2 POSITION IN ORGANISATION: Director of Information and Education Head of New Media New Media Officer Snr Editor/Social Media Coordinator Development Coordinator Digital Media Editor Online Volunteers (currently approx 150 UK-wide) Web and Social Media Editor New Media Team Administrator The post holder will work closely with all members of the New Media team and also with staff around the UK responsible for contributing content to the website. 4 DECISION MAKING AUTHORITY: The post holder will be the first point of contact for enquiries and work requests to the New Media team. They will need to prioritise tasks and allocate enquiries to appropriate members of the team, deciding when to respond directly and when to escalate queries. 5 QUALIFICATIONS & SKILLS LEVEL: Person Specification Qualifications Degree (desirable) Experience Essential Office administration, preferably in the charity sector Supporting the management of complex projects (preferably digital development). Working with online content management systems Managing and working with large volumes of data in Microsoft Excel Managing work requests from more than one individual simultaneously Writing accurate and concise minutes of technical meetings Desirable Basic image editing in Photoshop or equivalent picture editing experience. Working on film or photographic shoots Working with email marketing software Working with HTML Supporting web/digital development projects Knowledge and Skills Proficient in Microsoft Office applications including Word, Excel, PowerPoint, Outlook - 3 -

Part 2: MAIN DUTIES & KEY RESPONSIBILITIES Website Maintenance - 40% Working with the Society s Database and Communications teams managing user accounts on the website: updating accounts, sending bulk emails to new subscribers, keeping records up to date Routine site administration tasks including: image and document uploads and editing; link checking and building; editing content on the site. Supporting management and updates to data on local services around the UK displayed on the MS Society websites. Working with the Society s area staff around the UK to maintain and update information Supporting the Society s e-learning programme maintaining the learning management system (LMS) and user lists and permissions Team administrative support - 25% Minute taking and follow up for team meetings and technical meetings with developers. Assisting with preparation of reports on web analytics to help assess the effectiveness and impact of online activities Diary management for the Head of New media and the team Managing absence and leave reports - 4 -
Financial administration including logging and coding invoices, processing expenses and credit card receipts, assisting with monthly reporting Managing the team s email inbox. Responding to queries where appropriate and allocating others to members of the team. Supporting development 20% Assisting with development of - and updates to - project plans for major development work and ensuring tasks are delivered on time by the MS Society team and by external suppliers Testing upgrades to the website and new features, logging problems and updating the team and external developers Updating and developing the team s editorial calendar covering all digital channels. Ensuring planning processes are followed and arranging planning sessions with stakeholders from around the organisation. Supporting film production - 15% Working with the Digital Media Editor to arrange and deliver film shoots around the UK. Duties to include: o Helping to source participants and schedule shoots o Researching and arranging locations for shooting o Arranging travel, accommodation and equipment hire o Attending shoots and assisting on location (some overnight stays and travel will be required) o Assisting with the edit by logging and categorising film clips - 5 -
Other Duties The post holder should be prepared to attend MS Society meetings and film shoots in different parts of the country. Some meetings may be during evenings or weekends. Mandatory Criteria The post holder will be working in a developing environment and he/she will therefore be expected to undertake other appropriate duties as required for the effective operation of the MS Society.
