3 project preparation PROJECT START-UP WHAT CHARACTERISES SUCCESSFUL PROJECT MANAGEMENT? A number of different views and objectives come together in a project. These have to be bundled and aligned. To achieve this, it is vital to understand all of the project participants during the design and construction process, on the one hand, and to carry out proactive management in all project phases, on the other. What should attention be paid to and when? PREPARATION A CLEAR TASK Defining a task clearly, so that it can be understood by everyone, is the issue that arises at the start of a project. Then there are other questions, such as: Have the starting conditions been met? Are all the relevant documents available and have all project participants committed to the project? These are seemingly simple and clear steps, but they are vital for the smooth running and ultimate success of the project. An important project management task in this phase is to establish a common understanding of the intended project aim. This requires open communication for more transparency during the course of the project. Informing and involving all the participants early in the preparation phase establishes the foundations for a successful implementation of the project. PLANNING DEFINING RESPONSIBILITIES Tasks are defined, practical schedules and budgets are established and their compliance is controlled in close cooperation with the Client and all the project participants. In order to achieve this, it is important to consider the core competencies of all the project participants, as well as your own responsibility. Plausibility checks are carried out to review the degree, to which the set objectives can be fulfilled, and to detect risks at an early stage. EXECUTION AVOID ERRORS WITH QUALITY GATES During the execution phase, the project management focus lies on coordination and the specific implementation of the project processes in compliance with deadlines and costs. In this phase as well as in all the other project phases, we have integrated an efficient mode of working process the so-called Quality Gates. Quality Gates represent test deadlines with clearly set quality criteria during the course of the project. Quality Gate meetings take place on a regular basis in order to decide, whether the next project phase can be started or not. The project may be stopped in the worst case scenario. In this case, clear action and escalation guidelines regulate, when a compromise or solution to the open items has to be found and by whom. The underlying principle remains: Dealing fairly with each other. What is special about Quality Gates? Control and enquiry about the parameters have obviously always been a part of quality management, but often without consistent implementation. Quality Gates provide a platform for constant status evaluation and communication between all project participants. They help us discuss errors consciously and do not allow scope for delaying decisions. This form of proactive management prevents disruption and errors in time. This means that our projects become more resilient. COMPLETION KEEPING THINGS IN MIND FROM THE START The underlying philosophy of our project management is: Have a clear focus on the completion of the project from the very start at the initial project consultation. This allows all the project activities to be divided into realistic subgoals, so that their degree of fulfilment can be regularly tracked, communicated and documented. We only consider that we have finished a project once the success of the project has been verified and the conclusion of the project has been clearly documented by all the participants.
