This document outlines information necessary for you to send and receive E-mail for your virtual domain across a variety of platforms, including some mobile devices. If at any time you need help with these instructions, or something doesn't work like it should, please contact us for help in one of the following ways: Email: servicedesk@avits.ca Web: https://otrs.avits.ca/ click on Sign up now if it is your first visit. Webmail: While you may not use webmail very much, it is the primary means you will have to change your Email password, so it is important to understand how to access and navigate the webmail interface. To get to the webmail interface, go to https://webmail.avits.ca/ Note: Versions of Internet Explorer 8 or older may have problems displaying the webmail page. If you are using a version of IE that is 8 or older, it is highly recommended that you use Firefox or Chrome to access webmail instead. It is higly recommended that the first time you access your E-mail account, you log on to webmail, and change your password to something you will remember. Account password change Note: You do not need to change your password from what it was initially set to, but this is HIGHLY RECOMMENDED 1/33
Go to webmail at https://webmail.avits.ca/ This is your initial login screen for webmail: For Name input the full E-mail address you were given, so for example: me@domain.com For Password input the password for your E-mail account. If this is the first time you have used avits webmail, this will be the password you were given. It is highly recommended that you change this password as soon as possible. The steps to do this will be outlined below. Your login should look something like this with all the fields filled in. 2/33

This is your main menu bar along the top. From this menu bar, select Options. Your options menu. To change/set your password, select Account Administration on the lower right hand side. You will be asked to confirm your CURRENT password. 4/33
The options you are presented after putting in your password. Note the warning up top. If you change your password, you will need to log back in to webmail. If you want to change your passsword, put in the appropriate new password in the password field, then confirm it again. 5/33
Note: Good password rules are, you should include a mix of numbers, letters, case (upper and lower), and other symbols to create a secure password that is difficult to guess. Put in your new password, then confirm, then click Modify user below....then click log out....log back in with the new password to confirm, and it's all set! Mail forwarding Using the webmail interface, you can setup forwarding of your E-mail to another E-mail address. You can also set things up so that you keep a copy of the e-mail as well. To setup forwarding to another address, follow the same steps to get to the password change. Set the values you want in the Routing section. If you want to keep a copy of the message on your account, check the Save a Copy checkbox. 6/33
Other Webmail functions. Compose: This is the compose E-mail screen. 7/33
In Compose E-mail, you can create and send E-mails and attachments using a web browser from anywhere in the world using your own E-mail address. To compose an e-mail, simply fill in an address in the To: field, and optionally you can add addresses in the Cc: and Bcc: fields. Fill in a subject, and type your message. You also have access to your webmail address book if you have created one. This is a good place to store frequently used e-mail addresses and contact information. You can also attach your signature to the e-mail if you have created one. The Save Draft button will save a draft copy of your message for later. Check Spelling will check the spelling of your E-mail against the system dictionary. Webmail Address Book The avits webmail system will allow you to save an address book of frequently used e-mail addresses, which makes it easier to recall them when composing a message. To add an entry to the address book, simply click Addresses in the main menu bar. You will see this screen: Fill in the details as necessary. Click on Add address. 8/33
You will see the address has been added. When composing an E-mail, if you click on the Address button, you will be able to search through your address book for entries. Clicking the addresses button takes you to a listing of the addresses in your address book. Select one or more addresses, and click the Use Addresses button. The To: field in the compose window is now filled in with the address selected. This should be enough to get you started on the webmail interface. Explore it if you're going to use it, and get to know the features, like folders, calendars and much more! 9/33
Using E-mail clients with avits.ca hosted e-mail. This document assumes you are already familiar with how to setup your E-mail client, and does not go into large amounts of detail. It will show you the configuration options you need for the most commonly used E-mail clients available to Windows users. It will also detail how to setup E-mail on Android, iphone, and Blackberry mobile devices. Using other devices may require different settings, and are not in the scope of this document. Mozilla Thunderbird Go to tools in the main menu, and click on Account Settings. Click on Account Actions, and select Add Mail Account Fill in the details in the next screen. 11/33
Click Continue. Thunderbird will attempt to detect the settings it will need. Most times it will succeed, sometimes it will not. In which case, you will see: 12/33
You will need to fill in the following values. It is important that username is set to your full E-mail address, including the @ sign and the domain, or your e-mail will not work. Next Page. 13/33
Click Re-test. This means everything is in good order, and you can click Done. Your e-mail account setup is complete!. 14/33
Microsoft Outlook These instructions are tailored for Outlook 2010. For other versions of Outlook, please consult your user manual under Add Another E-mail Account for more information. The settings in the following screens will still be valid for other versions of outlook, so please pay careful attention to them. Click on File in the main menu bar, then Add Account to add your e-mail account. This will be a manual setup. 15/33
Internet E-mail. Note that the User Name uses your full E-mail address again. Also pay attention to the Account Type, it should be set to IMAP. After filling this screen in, you will need to click on More Settings. 16/33

Once the advanced settings are filled in as above, click Next. Your account settings will be tested. If anything fails, please double check your account settings. 19/33
Android Phones Note: This only covers setting up the default Android mail client. There are many many clients available for Android, but you should be able to take the settings here and apply it to them. In the Android mail client, tap the Menu button. Then tap Accounts List. Then New Account Choose an account type of Other : Next Page... 20/33

Blackberry 10 Go in to Settings (the gear). Tap on Accounts. Add an account using the icon on the bottom of the screen. Type would be E-mail. Input your E-mail address. 25/33
Then tap the advanced icon on the bottom of the screen. Select IMAP as the type of account. Settings follow on next page. 26/33

Now set your outbound mail up. Ensure your SMTP Username is your full e-mail address, and also ensure that SMTP Port is set to 587. 28/33
Ensure SMTP Encryption is set to StartTLS. Set the other two values to whatever you like. After filling in all the values, the Done button should be available. The Blackberry will validate the settings, and you're done! If something fails, validate your settings. 29/33
iphone These settings were done on an iphone 4S, but the settings on other models of iphone should be similar. You will need to go in to your phone settings. Select Mail, Contacts, Calendars from the Settings menu. Locate Add Account The Type should be Other Setup the incoming mail server parameters as below: 30/33
Ensure your full E-mail address is the User Name. Setup the outgoing mail server parameters as below: Your phone will attempt to finish the setup.. Once you have completed these steps, you will need to change advanced settings. 31/33
In Advanced settings, ensure your server type is set to IMAP, and your port number is set to 993, and that SSL is turned ON. You will also need to make adjustments to your Outgoing Mail server settings. Tap on that. 32/33
Ensure the settings for the SMTP server are as follows: Tap Done, and your account setup should be complete.
