3 1. Introduction This configuration guide provides additional information and instructions to properly set up and configure a PageScope Router system. Each routing destination, such as Lotus Notes, requires configuration settings on the PageScope Router Server itself, as well as settings on the messaging software servers, e.g. Lotus Domino Server. These settings may be found in the corresponding sections. Please review the entire document before proceeding. Relnotes.txt - Release Notes and last minute information. 1.1 IP Address and Domain Name It is important for the PageScope Router Server to have a static IP address so that all of the settings that are configured remain correct. The fully qualified domain name of the PageScope Router Server will also be the name of the Default SMTP Virtual Server in IIS on that server. The fully qualified domain name is the combination of the server name and the domain name. A server named PSROUTER in the DomainName domain would have a fully qualified domain name and a Default SMTP Virtual Server name of PSRROUTER. DomainName.com. 4 2. Sending Files to PageScope Router There are only two ways to send documents from the MFP device to the PageScope Router Server. They are through Scan to and Scan to FTP. When sending documents using Scan to , the MFP device sends the scanned documents as attachments to an sent to the Default SMTP Virtual Server in IIS on the PageScope Router Server. PageScope Router monitors specific FTP folders and the SMTP folders for images sent from an MFP. When the images are found, they are automatically sent to the pre-assigned Document Route, which forwards them to their final destinations. The following sections provide information to configure the MFP and PageScope Router software for proper operation. 2.1 MFP Device Configuration The MFP devices must be configured in order to scan to the PageScope Minolta PageScope Router v1.5 Configuration Guide 4
5 Router Server through and FTP. The configuration may vary to some degree with different MFP Devices. MFP Devices that support Scan to and Scan to FTP fall into two categories: MFP Devices that include Fiery Web Tools functionality. MFP Devices that do NOT include Fiery Web Tools functionality. These are configured solely through PageScope Light. In PageScope Light, the IP address of the PageScope Router Server should be entered as the SMTP Server Address on the Scanner Tab. Web Tools Configuration For MFP Devices that include Fiery WebTools, settings are configured by selecting Web Setup Network Setup Service3 tab. Select the Service Setup checkbox. Enter the IP address of the PageScope Router Server in the Incoming Mail Server: and Outgoing Mail Server: fields. Enter a valid account name that exists on the mail server in the Minolta PageScope Router v1.5 Configuration Guide 5
6 Mailbox Account Name field. Enter the corresponding password in the Password and Verify Password fields. In the Fiery Address field, enter the address for an account that exists on the mail server. An Administrator Address can be entered to receive notification of failed delivery. This also must be a valid account. Note1: It is recommended to enter these settings through WebTools and not through the copier interface panel. The interface panel will limit the input of domain names to 15 characters. This may prevent the complete address from being entered. Note2: This issue only occurs with setup and does not affect the entering of Scan to or FTP through One-Touch buttons on the interface panel. 7 Local User Setup The Mailbox Account Name specified in the WebTools setup must be added as a local user account on the PageScope Router Server. Setting up One-Touch Settings in PageScope Light For many MFP devices, One-Touch settings for Scan to as well as Scan to FTP can be configured using PageScope Light. For example, the name of a One-Touch key for is Scandocs. This name is placed in the Destination field. The is being sent to a Document Route named PubDocRoute1 on the PageScope Router Server named PSRPC1 in the Sales1 domain. The address used is PubDocRoute1@PSRPC1.Sales1.Com. 8 2.2 Scan to When specifying the name of the PageScope Router Server in addressing e- mail, use the fully qualified domain name of the PageScope Router Server such as PSRServerName.DomainName.com. This will also be the Default SMTP Domain on the PageScope Router Server. Addressing Rules Documents can be entered into the PageScope Router system as attachments. The PageScope Router Server software monitors a default mail queue. s properly addressed can be sent to a user's Inbox or sent to a Private or Public Document Route to be processed according to the rules of the Route. Below are the rules for addressing s in a PageScope Router system for typical destinations. You may send s directly to a PageScope Router User's Inbox, a User's Private Document Route, or a Public Document Route. The format to be used when addressing s: [{Username}.][{Document Route Name}]@{PSR Server mail domain} Username - Indicates the name of the user for whom Document Route Name represents a Private DOCUMENT ROUTE. This may indicate an OS or a Non-OS user and to avoid naming collisions, Non-OS users must prefix Minolta PageScope Router v1.5 Configuration Guide 8
9 their usernames with PSR followed by a period. For example, User1 (OS User), or PSR.User1 (Non-OS User). Document Route Name - Indicates the name of the DOCUMENT ROUTE. PSR Server mail domain - Indicates the complete mail domain that identifies the PageScope Router Server and domain. For example, PSRPC1.Sales1.Com specifies PageScope Router Server software residing on a server PC named PSRPC1 located in the Sales1 domain. Notes: The system will prevent Public Document Routes from having the same name as user accounts. For example, if there is a user named UserX, the system will not allow the PSR Administrator to create a Public Document Route named UserX. The only characters available at the MFP console, other than the alphanumeric set (A-Z, a-z, 0-9), ( At Symbol). (Period) _ (Underscore) - (Hyphen) Addressing Rules Examples In the examples below, documents are routed using a PageScope Router Server residing on a server PC named PSRPC1 located in the Sales1 domain. The complete domain name for this server is PSRPC1.Sales1.Com. 1. Route to a PageScope Router OS Users Inbox UserName@PSRServerName.DomainName.com o Example: User1@PSRPC1.Sales1.Com o Action: PageScope Router processes the attached document with User1 s default DOCUMENT ROUTE, sending it to User1 s Inbox. User1 is an OS User. 2. Route to a PageScope Router Non-OS Users Inbox PSR.UserName@PSRServerName.DomainName.com o Example: PSR.User2@PSRPC1.Sales1.Com Minolta PageScope Router v1.5 Configuration Guide 9
10 o Action: PageScope Router processes the attached document with User2 s default DOCUMENT ROUTE, sending it to User2 s Inbox. User2 is a Non-OS User. 3. Route to a PageScope Router OS Users Private Document Route UserName.DocumentRouteName@PSRServerName.DomainName.com o Example: User1.DocRoute1@PSRPC1.Sales1.Com o Action: PageScope Router processes the attached document with User1 s Private DOCUMENT ROUTE named DocRoute1. 4. Route to a PageScope Router Non-OS Users Private Document Route PSR.UserName.DocumentRouteName@PSRServerName.DomainName.com o Example: PSR.User2.DocRoute2@PSRPC1.Sales1.Com o Action: PageScope Router processes the attached document with User2 s Private DOCUMENT ROUTE named DocRoute2. 5. Route to a Public Document Route DocumentRouteName@PSRServerName.DomainName.com o Example: PubDocRoute1@PSRPC1.Sales1.Com o Action: PageScope Router processes the attached documents with the Public DOCUMENT ROUTE named PubDocRoute Scan to FTP Follow the steps below to set up the PageScope Router Server to receive documents scanned from the MFP device through Scan to FTP. 1. At the PageScope Router Server, start the Administrator Console. To edit an existing MFP Device, select MFP Devices. Select and double-click an MFP Device in the list to open the editing dialog. To Add a new MFP Device, select and right-click MFP Devices. Select Add MFP Device. 2. Enter a new Name or edit the current name on the first line under MFP Information. The name given is incorporated into the FTP folder URL. 3. In the Model field, select the correct model of the MFP Device from the Minolta PageScope Router v1.5 Configuration Guide 10
11 drop down box. 4. Enter the IP address of the MFP device in the IP address field. Up to 5 FTP sites can be created for each MFP device added. Each FTP site can then be matched to a pre-configured route that will route the incoming documents. 5. To set up a One-Touch setting, highlight an FTP folder URL. Rightclick and select Copy. Start an Internet browser, such as Internet Explorer, and paste the IP Address of the MFP Device into the URL field. This will start PageScope Light. 6. When the dialog opens, enter the following information. Destination Name - This is the name to be assigned to the One- Touch key. IP Address field - This is the IP Address of the PageScope Router Server. User Name and Password fields The User Name and Password of a valid account in the domain. Directory field - Paste the URL that was copied. Only retain the portion of the URL beginning with PSRFTP/Name/FTP site. For example, PSRFTP/CF3102/F1 was entered. 7. Click the Create button. The One-Touch setting is now available on the MFP Device. Note: These One-Touch settings can also be configured on several MFP Devices through the copier interface panel. 12 3. Route Destinations In addition to routing documents within the Repositories of the PageScope Router system, documents can be routed to Network Locations and Messaging Applications. These include: UNC Path FTP folders SMTP Microsoft Exchange Microsoft SharePoint Portal Lotus Notes In order to achieve proper routing capability, the correct server configuration for each messaging system, such as the Microsoft Exchange 2000 Server, is critical. The following sections provide instructions to properly configure each routing destination. Perform all of the steps for the destinations to be used. 13 3.1 UNC Path Configuration Any valid UNC (Universal Naming Convention) Path in a network environment may be used as a destination for routed documents. The only requirement is the following: The user must have access and read/write rights to the specified location. This will require Domain Username/Password access for all users that will route to the specified location. 3.2 FTP Configuration PageScope Router can route documents to any properly configured FTP server FTP Server Configuration Notes Refer to the documentation supplied with the FTP software and ensure that the FTP Server software has been properly setup and configured. Usernames and Passwords must be created that have access and read/write rights to the FTP folders. PageScope Router users will require these rights when routing to these folders. The specified FTP folders must be set to receive documents from the User accounts specified in the PageScope Router Document Routes PageScope Router Client Document Route Configuration The PageScope Router User can use these steps to configure the FTP routing tab on the Document Route Configuration dialog when routing to an FTP Server. 1. Start the PageScope Router Client and click the Configure button. Select the FTP Tab. 2. Check the Send to FTP Folder check box. 3. URL: field Enter the FTP URL [and sub-directory if required] in this field. For example: ftp://ftp.mycompany.com/uploads The format ftp://ipaddress/folder can be used as well. 4. Username: field - Enter the username of an account authorized to access and write to the FTP URL specified above. Minolta PageScope Router v1.5 Configuration Guide 13
14 5. Password: and Confirm Password: fields - Enter the user s password and the confirmation password in the respective fields. 6. You may click the Test Connection button to ensure that the FTP folder is accessible by the specified user. 7. Click OK. 3.3 SMTP Configuration PageScope Router can route documents to any properly configured SMTP E- mail server. s can be sent to multiple recipients, and a Search function has been provided that allows you to obtain and search a list from an LDAP e- mail server. In order to be able to properly utilize the Routing functionality and send s to multiple recipients, several steps must be taken. It is necessary to configure the Default SMTP Virtual Server to be able to forward to either a Microsoft Exchange Server or a Lotus Domino Server. The server to which will be forwarded is known as a Smart Host. will be forwarded to the Smart Host for processing which will allow for the ability to send to multiple recipients. The steps are included below. Note: Configuring to be sent out over the Internet would be Minolta PageScope Router v1.5 Configuration Guide 14
15 accomplished through the tab of a route and would require the assistance of an or Network Administrator. The typical document files that are routed by may be large. To ensure that the Server can handle the volume of routed documents, the size and quantity of the documents to be routed should be evaluated before configuring the server. After performing the evaluation, the settings in the SMTP Server Configuration section below should be modified accordingly SMTP Server Configuration 1. Open the Windows Administrative Services, Internet Services Manager dialog. 2. Select and right-click the Default SMTP Virtual Server entry. 3. Select the Properties menu item. 4. Select the Messages tab. 5. Locate the Limit Message Size To (KB): checkbox and data entry field. This setting limits the size of individual messages received. Either clear the checkbox to configure SMTP for unlimited message size, or check the box and enter a value that is large enough to accept messages and images from the MFP. 6. Locate the Limit Session Size To (KB): checkbox and data entry field. This setting limits the total volume for all messages received during a session. Either clear the checkbox to configure SMTP for unlimited session volume, or check the box and enter the appropriate value. 7. Click OK and close the dialog. 8. Select Domains under the Default SMTP Virtual Server entry. 9. Select and right-click the appropriate SMTP Server domain. 10. Select the Properties menu item. 11. Locate the Enable drop directory quota checkbox. This setting enables any limits that were set for the drop directory. Either clear the checkbox to configure SMTP for unlimited directory usage, or check the box to enable the quota limit. 12. Click Ok to close the dialog. 13. Ensure that the remaining SMTP Virtual Server Properties are properly set. For example, you may have to add a Smart Host. A Smart Host must be used to relay messages to your Corporate Minolta PageScope Router v1.5 Configuration Guide 15
16 server for distribution if PageScope Router is not permitted to send messages directly to the Internet. Contact your System Administrator for more information about configuring SMTP. A Smart Host is added by performing the following steps: i. On the SMTP Virtual Server Properties dialog, select the Delivery tab ii. Click the Advanced button. Enter the IP address of the Exchange or Domino Lotus Notes Server in the Smart Host: field. iii. On the Exchange Server or Lotus Notes Server, forwarding must be set to allow forwarding from the PageScope Router Server to add a Smart Host if necessary. 14. If a Smart Host is configured, relaying must also be configured through the PageScope Router Server. On the PageScope Router Server, open the Internet Service Manager and right-click the default SMTP Server. Select Properties, and select the Access tab. Select Relay and make sure you allow the computer to successfully authenticate. Note: Refer to the documentation provided with the operating system for complete information Enabling Relaying through the Pagescope Router Server 1. On the PageScope Router Server, open the Windows Administrative Services, Internet Services Manager dialog. Minolta PageScope Router v1.5 Configuration Guide 16
17 2. Select and right-click the Default SMTP Virtual Server entry. 3. Select the Properties menu item. 4. On the Access tab select the Relay button. 5. Ensure that the Allow all computers which successfully authenticate to relay, regardless of the list above check box is selected. Specific IP addresses can also be entered to permit relaying. Note: Relaying must also be enabled on the Microsoft Exchange server. See the Microsoft Exchange Configuration section PageScope Router Client Document Route Configuration The PageScope Router User can use these steps to configure the routing tab on the Document Route Configuration dialog when routing to an SMTP Server. 1. Start the PageScope Router Client and click the Configure button. Select the Tab. 2. Check the Send to Addresses check box. 3. Addresses: field - Enter the addresses where the documents Minolta PageScope Router v1.5 Configuration Guide 17
18 will be delivered. Use semicolons (;) to separate multiple addresses. For example: See the Administrator Guide for information about using the Browse button to search a list retrieved from an server using LDAP. 4. Subject: field Enter subject text for the Message: field Enter message text for the Lotus Notes Configuration PageScope Router can route documents to any properly configured Lotus Notes Domino server. Follow the instructions in this section to ensure successful routing to Lotus Notes users Lotus Notes Domino Server Configuration 1. Create a new PageScope Router UserID/Mail File on the Domino server (check 'create ID file' when creating). 2. Ensure the new PageScope Router UserID has 'Author' Access to required Mail Files on Domino server. Set the right on the Domino Minolta PageScope Router v1.5 Configuration Guide 18
19 server as follows: i. Select the Start Programs Lotus Applications Lotus Domino Administrator menu item. ii. Select File Database Open Browse. iii. Browse to area where Mail Files are stored. (Example: C:\LOTUS\DOMINO\DATA\MAIL) iv. Open Mail File (username.nsf). v. Select File Database Access Control. vi. Set necessary permissions for PageScope Router UserID set Role to Author. vii. Check the Create documents and Write public documents options. viii. Uncheck all other access options, including Delete documents. ix. Repeat above steps for any other Mail Files that the PageScope Router UserID will have to access. 3. Copy the resulting ID file from the Domino server onto the PageScope Router server PageScope Router Server Configuration 1. Install the Lotus Notes Client onto the PageScope Router server according to the instructions supplied with the software. 2. It will be necessary to configure Lotus Notes after it is installed. Obtain the name of the Server and Domain where Lotus Domino is installed, and obtain the password of the UserID for PageScope Router created in step 2 above. 3. Start the Lotus Notes Client on the PageScope Router server. Configure it to use the ID file you had copied from the Domino server. It will be necessary to enter the password for UserID to get access to server resources through the client. 4. If the configuration is successful, a message will be displayed stating that installation is complete and the Lotus Notes user interface will be opened. Note: The password for the UserID must be recorded. This password must be entered in the Lotus Notes tab configuration Minolta PageScope Router v1.5 Configuration Guide 19
20 dialog in the Administrator Console. This will be done in a later step. If you do not require a password for the UserID, proceed to the next step to clear the password. If you wish to keep the assigned password, close the Lotus Notes Client, and proceed to step In the Lotus Notes Client, go to File Tools User ID. Enter the password if necessary. 6. In the USER ID dialog, press the Clear Password button. Enter the password if necessary. 7. Ensure that the password was cleared by closing the client, then reopening the client. There should not be a prompt for the password. Close the Lotus Notes Client. 8. Add the Lotus Notes Client directory to the system path on the PageScope Router server using the following steps: i. Select the Control Panel System Advanced tab Environment Variables button. ii. In the System Variables section, select PATH and click the EDIT button. iii. Add the following string to the end of the VARIABLE VALUE: ;c:\lotus\notes (Note: Use the actual installation path if different from the default.) 9. IMPORTANT: Restart the PageScope Router server PageScope Router Software Configuration The following configuration setting must be made using the PageScope Router Administrator Console. 1. At the PageScope Router Server, start the Administrator Console. 2. Select and right-click the desired PageScope Router Server. Select Login and login to the server. 3. Select and right-click the PageScope Router server. Select the Properties menu item. 4. On the Edit PageScope Router Server dialog, select the Lotus Notes Minolta PageScope Router v1.5 Configuration Guide 20
21 tab. 5. Obtain the password for the Lotus Notes UserID that was recorded in a previous step. Enter this password into the Password: and Confirm Password: fields. 6. Click OK to close the dialog PageScope Router Client Document Route Configuration The PageScope Router User can use these steps to configure the Notes routing tab on the Document Route Configuration dialog when routing to a Notes Server. 1. Start the PageScope Router Client and click the Configure button. Select the Notes Tab. 2. Check Send to Notes Folder check box. 3. Folder: field - Enter the folder where the documents will be delivered. For example: Inbox or Inbox\Subfolder 4. Username: field - Enter the Username (Lotus Domino Short Name ) that matches the ID file you had copied to the server. 5. Advanced / Database: field - Enter the name of the database to access [only if other than default user database]. 6. Advanced / Server: field - Enter the name of the server where the database resides [only if other than default user database]. Minolta PageScope Router v1.5 Configuration Guide 21
22 3.5 Microsoft Exchange Configuration PageScope Router can route documents to any properly configured Microsoft Exchange server. As an example, one way to utilize this functionality on an Exchange server is to send documents to an Exchange Public folder. In the Type box on the Exchange tab of a Document Route, select Public from the drop down box. This Document Route will now send documents to the Public folder specified on the Exchange Server. Users with an Outlook mail client using the IMAP4 protocol will then have access to the Public folder when launching their Outlook client. Follow the instructions in this section to ensure successful routing to Exchange users Microsoft Exchange Server On the Exchange Server, Relaying must be permitted from the PageScope Router Server in order for the Exchange Server to act as a Smart Host. Perform the following steps: 1. On the Microsoft Exchange Server, open the Windows Administrative Services, Internet Services Manager dialog. 2. Select and right-click the Default SMTP Virtual Server entry. Minolta PageScope Router v1.5 Configuration Guide 22
23 3. Select the Properties menu item. 4. On the Access tab select the Relay button. 5. Click the Add button and enter the IP address of the PageScope Router Server. A Network Administrator should perform this procedure PageScope Router Server Configuration However, the Microsoft Outlook 2000 or 2002 client must be installed on the Server where PageScope Router Server software is installed, and configuration changes must be made. The Outlook clients can be installed using the Microsoft Office product installation program. Before proceeding, you must obtain the following software. Microsoft Office 2000 o Office 2000 Service Pack 3 Update Microsoft Office XP o Office XP Service Pack 1 Update Minolta PageScope Router v1.5 Configuration Guide 23
24 o Office XP Service Pack 2 Update o Outlook 2002 Hotfix Note: The Product and Update installation sequence for each Outlook version must be followed exactly as shown in the procedures below. They must be performed by a System Administrator. PageScope Router Server Configuration Using Outlook Install PageScope Router Obtain the Microsoft Office 2000 product CD-ROM. When the installation program begins, you MUST select the Custom installation. You only need to select Outlook (this is version 2000). You can unselect all other Office 2000 components such as Word, Excel, Access, etc 3. During the installation, you MUST select the following sub component of Outlook from the Microsoft Office 2000: Selecting Features dialog: Collaboration Data Objects 4. Complete the installation as instructed. 5. Obtain and apply the Office 2000 Service Pack 3 Update. Follow all of the on-screen instructions. 6. Configure the Outlook 2000 client to communicate with the Microsoft Exchange Server. Test the connection and ensure that the Outlook client functions correctly. 7. Use the PageScope Router Client to create a Document Route, and configure it to send a document to the Exchange Server using the same Exchange connection information that worked successfully with the Outlook client. Refer to the PageScope Router Client Document Route Configuration information in the next section. 8. Route a document using the Document Route and ensure that it is successfully sent to the specified Exchange folder. PageScope Router Server Configuration Using Outlook Install PageScope Router Obtain the Microsoft Office XP product CD-ROM. When the installation Minolta PageScope Router v1.5 Configuration Guide 24
25 program begins, you only need to select Outlook (this is version 2002). You can unselect all other Office XP components such as Word, Excel, Access, etc 3. During the installation, you must select the following sub components of Outlook from the Features to install: dialog: Collaboration Data Objects Outlook Messaging Components 4. Complete the installation as instructed. 5. Obtain and apply the Office XP Service Pack 1 Update. Follow all of the on-screen instructions. 6. Obtain and apply the Office XP Service Pack 2 Update. Follow all of the on-screen instructions. 7. Obtain and apply the Outlook 2002 Hotfix. Follow all of the on-screen instructions. 8. Configure the Outlook 2002 client to communicate with the Microsoft Exchange Server. Test the connection and ensure that the Outlook client functions correctly. 9. Use the PageScope Router Client to create a Document Route, and configure it to send a document to the Exchange Server using the same Exchange connection information that worked successfully with the Outlook client. Refer to the PageScope Router Client Document Route Configuration information in the next section. 10. Route a document using the Document Route and ensure that it is successfully sent to the specified Exchange folder PageScope Router Client Document Route Configuration An Administrator can configure the Exchange tab as part of a Public Route that is setup through the Administrative Console. A PageScope Router User configuring a Private Route through Document Manager will also be able to configure the Exchange tab in a route. The procedure is similar. The PageScope Router User can use these steps to configure the Exchange routing tab on the Document Route Configuration dialog when routing to an Exchange Server. 1. Start the PageScope Router Client and click the Configure button from the Document Manager. Select the Exchange Tab. Minolta PageScope Router v1.5 Configuration Guide 25

27 3.6 Microsoft Sharepoint Portal Configuration PageScope Router can route documents to any properly configured Microsoft SharePoint Portal server. Follow the instructions in this section to ensure successful routing to SharePoint users SharePoint Portal Server Configuration There are no required configuration changes at the Microsoft SharePoint Portal server PageScope Router Server Configuration 1. Obtain and install the SharePoint Portal client from the SharePoint product CD or other source on the PageScope Router Server. Follow the simple instructions provided and restart the server if necessary. 2. Open an Internet browser on the PageScope Router server, and go to the web page Respond as necessary to any dialogs that are displayed. You may be asked to download the Microsoft Digital Dashboard. Under SYSTEM VARIABLES section, select PATH and press EDIT button (the default location is \winnt\system32 and should not be changed). 7.
