delivery modes Face to Face Delivery For those who prefer the personal interactivity and experience sharing gained from attending a group training program, our face to face delivery option may be the answer. Led by dedicated, experienced trainers, these sessions promise to be interactive, interesting, stimulating and exceptional value for money. Self-paced / Online Ideal for candidates who are comfortable with self directing their studies, or for whom attending traditional classroom sessions is problematic. Learners opting for self paced progress will receive a full suite of learning materials, workbooks, textbooks and associated assessment instruments via mail. Supported via phone and email, students then progress at their own pace, submitting completed assessments and associated evidence either electronically and/or in hard copy. Combination of above Our customer centred and flexible approach to learning is fundamental to our success and we encourage our learners to take ownership of their studies and allow them to choose a combination of face to face and self paced delivery modes a pick and mix to suit individual circumstances and learning needs. our training partners In addition to delivering training programs directly, The Learning Collaboratively has built a network of highly talented and committed training professionals who have been approved to deliver training and assessment on TLC s behalf. This helps TLC to ensure that each of our training industry areas is led by a dedicated industry professional with a passion and wealth of experience in that industry area. Often our training partners operate nationally and are well recognised in their fields. In such cases where an approved partner is used to deliver your training, your certificate will still be issued by The Learning Collaborative (RTO #32350) and your qualification will be still be recognised nationally. Our partners operate independently in terms of their own business entity, however, they are contracted to deliver our courses to specified standards and processes covering elements such as training and assessment materials used, Trainer suitability, course duration, training facilities and subject selection. Basically you will be receiving a nationally recognised training program owned by The Learning Collaborative, delivered to The Learning Collaborative s standards and our Partners will be an approved agent to deliver the program as directed by TLC. All of our approved providers are listed on the following page. enrolments To undertake an online course in Australia you are required to be an Australian citizen or permanent resident. The question on the enrolment form MUST be answered truthfully to ascertain if you are eligible to enrol in a course. Our friendly and experienced Customer Service Officers are available to assist all students with their enrolment. From our comprehensive range of offerings, you simply need to choose your course, consider when you might like to commence and give us a call we will take care of the rest. We recognise the importance of enrolments as an induction into the learning journey. To ensure a consistent level of learner knowledge and understanding of their undertaking, this formal enrolments procedure has been designed to: Ensure learner readiness; Improve learner retention levels; Increase learner completion rates; Ensure high levels of learner satisfaction. Our commitment to learner satisfaction levels spans both accredited and non-accredited training and as such, this procedure must be followed for every new enrolment. Procedure Following the receipt of learner / client enquiries regarding training, the following procedure must be adhered to: (1) Prospective learner should initially be provided with appropriate marketing material or information email and a copy of the Student Handbook and, where applicable, a copy of the enrolment form. This may be provided via facsimile, email, mail or may be picked up by, or delivered to, the learner / client; (2) If, following receipt of marketing material and a copy of the Student Handbook, the learner requests to continue, inform the student of the Guidelines for Student Behaviour and Discipline, and enter all applicable details into the student management system. (3) In the event that the enrolment involves participation under any Apprenticeship of funded Scheme, the Trainee Induction Checklist must be completed within 14 days of AAC notification and all associated forms maintained on the learner s file. (4) Following enrolment, and prior to training commencement, the learner / client should be managed in accordance with the policies and procedures. How do I know if my enrolment has been successful? Prior to the commencement of any face-to-face training course, all students are forwarded an enrolment confirmation (typically from the trainer via email) that includes: Course details (area of study) Trainer details Logistics where, when, what to bring etc. We recognise the importance of providing students who have enrolled in a full qualification with an opportunity to consultatively establish individual training plans and participate in a thorough induction.

To ensure a consistent level of student knowledge and understanding of their undertaking, this formal procedure has been designed to: Ensure compatibility between student need and selected training; Increase commitment to long term training plans; Identifying special needs; Ensure high levels of student satisfaction. Following Enrolment, it is our policy to conduct student interviews. All student interviews should be conducted in accordance with the following procedure: (1) A support team, or External Provider, member must contact the student following Enrolment. During this initial contact it will be determined whether a 'Phone' or 'Face to Face' interview is most appropriate; (2) If the student interview is to be conducted by phone, a time that is convenient to both the student and the support team member, or External Provider, should be agreed and diarised, allowing adequate time for the student to receive the documentation outlined in the Trainee Induction Checklist; (3) At this point the appropriate forms and documentation should be dispatched to the student; (4) If the student interview is to be conducted 'Face to Face', a time that is convenient to both the student and the support team, or External Provider, member should be agreed and diarised; (5) Whether by 'Phone' or 'Face to Face', all interviews must be conducted in accordance with the Trainee Induction Checklist; (6) If the student is a Trainee, or if the student interview indicates that Language, Literacy and Numeracy, (LL&N), issues may exist, then a Literacy and Numeracy Test should be conducted. While a sample Literacy and Numeracy Test is attached, the test should be amended to more accurately reflect the needs and potential issues faced by the individual, the enterprise and / or the industry; (7) If the Literacy and Numeracy Test, or the student interview indicate that any special learning requirements may exist, these requirements should be handled in accordance with the Access and Equity policy and procedure. Are there any special considerations in relation to licensing requirements? Some areas of work relating to our courses are regulated stringently through legislation and require those conducting the work to obtain a license for that work. For example, the simple act of driving to the post office to collect mail requires you to have a driver s license. These licenses are not available from our Registered Organisation and can only be obtained from an authorised licensing provider such as Department of Transport. your privacy Will my private details be kept private? Subject to the provisions of the Privacy Act, and our moral responsibility, we pledge to maintain a level of privacy for all employees, contractors, customers and students in relation to the personal data they may provide. As such we will: Provide a safe and secure storage of personal private information; Provide written procedures and instructions to ensure privacy is maintained; Ensure compliance with legislative requirements and current industry standards; Train all staff members and advise all customers of their rights and obligations in relation to this policy. With this in mind, accessing your student records will be subject to this privacy policy and you will be asked (via the enrolment process) to provide a password. The timely provision of your student academic records will be determined by this password. Under certain circumstances, we are bound by law to disclose your details for the purposes mentioned in the and Employment Act. Agencies, such as Commonwealth and State Government Departments are also granted access to your details. If you have any objections to this access, we ask that you notify our support team immediately. The Learning Collaborative collects personal information, including sensitive information about students before and during the course of a student s enrolment. The primary purpose of collecting this information is to enable TLC to provide best possible service for you. Some of the information we collect is to satisfy the TLC s legal obligations, particularly to enable us to discharge its duty of care. Health information about students is sensitive information within the terms of the National Privacy Principles under the Privacy Act. We may ask you to provide medical reports from time to time. TLC also from time to time discloses personal and sensitive information to others for administrative and educational purposes. This includes government departments, medical practitioners and those providing services to TLC. If we do not obtain the information referred to above, we may not be able to enrol or continue the enrolment of you. Students may seek access to personal information collected about them by contacting TLC in writing. However, there will be occasions when access is denied. Such occasions would include where access would have an unreasonable impact on the privacy of others, where access may result in a breach of TLC s duty of care to the pupil or where pupils have provided information in confidence. We will not disclose your personal information to third parties without your written consent. If you provide TLC with the personal information of others, such as doctors or emergency contacts, we encourage you to inform them that you are disclosing that information to TLC and why, that they can access that information if they wish and that TLC does not usually disclose the information to third parties. Unless stipulated, all course fees are inclusive of: Administration charges delivery assessment Learner course material online materials only for online and online or printed for classroom based training Concessional discounts We are committed to making a difference in our community and work diligently towards breaking the unemployment cycle. As such we offer substantially discounted rates for those who hold official documentation confirming entitlement to a pensioner or a health care card concession. This is also applicable to the Department of Education, and Employment s Certificate 3 Guarantee Program. Course fee subsidies The Learning Collaborative strives to capture funding subsidies for our courses wherever available in an attempt to reduce prices for our training programs for students. It may be worthwhile checking with our administration team to see if any subsidies may be available to support your fee payments. One of our most popular course subsidies if the Certificate 3 Guarantee program. The program is a Department of Education, and Employment initiative and applies to a range of courses and is available to some Queenslanders based on the following eligibility rules. If you are eligible you could be paying as little as $20-$40 for an entire qualification. See the applicable course brochure for more details. Additional personal tutorial assistance provided to a student above and beyond (in $ 45.00 / hour excess of 1 hour of personal tutoring out-of-class per unit of competency/subject). This is a discretionary fee that may be charged after advising the student of that their funded study assistance has reached the 1 hour threshold. All student fees are payable on or before training commencement to the value of $1,000. Once started you will be charged outstanding fees via the agreed payment terms while at no time exceeding a total amount of $1500 per payment unless otherwise agreed. Corporate clients, following a successful credit reference check, will be invoiced and will pay the fees as agreed in the training contract. If the training delivery and formal assessment is completed and there are still aspects of evidence required to be gathered at the completion of the agreed training timeframe then by negotiation a fee may be charged for this process which may if necessary include travel, accommodation and assessment facilitation. This may be the case for traineeships and fee for service based courses. student refunds If course fees have been paid in advance, refunds will be processed in the following way: Prior to commencement of any course activities TLC refund from when notice is given in writing is: 100% 14 or more days from date of commencement; 50% 7-13 days from the date of commencement; 25 % 1 6 days from the date of commencement; refund if on or after the date of commencement; Refund available for Certificate 3 Guarantee Program student contribution fees under $100 (paid upfront). Corporate clients refund policy will be determined on a case-by-case bases dependant on what is negotiated. This will be formalised in the client MOU. After commencement for fees paid in instalments the TLC refund from when written notice is given is: Any unused fees less 50% for administration costs if the learner has started the unit Refund will be calculate on a prorate cost per unit (this will vary dependant on the number of units and cost of the course). Learners are required to request a refund in writing to the Director. Once received calculations will be completed and the student informed of available refund within five (5) working days. If students disagree with the calculated amount they must inform TLC within two (2) days of the refund notice. TLC will then pay the refund into the learner s bank account within ten (10) working days. Revision 2-16 June Page: 18

our guarantee The Learning Collaborative is wholly committed to ensuring that all learners can complete their chosen qualification pathway once commenced. We therefore guarantee that all enrolled and commenced learners, with fees paid up-to-date, will be given every opportunity to complete their training and assessment within the agreed traineeship or training timeframe and subsequently receive the associated certification, and all actions required to facilitate this will be undertaken in a timely and professional manner. This includes any incomplete training provided by a TLC Approved Partner. If for any reason TLC is unable to provide the training that has been indicated TLC will assist you in finding a suitable alternative organization to complete your training. your learning Induction and Orientation To ensure you are ready to commence and completely comfortable with the journey you are about to embark on, your trainer and assessor will spend time with you, either individually or in a group to induct and orient you to the program. This is your chance to ask questions, to work with the trainer/assessor to identify specific needs you may have and to customize the program to your learning needs. You may want to choose elective units of competency specific to the workplace or industry you represent, or you may have workplace project you may want to include as part of the assessment. All these specifics will be captured succinctly in a training plan that is developed just for you. If you are participating in a traineeship, this training plan is signed off by you, your employer and the RTO and will reflect the skills and knowledge required by that workplace. If you are not participating in a traineeship, your training plan can be simply negotiated with your trainer directly and could represent either skills you need for work now, or skills and knowledge you believe you ll need in the future. Trainer / Assessor When your enrolment has been completed you will be assigned a Trainer to monitor, guide and assesses your work. If you require assistance you are able to contact your Trainer via email to request assistance. Study Periods Specific course durations and required attendance times are specified in each course brochure. Your trainer will monitor your progress and provide you with adequate support to ensure your success, as required, to allow every possibility to meet the required timeframes. However, If you have not completed your study within the required time frame your enrolment may be cancelled. Revision 2-16 June Page: 19

Deferral / Extension Course deferment/extension can only be granted by the Director and is only granted in cases of illness/injury, or other extenuating circumstances. If you wish to extend your period of study you must complete the extension form prior to the completion date. A response will be provided to you within 5 working days of receival of the completed form. Language, Literacy and Numeracy You will be asked to complete a language, literacy and numeracy assessment prior to commencing your studies to determine if you require extra support in any of these areas. Additional support (fee for service and other) may be available in the areas such as: Remedial classes; Community English as a second language tuition programs; One-on-one coaching, tuition and support; Individual learning plan development. assessment Exams and Assessments If you are doing a qualification on-line you may require access to a digital recorder to record practical observations/tasks for your assessor to assess. You will find a list of resources you will require for each qualification under the pre-enrolment course information brochure / flyer. Qualifications issued in the vocational education and training sector certify the achievement of competency. Competency-based training focuses on what the individual can do, and unlike other methods of learning, competency based training is based on work-related skills and requirements, and the application and performance of the individual in the workplace. In awarding competency, criteria to measure skills and knowledge against are needed. Competency standards provide those criteria. In the context of national training packages, a competency standards is an agreed statement of skill and knowledge required to perform a specific job or job function. In order to gain competency, the learner must be able to demonstrate that they have the skills and the knowledge, and that they can apply these to the standards of performance required. Assessment is the process of collecting evidence and making valid, reliable and consistent judgements. It can be established a number of ways, that include, but are not limited to: Workplace Observations Assignments, Research or Projects Case studies Written questions Portfolios of Evidence (with explanation of the documents) Oral presentations (if undertaking online or distance training you would need access to a digital recorder) On the job assessment by your supervisor Role playing Revision 2-16 June Page: 20

Plagiarism Plagiarism is a form of dishonesty that occurs when a person passes off someone else's work as his or her own and is a serious academic offence. This can range from failing to cite an author for ideas incorporated into a learners paper to handing in an assessment piece downloaded from the internet. All plagiarised assessments will instantly be assessed as t Competent and learners will be required to resubmit their work. There may be additional assessments that your trainer has emailed through or a link to moodle which are required to be completed and submitted with the online materials. Once this has been checked and you are satisfied that you have met all the requirements please click the submit button and email any additional assessment to your trainer. You must complete and sign off on a TLC specific coversheet for each unit and submit with your assessments. If the cover sheet is not supplied the assessment cannot be assessed. Each unit is expected to be submitted individually after it is completed. You will be notified of your results for each unit within fourteen (14) working days. Learners are expected to keep copies of their assessments at a minimum until such time the course has been completed and you have been issued your qualification. Revision 2-16 June Page: 21

Reassessment Reassessment for an assessment or unit of competency may be a resit of an exam or practical class or a re-submission of a piece of written work. Assessment re-submission will only be allowed within a four (4) week period from the original result of assessment date. The trainer and assessor will provide detailed comments of the areas that are not satisfactory for you to rectify. Assessment Submissions 1 st submission is primary submission 2 nd submission is re-submission 2 3 rd submission is re-submission 3 If you are still unsuccessful after this submission you may be charged the fees as indicated. Recognition of Prior Learning (RPL) RPL or Recognition of Current Competencies (RCC) takes into account skills and knowledge you may have already gained through life and/or work experiences and previous study. These are measured against your chosen course of study and if relevant, you may be granted credits or exemptions for subjects. If you believe you may qualify for RPL/RCC your Trainer can provide further information and associated forms, and support you through the process. National / Mutual Recognition / Course Credits It is our policy and a legislative requirement that we formally recognise all AQF qualifications and statements of attainment issued by another RTO across the country. This process is called mutual or national recognition. Please contact us should you wish to obtain credit for any qualifications or statement of attainment that you already hold. client feedback Feedback we receive from our clients, our learners and our colleagues is invaluable to us because it provides us with an opportunity to improve the products and services we offer and the level of service we provide. As a learner you will be required to provide feedback on a unit basis which is a matter of answering a few questions by placing a mark on the appropriate answer. At the end of the course you will be required to complete a mandatory questionnaire required by the regulating body. complaints, grievances & appeals The Learning collaborative maintains a fair and equitable process for dealing with grievances, appeals and complaints. We encourage both positive and negative feedback and invite staff, learners and clients to provide feedback regularly using formal and informal methods. STEP 1: Local Discussion: To raise an initial complaint or academic appeal the student may approach their Trainer or the person who is able to take ownership of your issue within 10 days of the incident occurring or assessment result being issued. The TLC member of staff or our partner representative has been directed to everything in their authority to resolve complaints and appeals quickly and reasonably. STEP 2: TLC escalation: In the event that you are not satisfied that the complaint / appeal has been considered and/or resolved to your consideration, you may wish to escalate the matter in writing to the Director, The Learning Collaborative. Be aware that anonymous complaints can be less effective While ASQA can investigate anonymous complaints, we won't be able to contact you to request more information. Provide as much relevant detail as possible When describing your problem, be specific. Include dates and times, venues, and the names of people involved. Provide evidence to support your complaint This might include emails from your provider about the outcome of its investigation of your complaint, screenshots from a website, or course materials. Understand ASQA's role ASQA accepts complaints as a way of gathering information about training providers. ASQA uses this information to target its resources at the providers that pose the greatest risk to the quality of Australia's vocational education and training sector. ASQA's role does not include providing a student advocacy service. This means that we cannot contact your provider and request for them to take action on your behalf.. academic records At the completion of all the assessments and confirmation by your trainer and assessor that you are competent a qualification will be issued in your name. TLC is required to have this qualification issued to you within 21 days of you being deemed competent. If you have not received this in the required 21 days email admin@thelearningcollaborative.com.au If you require a reprint of your qualification or statement of attainment you are able to email admin@thelearningcollaborative.com.au and request another. There is a fee for reprints which is indicated on the schedule of fees. Course Award To be eligible for an award (e.g. Certificate or Diploma) a learner must have completed all the program work and assessments as set out in the program outline for the course. Statement of Attainment If a learner progress through their learning and completes any units of competency, and does not complete the course a Statement of Attainment will be awarded for the units completed. Academic History Reports When a qualification has been completed the learners will also receive a transcript of their academic history which aligns to the units of competency (subjects) they have completed. Statement of Attendance Statements of Attendance are supplied to students who decide not to proceed with the assessment component of a course but still require documented evidence of attendance, or for students who attend non accredited training (ie. skills only). Accessing Academic Records As a registered training organisation, we are obliged to provide you with timely access to your academic records. Following submission and marking of your assessments, your student records will be updated within 21 days. Students are required to provide a written request (TLC form) to obtain a printout of their current records of the participation and progress. If you wish to have this done please forward an email to admin@thelearningcollaborative.com.au and a request form will be sent. Once completed return to the same email address and it will be sent out within 5 working days. Please remember that access to these records is subject to our privacy policy and you will be asked to provide your password if this information is to be provided electronically or via phone. student rights and obligations Learner Rights: to expect course(s) be of high quality that meet both current industry standards, practice and accreditation requirements to be informed of the course outcomes, assessment requirements and rights of appeal explained at the commencement of training to have their training outcomes assessed and be provided with regular feedback on their progress to appeal against an assessment decision to be treated fairly and respected by fellow Learners and staff to have their personal records kept private, secure and confidential, and only made available to authorised users to learn in a safe and supportive environment to expect that administrative matters such as enrolments, payments, course notes and awards are handled efficiently to expect TLC staff and partners, both educational and administrative will respond promptly and accurately to reasonable enquiries made by them with regard to any aspect of their educational progress Learner Responsibilities: to respect the diversity of members of TLC community to manage their own learning and assessment requirements to sign attendance register on arrival of training day(s) to ensure enrolment details remain current to complete all assessments within set time periods (as applicable) to submit original work for assessment, without plagiarising or cheating to treat all training staff and other Learners with respect and fairness to behave in a non-discriminatory and non harassing manner to follow all health and safety procedures in the learning environment to promptly advise staff if they are delayed and of any changes in their personal details to promptly advise staff if they are experiencing any difficulties or problems in completing the learning and assessment process or any other issues to maintain workshop confidentiality and agree to treat all information obtained in the training room inconfidence and not be released to other parties not come to workshops under the influence of drugs (prohibited substances) or alcohol and must not consume alcohol during lunchtime To complete require feedback forms as directed Revision 2-16 June Page: 25

student behaviour and discipline We expect that fair and equitable treatment is a reciprocal arrangement and as such have documented guidelines for management of inappropriate student behaviour. In the first instance: Students will be asked to cease any behaviour considered inappropriate either by trainers, assessors, workplace or other students. argument will be entered into in relation to individual perceptions about appropriateness if the behaviour has offended, then it will be considered offensive and is therefore inappropriate. In the second instance: Failure to desist will result in a second request for behaviour to cease and may include temporary and short-term ejection to allow for reflection and cooling off and/or written advice. These interventions will be used at trainer/assessor discretion. In the third instance: Failure to cease inappropriate behaviour will result in ejection from class for the day. We reserve the right to permanently eject students for ongoing inappropriate behaviour without refund. This decision will be made on a case-by-case basis considering evidence at hand and level of inappropriate behaviour. health and safety We value the health and safety of our learners, clients and employees alike and strive to provide healthy and safe working and learning environment. Within the legislation specific to OHS legislation (provided in Legislation) are clearly document requirements for parties that include you, your fellow students, your trainers and a host of other personnel and stakeholders. Practically speaking, you are required to: tify those in charge of the work space (trainer, manager etc) of any identified hazards, risks or dangers t wilfully damage equipment t wilfully cause harm to self or others Wear personal protective equipment as required First Aid Please inform your trainer, or our support team upon enrolment or arrival of any medical conditions such as allergies. Learners are encouraged to subscribe to the local ambulance service as, in the event of emergency assistance being required, an ambulance will be called.
