1 PART 1: JOB PROFILE JOB TITLE: INTRANET EDITOR 1. MAIN PURPOSE OF JOB To lead the development and promotion of Intranet content and associated information management systems for Christian Aid in all countries Trains and works with staff based in UK/I to ensure the new ways of information sharing and collaboration are understood and adopted by staff. This includes the preparation of iora offline publications for travelling staff and the provision of relevant training materials, including interactive online materials. To manage the Information Resources Centre and Archives staff and ensure they provide a high level of service to colleagues across the organisation. Assists colleagues in preparing for the organisational switch from SharePoint Portal Server to Microsoft Office SharePoint Server (MOSS) 2. POSITION IN ORGANISATION Reports to Head of Information and Internal Communications. Manages the Information and Resources Centre and Archives staff. Collaborates and works closely with Communication and Information Officers. Collaborates and works closely with the International SharePoint Migration Officer, providing UK based support as required during international migrations. Collaborates with ISD Staff, including regional IT officers. 3. SCOPE OF JOB Portal editing and management responsible for the information integrity of pages located at the Portal level of SharePoint and manages existing / new SharePoint extranet team sites. Edits submitted content and maintains the home page schedule. Delivers compelling home page content and undertakes light moderation of message and discussion boards. This area of work includes oversight of Typepad blogs, podcasts, and in the future wiki pages, folksonomies and social media. (25%) Migration / Improved use and retraining assists teams to maximise their use of the SharePoint system and supporting them to develop new ways of collaborative working. To include the creation and administration of new SharePoint team sites in the UK/I where required, and providing technical support and training where appropriate to do so. Also assists the International SharePoint Migration Officer to migrate and merge team sites previously located with UK teams. (20%) Content creation and internal communications assists with the production of Majority World News and manages the transition of MWN to a new format. Creation of unique portal content and other internal communications that helps staff find and understand the knowledge assets available to them. (25%) Development assists and advises staff involved in the upgrade project to SharePoint version 3 (MOSS), with a particular focus on records management, search engine training, content management, electronic forms, travel systems, and interfaces with the PROMISE project. (20%)

DIMENSIONS & LIMITS OF AUTHORITY Advises teams on best solution within SharePoint for information sharing, storage and retrieval, and collaboration needs. This includes migration preparation for new team sites in UK/I Responsible for quality control and management of portal level content. Contributes to internal communications initiatives on and offline, and creates unique content for Majority World News, SharePoint and other communications channels. Responsible for assisting colleagues with development and further exploitation of SharePoint / MOSS Responsible for developing super user training materials and piloting new courses Works with IT training and support teams to ensure 1st line support and training requests can be handled by the ISD staff Provides 2nd line user and technical support to teams as well as ad-hoc support for super users Manages the library and archives staff / budget 5. QUALIFICATIONS Educated to degree level or equivalent Editorial/writing skills/attention to detail Project management skills High level technology skills using MS Office applications Excellent interpersonal skills, able to influence senior staff Strong understanding of technology trends in collaboration, knowledge management, and peer to peer communication techniques (blogging / Wiki s / presence) MS SharePoint Portal Server and Windows SharePoint Services experience Experience of working with web technologies Experience of content management and / or Portal systems MOSS (SharePoint 2007) knowledge Familiarity with MS Infopath HTML knowledge Experience of running an information centre / research service Document/Records management experience Classification/archives experience 6. 4 PART 2: DUTIES & KEY RESPONSIBILITIES JOB TITLE: INTRANET EDITOR Portal editing and management 25% Responsible for the information integrity of pages located at the Portal level of SharePoint and manages existing / new SharePoint extranet team sites. Edits submitted content and maintains the home page schedule. Delivers compelling home page content and undertakes light moderation of message and discussion boards. This area of work includes oversight of Typepad blogs, podcasts, and, in the future, wiki pages, folksonomies and social media. This will include content approval of items submitted by teams for portal level publication and may require editing of items for length and/or writing of original content. Targeting portal content to specific audiences/groups of staff will be an important aspect of the role. In addition, the Intranet editor is required to maintain post-live moderation of notice boards, discussion fora, and, in future, web2.0 platforms. Within this area of responsibility, the intranet editor is also expected to manage and support extranet SharePoint team sites. Migration / Improved use and retraining 20% Assists teams to maximise their use of the SharePoint system and supporting them to develop new ways of collaborative working. To include the creation and administration of new SharePoint team sites in the UK/I where required, and providing technical support and training where appropriate to do so. Also assists the International SharePoint Migration Officer to migrate and merge team sites previously located with UK teams. This will include helping UK/I teams to review their existing network drive structures where they are still in use, define appropriate folder structures and develop document migration strategies for moving their content to their SharePoint team site. It will also require a small amount of time to be spent in coaching and supporting teams post-migration to help them use the system day in day out. The nature of migration means that the work can be repetitive / frustrating so the ability to maintain concentration and attention to detail is critical. Due to time pressures and also during international migrations, it may occasionally be necessary for the postholder to work outside core hours. As the number of migrations diminishes, this responsibility will transition to improved use and retraining working with teams to improve collaboration and remote working practices using SharePoint and helping teams to identify opportunities to replace manual forms and systems with SharePoint processes. This will also include remigration tasks where content structures have drifted from the original file plan and work is required with teams to re-architect their use of SharePoint. Content creation and internal communications 25% Assists with the production of Majority World News and manages the transition of MWN to a new format. Creation of unique portal content and other internal communications that helps staff find and understand the knowledge assets available to them. This will include the production of Majority World News the daily all-staff /portal page to Christian Aid staff on a rota basis. This task involves gathering and reporting on current news stories from both internal and external resources, creating links to sources and editing announcements on behalf of Christian Aid teams. The MWN format has become stale and the postholder will be responsible for reviewing current channels, production methods and editorial tone.

5 In addition to Majority World News, the post holder will work across multiple content sources, editing submitted articles for length and style, as well as looking for interesting stories emerging from Christian Aid teams and writing original content. Development 20% Assists and advises staff involved in the upgrade project to SharePoint version 3 (MOSS), with a particular focus on records management, search engine training, content management, electronic forms, travel systems, and interfaces with the PROMISE project. The postholder will work closely with colleagues in the Information Systems Division and the Information and Internal Communications division to prepare for the upgrade to Microsoft Office SharePoint Server 2007 (MOSS). The postholder will be expected to develop their current awareness of the MOSS platform and may be tasked by the programme board to undertake specific research / use case studies for particular focus areas. These are likely to be related to records centre management, content management, extranet, EDRM, forms and electronic signatures. As the organisation approaches implementation of MOSS, the time allocation for this responsibility area will increase significantly. Information Resources Centre 10% Management and budgetary responsibilities of team. Particular requirement to oversee the work of the archives officer in developing the organisational EDRM strategy related too the deployment of MOSS. The intranet editor will manage two senior information officers and the archivist. As part of this the post holder will provide leadership within the IRC so that it complements knowledge sharing and learning within the organisation. The post holder will also manage the development of library and archive services provided by the Information Resource Centre to identify operational and service level improvements. The post holder will manage annual budgets relevant to the team. A particular focus area for 2007/8 will be in assisting the organisation to develop the electronic document records management (EDRM) strategy. Again, during this phase of work it is envisaged that the postholder will spend more than 10% of their time for this area of responsibility. Any other reasonable duty as may be assigned that is consistent with the nature of the job and its level of responsibility. The post holder may occasionally be required to travel within the UK and overseas. This job description is not prescriptive; it merely outlines the key tasks and responsibilities of the post. These key tasks and responsibilities are subject to change. Any changes will be made in consultation with the postholder. You will be expected in undertaking the above role to comply with any policies and procedures that Christian Aid may issue.
