deposited by way of Bank Draft payable in favour of CCL, EBC payable at SBI, Kathara at the time of submission of Tender document on scheduled date. 3. Submission of tender paper on upto 03.30P.M. in the office of G.M.(KTA), Kathara in the tender box kept under custody of Area Security Officer (W), Kathara or at office of the G.M.(E&M),CCL HQ, Ranchi on due date & time as mentioned. 4. Opening of tender paper on at 04.30P.M. in presence of T.C. members and tenderers or their authorized representatives who desires to be present. In the event of any holiday or abseance of any committee member on due date and time of opening the tender will be opened next day. 5. Earnest money for Rs. 3570/- will be deposited in the form of Bank draft drawn in favour of CCL, EBC, payable at S.B.I., Kathara without which tender will not be entertained. No adjustment will be entertained in this connection. 6. Submission procedure of tender paper:- Tenders will be received in two parts. Part-I (Sealed Envelope 1) CONSISTING OF THE FOLLOWING. (A) Earnest money in the shape of bank draft for all other bidders excluding NSIC holder. No tender shall be considered unless accompanied by the said earnest money. (B) Photo copy of Permanent Account number allotted by Income tax Authority, VAT/TIN firm registration no., Valid VAT clearance certificate, Service tax registration No. or affidavit if not eligible. (C) Current Bankers certificate of financial soundness (Issued within last one year from the date of issue of NIT). (D) Articles of Association, Partnership deed, power of attorney, Proprietorship etc. as applicable. (E) Current affidavit in original on non Judicial stamp paper/non Judicial adhesive stamp of Rs.05 and above to certifying that the bidder is not involved in any criminal cases, and that the bidder is not black listed by CIL or any of its subsidiary company and that they are not related to any employee of the company (CCL). (F) P.F. Regn. No. and E.S.I. Regn. No. of the indenting tenderers wherever applicable. (G) Experience of having successfully completed similar works containing copies of work orders alongwith satisfactory and successful completion certificate during last 7(seven) years ending last day of month previous to the one in which bid applications are invited, should be either of the following.:- Contd.P/2

2 Page/2 (a) Three similar completed works each costing not less than the amount equal to 40% of the estimated cost. OR Two similar completed works each costing not less than the amount equal to 50% of the estimated cost OR One similar completed work costing not less than the amount equal to 80% of the estimated cost. (b) Average annual financial turnover during the last three (3) years ending 31 st March of the previous financial year should be at least 30% of the estimated cost. Definition of Similar Work:-Experience of carrying out any type of erection & commissioning or fabrication/erection and repairing works & other related mechanical works of washery equipment. (H) Tenderers quoting/ offering rates for all the items/ works need only to submit their quotations and confirmation to the effect be given in Part-I. (I) All the tender documents/ papers along with copy of NIT should be signed by the bidder with firm seal. PART-II(SEALED ENVELOPE-2) (PRICE BID) (a) Price bid indicating the rate offered along with the schedules of quantities, each duly signed. (b) The tenderers should quote their rate item wise. (c) Tender documents will be issued only to tenderers or their authorized representative on payments of requisite fee by demand draft. The signature of the authorized representative is to be duly attested by the tenderer. (d) Each envelop should be clearly super scribed the tender notice no. & date, name of the work. Both sealed envelopes are properly sealed with sealing vax. (7) Taxes & duties shall be applicable as per rules. (8) Service tax paid extra if eligible (9) Payment will be made by E-Payment system through bank. (10) Skilled workmen both technical and manual shall be in the scope of tenderer. (11) Requisite tools & tackles measuring/testing instruments to be provided by the tenderer. (12) Boarding and lodging/ fooding and movement of tenderer personnel shall be at their own cost. (13) All safety norms to be maintained by the tenderer and shall bear and pay all the penalties or their compensation for violation of safety rule. (14) The tenderer shall be solely responsible for the safety of their workmen. (15) The company shall have no liability towards any untoward incidence resulting in death or partial disability of the tenderer workmen during the course of execution of contract. (16) Warranty/Guaranty:-Successful tenderer will furnish guaranty/warranty for trouble free operation and running for a period of Six(06) months reckoning from the date of completion of work duly certified by the Project. (17) Earnest money of successful tenderer shall be retained with company and converted to security deposit for due fulfillment of the contract and will not carry any interest. (18) Earnest money shall bear no interest and shall be refunded to the unsuccessful tenders after finalization of tender and award of work. (19) Payment terms:- Payment will be made as per Company s norms. Statutory deduction will be made as applicable. (20) Security Deposit :- a) Total security deposit including earnest money shall be 10% of the contract value and shall not carry any interest. b) Refund of security deposit shall be subject to Company s right to deduct/appropriate its dues against the contract under the subject contract or any other contract. c) Security deposit shall be refunded after satisfactory and successful completion of work duly certified by the Project on the expiry of Six(06) months from the date of completion of the work as certified by the Project. (21) Defect Liability:-The tenderer shall rectify any defect/defects in work if detected even after issue of completion certificate by the project at their cost within the said period of Six(06) months. (22) Risk Liability:-The company reserve the right to get the job executed through any other agency in case of failure on the part of the successful bidder at their risk & cost. The company also reserves the right to forfeit all dues of the successful bidder to meet the expenditure and shall also have the right to recover balance amount for execution of the said job. 3 Page/3 (23) Service Tax:- Service tax will be extra, if payable and will be reimbursed by the company on production of documentary proof of payment by the contractor to the appropriate authority and no reimbursement will be made on the basis of Cenvat Credit document. (24) An amount equivalent to VAT charged in the bill shall be withheld at the time of bill passing. The supplier shall be liable to submit the the Form JVAT 404 within three months from the end of the relevant financial year. The amount withheld shall be refunded within 15 days from the date of submission of Form JVAT 404 by the supplier. The amount withheld shall be no interest. In case of default by the supplier in submitting form JVAT 404 within the time period, as specified above, the amount withheld shall be forfeited and the same shall be utilized by the concerned area for paying the additional tax demanded by commercial tax authorities due to non-submission of Form JVAT 404. (25) Liquidated damages shall be imposed as per company s norms. (26) Any term & conditions not incorporated shall be as per company s rule. (27) Bidders are required to visit work site before quoting their rates. Any future dispute in this regards shall not be entertained. The management reserve the right to accept or reject any or all the tender fully or partly without assigning any reason what so ever and not bound to accept the lowest tender. Management further reserves its right to fore closure of the contract or cancel the tender without assigning any reason what so ever.
