1 - Before you start 1.1- What is Scan to Cloud? Scan to Cloud is a server-less MFP scanning application. No on-premises server software is required. Documents are scanned to the Scan to Cloud server. This server, in turn can communicate with the OmniPage Cloud Service (OCS) server if document conversion is required. The final document is then sent from the Scan to Cloud Server to its target destination, which can be: Google Docs & Google Drive Evernote SalesForce.com Office 365 SharePoint Online Email (via SMTP) Dropbox 1.2- What is included? The Scan to Cloud includes an application file (Scan to Cloud_1.3.jar), a Canon MEAP license file (Scan to Cloud_1.3.lic), and one or more serial numbers. 1.3- Supported devices Scan to Cloud works on Canon imagerunner Advance devices (except the non-hdd ir Advance 2020), including Generation 1 and 2 devices. It does not work on the earlier Canon device families. 1.4- Supported languages For the user interface display language, English, French, Italian, German, Dutch, Portuguese, and Russian are supported. However, Scan to Cloud can work with any supported hard or soft keyboard language by changing the locale on the device. Scan to Cloud also supports numerous OCR languages. 1.5- Keyboards Scan to Cloud works with Canon-supplied Cherry hard keyboards. 1.6- Ports Scan to Cloud uses HTTPS port 443 for its connection to the Scan to Cloud server. Ensure that this port is open for inbound and outbound traffic through the corporate firewall. 1.7- Bandwidth recommendation Scan to Cloud works best at or above 1.5 Mbps. Slower connections cause scanned page transmission speed to drop (even if MFP users do not experience delayed responsiveness of the touch screen). - 1 -

1.8- Login Service support Scan to Cloud works with most login services supported by Canon MEAP, including SSO-H, Equitrac, uniflow, and ULM. When Scan to Cloud is invoked from the control panel, the client retrieves context for the user logged in at the device. Scan to Cloud indirectly supports authentication by associating the loggedin user with a connector s credentials whenever a user marks the Remember Me checkbox on the login screen. In this case, the logged-in user will bypass the connector s login form, resulting in fewer necessary interactions, thus an improved user experience. There is a separate authentication association for each connector. Hence a user logging in with a swipe card on the MFP will have separate logins for each connector. For credentials that are used over a long period, the user may be challenged to supply updated credentials (e.g. due to a required password change after 60 days). The association for that connector is then updated with the new login information. Note: Department ID is not supported. 2 - Installing the Scan to Cloud application This section outlines the steps required to install Scan to Cloud to a Canon device. 1. Use Canon s Service Management System (SMS) to install the Scan to Cloud application by starting a browser and typing http://<mfp_ipaddress>:8000/sms. 2. Enter your password (for example, MeapSmsLogin ) and click the Log in button. - 2 -

3. In the left pane, click the Install MEAP Application link. 4. Next to the Application File Path field, click the Browse button and then navigate to the location of the Scan to Cloud_1.3.jar. 5. Next to the License File Path field, click the Browse button and navigate to the location of the Scan to Cloud_1.3.lic file. 6. Click the Install button. 7. When asked if you wish to proceed with the installation, click Yes. 8. Once the application is installed successfully, click the To MEAP Application Management button. - 3 -

9. Click the Start button next to the Scan to Cloud application. The application is now running, but not yet configured. 10. Click the To Remote UI link in the upper right screen or type the URL for the Scan to Cloud Web Administration application: http://<mfp_ipaddress: 8000/ScanToCloud. If prompted for credentials, provide the administrator login and password and press the Administrator Login button. From the portal menu, click on Scan to Cloud Web Administration. - 4 -

11. You should now see the main administration webpage for Scan to Cloud. Most of the settings are optional, but you must supply a valid serial number. Enter your serial number (a 22-character code supplied with your installation). When you are done, click Register. If the serial number is correct, this device s users can now use the Scan to Cloud application. You can set the behavior of the EULA display here as well: you can opt to display it only when the application runs for the first time (default), or disable it altogether. Click the Save button to store the setting. 12. An email popup is displayed. Enter the notification email address of the device s administrator and click Save. Email is sent to this address when the license is within 60 days of expiration or - 5 -

reached 80% of page conversion quota. 3 - Managing licenses The Scan to Cloud has the following master license types: evaluation (time-based) time-based with a maximum number of page conversions (valid for 3-5 years) time-based with unlimited page conversions (valid for 3-5 years) All licenses start when the license is registered via the Web Administration. This information is stored in the cloud server. The evaluation license cannot be extended, and must be unregistered before adding a time-based license. Time-based master license types with maximized page conversion numbers can be extended by purchasing pack licenses, which can extend the available number of page conversions. Note: Pack licenses are unusable without a time-based master license. - 6 -

Within the Setup section, you can manage licenses - change the license type, extend the time limit, or improve the page conversion quota. You can check the status of the activation date, expiration, and page quota (if appropriate) of the license on the About page: To upgrade licenses, follow the steps below: 1. An administrator can see the expiration date and remaining page conversions (quota) by clicking on Upgrades (or About). 2. Depending upon the type of license you have purchased, you may need to upgrade the base license with a page pack license. If you have already purchased this license, click on Upgrades, add this license, and click Save. The page pack license(s) appear(s) in the list. You will see that your remaining page conversions quota has increased. - 7 -

3. To change the email address of the person managing licenses for this device, click on Notifications, change the email address, and click Save. 4 - Customizing Scan to Cloud After Scan to Cloud is installed, you can customize a number of options for the product. 4.1- Customizing the application Use the Customize section in the Scan to Cloud Web Administration to change the connector ordering and time out. - 8 -

4.1.1 - Connector selection Use the Connector Selection item of the menu to configure which connectors are displayed for a device on the Scan to Cloud home screen. - 9 -

Select Show or Hide for each connector in the list, as desired. You may also re-order the connectors by clicking and dragging them to the order you desire. 4.1.2 - Time Out Use the Time Out item of the menu to configure the timeout period of the Scan to Cloud application screens. This is the time the application waits for input before returning automatically to the Scan to Cloud - 10 -

home screen. To alter the default setting, simply enter the new timeout value (in seconds), and click Save. Changing the timeout setting requires a reboot of the MFP device. 4.2- Configuring network settings Use the Network Settings section in the Scan to Cloud Web Administration application to set the host URL, view the proxy server settings (if any), or test the network connection. 4.2.1 - Host URL You can alter the host URL of the Scan to Cloud server by selecting the relevant option from Network Settings, typing or copying the host URL into the Server URL field, and clicking Save. 4.2.2 - Proxy Server If the device is behind a forwarding proxy server, proxy settings must be configured to allow the device to access the cloud servers. The proxy settings that have been previously entered on the device will display on this page. If the proxy configuration requires a user name and password, enter them on this screen. The user name and password must be identical to what were entered on the device. You can use the Test Connection menu item to test whether this device can connect to the Scan to Cloud server with the current settings. - 11 -

Note: Only basic authentication is supported. 4.2.3 - Test Connection You can test whether a connection is successful by clicking on the Test Connection button. This is useful to ensure that a connection is valid when using a proxy server or firewall. - 12 -

4.3- Configuring scanner preferences Use the Scan Settings section in the Scan to Cloud Web Administration application to configure the default scanner settings to be used with Scan to Cloud. You can set the following: Paper Size Orientation Color Depth Image Mode Resolution Duplex 4.4- Logging Your technical support representative may ask you to turn on logging, in order to identify any issues that may arise. 1. Open the Logging dropdown menu. 2. Click Options. 3. Click Enable. - 13 -

If you wish to disable logging, click Disable. This option is only available if logging has been Enabled previously. Click Download to download the log file to your local PC. To clear the log file, click Clear. If you select this option, you are prompted to make certain you wish to delete all the contents of the current log file. This option is only available when logging is Enabled. To check the log file, click View. - 14 -

Note: If logging is enabled, rebooting once does not delete the logs, but upon the second reboot, logging is automatically disabled. 5 - Troubleshooting 5.1- Licensing If the device has not been registered, the following error dialog is displayed: - 15 -

Contact the system administrator, who should check whether the serial number was entered in the Scan to Cloud Web Administration and successfully registered. If a user knows the serial number, they can enter it directly then press the Register button. 5.2- License expiration or quota violation 5.2.1 - Expiration Users may see a warning whenever a device is within 60 days of expiration. When the product has reached expiration, it no longer functions. 5.2.2 - Page conversion quota When a device reaches 80% of page conversion quota, a warning message is displayed. - 16 -

However, if a device exceeds page conversion quota (but not expiration), a warning message is displayed and the product continues to function with reduced functionality: users can continue scanning but cannot use any of the OCR-file types that require page conversions, including PDF/Searchable, PDF/A, Microsoft Word, Microsoft Excel, and Text. - 17 -

5.3- Network Error If a network connection cannot be made between the Scan to Cloud server, a user may see a connection error: - 18 -

An administrator may wish to ensure that the network is functioning properly. The most common causes of this issue are not configuring a proxy server correctly or not using a DNS server. 5.4- Email notification Each connector has a field labeled On Failure, Notify:. The user must enter an email address here to be used for notification in case the scanned document fails to reach its destination. However, only certain failures are flagged for this type of notification. Any failure that occurs in the initial processing of the document (for example, sending from the MFP to the cloud server, performing OCR, and so forth) is flagged and an email is sent to the address specified. In addition, certain failures during final delivery are also notified (for example, out of space, invalid folder or directory at destination). However, email delivery failures (for example, bounced email) are not flagged for notification. This is because once the processed document is sent to the email server for processing, no further information is received regarding its final delivery. 5.5- Login Service If a login service such as SSO-H has been configured, the web administration does not function until a valid user's HID card or SSO-H credentials have been provided via the MFP. Once unlocked, the web administrator still needs the device's user name and password to log into the web administrator. - 19 -

Alternatively, an administrator can configure their own credentials for the ScanToCloud.JAR, as shown below: The credentials used as Authentication Information for the Scan to Cloud application must correspond to the credentials supplied by the login service program configured on the device; that is, if Single Sign-On H is configured, the account from the Single Sign-On H must be used. - 20 -
