OWA Basics How do I get help? Customer assistance for all GIL services including OWA service is available from the IT Service Center Help Desk (8765). User Guide: Also read the OWA User Guide, which includes how to subscribe, log in, use OWA, plus Tips and Troubleshooting steps based on customer feedback. What is OWA? OWA is a web-based email and scheduling client which allows mobile users on the Internet a secure environment to access their Chevron email. OWA provides access to your inbox, calendar, contacts and public folders. What do I need to be able to use OWA? You need both a subscription to OWA and a SecurID card. To subscribe go to GILServ. Logging In How do I login to OWA? Do I still need to enter a user ID and password? No, windows passwords are not longer required. OWA only requires twofactor authentication to comply with ESAS controls. As a result, users will be prompted to enter RSA SecurID user Name and Passcode, which provides single sign on to your inbox. What if I Forgot My SecurID PIN? You need to call the Help Desk to request a PIN reset. Attachments How can I view attachments in OWA? Simply click on the binoculars icon format. and the file will be viewable in HTML Can I download attachments to local computer? If you are connecting to OWA over the public network, such as the Internet or kiosk, you will only be able to view attachments. Attachments are converted to non-cache HTML format. This is to prevent mobile users from leaving copies of files on local computers, since some files may contain confidential information. This is also a security requirement to comply with ESAS controls. My inbox has been archived using the email archive package. How do I access my archived attachments and messages in OWA? As of the date of this document that functionality is not currently available. The Enterprise Messaging Team is currently testing an OWA plug-in that will enable this functionality. Can I open files or folders using links embedded in a message? If you are connected to OWA over a public network such as the Internet or kiosk, you will not be able to open links that directs you to the Chevron internal servers, such as Chevron internal web sites (e.g., TEA web site). You will only have access to files stored on your Exchange server. Corporate security policies do not allow access to internal resources from the Internet, since it could increase the risk of security breach. If you need to access such files, you must use NetGIL or VPN. Once you have established a secure connection to the internal network, you will able to open the embedded links. What types of attachments can I view through OWA? Can you open encrypted email messages using OWA? The answer is No. To be able to do that would require SmartBadge. As of the date of this document, this functionality has not been implemented. The Enterprise Messaging Team will be testing this functionality in the near future. Supported Browsers Is OWA accessible from other platforms, say a Mac? The answer is yes. There are two flavors of OWA, the basic version and the premium version. The basic version would allow access via a Mac but would provide less functionality than our customers are used to. Due to the customization in place to comply with ESAS controls, the premium version has been deployed. Customers can use the browsers below for limited (basic) functionality. MAC clients supported include: Operating System: 10.3.9 Internet Explorer: 5.2.3 Safari: 1.3.1 This was tested in Chevron. What about GIL3 Vista Clients? Yes, The OWA infrastructure was upgraded to support GIL3 Vista clients. Currently, this functionality is only available in USA and ehubs are working on upgrading their OWA servers. OWA Limitations OWA will not function in Offline mode. You must be connected to OWA to be able to access your inbox. Can I access my.pst file or O drive? You cannot access your Outlook Personal Folders file (.pst) or your O drive when using OWA. You can only access your.pst file through Outlook on your desktop.
