2 School Volunteer Program JOB DESCRIPTION: Training Coordinator THE SCHOOL VOLUNTEER PROGRAM The School Volunteer Program (SVP) incorporating Timehelp recognises that when matched with a suitable volunteer either as a mentor or in another regular volunteering capacity who can give the student the gift of time and attention, students are more likely to make an extra effort to go to school and engage in their education, which sees them build resilience to be able to cope with the challenges life throws at them. Our services are designed to improve student s literacy, life skills, self-esteem and self-confidence which contribute to improving learning outcomes and improved student achievements. This is coupled with improvements to volunteer health and wellbeing benefits. THE POSITION SVP is looking for a talented individual to join their team in the capacity of Training Coordinator. The role is pivotal, ensuring that the Training activities of The School Volunteer Program incorporating Timehelp are not only successful but transformational. To be successful in this role you are a person who loves challenges and is passionate about training in both its delivery and development. Your will have the skills and experience to review existing training packages and ensure that these developed to the highest possible standard. You will have the ability to develop new training packages that meet the needs of our stakeholders and also have the ability to deliver training to a corporate market. You will be creative in developing ways in which to deliver training through a variety of mediums and are a confident and self-driven individual who requires little supervision and thinks innovatively and a creative in problem solver. You see opportunities and are able to capitalise upon them, you are a team player and passionate about the community sector and contributing towards positive community outcomes. 3 Responsible to: Indirect reports: Location: Employment Type: Pay scale: Chief Executive Officer School Liaison Officers, Team Administrator, Office Volunteers The Rise, 28 Eight Avenue, Maylands, Perth 6051 Maximum term, part time contract (15 hours per week) concluding 31 December 2017 Employment is aligned with the terms of the Social, Community, Home Care and Disability Services Industry Award This position is within the Social and community services employee level 7 classifications in the Award and will commence at level 7.3 Item 1 Position Description / Duties Undertake responsibility for the coordination, set up and delivery of all SVP operational training programs to new and existing stakeholders using a variety of media (direct, via Webinars and online). Responsibility for the review and redevelopment of existing training packages ensuring these meet organisational need and are to best practice standards. This includes incorporating existing Timehelp and SVP training materials into one national program. Facilitate sessions as required in metro and regional WA primarily with occasional travel to other states of Australia Identify gaps and develop new training material where needed Conduct orientation of new staff to the organisation and maintain and amend orientation program in line with organisational policy and procedures Develop and organise internal staff development opportunities based on training needs and analysis Responsibility for the ongoing evaluation of training packages Compiling monthly operational reports and ensure all data entry is up to date Assisting in the compilation of funding submissions with a training focus. Assisting in the development of training packages on a fee for service basis including that targeted towards a corporate market Liaise with staff to source and coordinate external training providers where required Manage volunteer support to the training position Work to basic budgets and organise and control expenses Participate in staff and other meetings Maintain appropriate records and statistics, comply with timesheet, leave and financial requirements Item 2 Item 3 Hours The ordinary span of working hours will be between 7:00 am and 7:00 pm Salary $26, SVP: Application Pack - Training Coordinator Page 3 of 9

4 Item 4 Item 5 Superannuation Statutory Contribution of 9.5% amounting to $2, Salary Sacrifice Ability to salary package up to $16,000 p/a SELECTION CRITERIA Essential Demonstrated skills for managing administrative tasks and organisational requirements, within strict deadlines Recent (last 2 years) experience in delivering training packages using a variety of technology mediums particularly with the community sector Recent (last 2 years) experience developing training packages to meet identified training needs Recent (last 2 years) experience in group facilitation, presentations and adult learning principles High level computer and internet skills Excellent interpersonal, communication and writing skills Ability to work individually and as part of a team Ability to work effectively unsupervised and outside of the office (with the flexibility to work outside normal business hours including occasional evenings and weekends) Demonstrated ability to use initiative and possess a "can do" approach to work Attention to detail and exceptional work ethic A current drivers license with access to a motor vehicle for work purposes Desirable Certificate IV in Assessment and Workplace Training qualifications Experience in developing E-Learning packages Understanding of the community sector and in particular the role of volunteering in the community Experience delivering to corporate market APPLICATION Please send a covering letter, application form and statement addressing the selection criteria along with your current resume (including details of three referees and residency/citizenship status) to Craig Stewart, Chief Executive Officer, The School Volunteer Program, PO Box 601, Maylands WA Alternatively to svpwa@svp.org.au for the attention of Craig Stewart. 5 WHAT TO INCLUDE IN YOUR WRITTEN APPLICATION Applications should be typed (where possible) and include the following information: a) Cover letter We recommend that you write a cover letter to introduce yourself and your application. b) Application Form c) Resume A resume is a brief summary that includes details about yourself, your education, work history, experience and other relevant material. Please include the following information: Employment History Educational Achievements Community Building Experience Teaching or training experience Special skills, interests, achievements or awards Contact details of three referees, two of whom you have worked with and can comment on your professional manner and character in the workplace within the past 5 years. d) Statement addressing Selection Criteria Responding to the Selection Criteria is the most important part of your application. The selection criteria outline the knowledge, skills and abilities required to perform the role advertised effectively. As part of your application, please address each of the selection criteria on a separate page, limiting your response to one page for each criterion. Further information and tips for structuring your responses to the Selection Criteria can be found in the following section. e) Criminal checks Applicants who proceed to appointment will also require a Working with Children Check and a national police clearance certificate. This is not required before application. HOW TO PREPARE YOUR APPLICATION The application The objective of your application is to present evidence that you are suited to the role advertised. Key concepts in the Selection Criteria When addressing Selection Criteria an understanding of the following key phrases/concepts can be very helpful: SVP: Application Pack - Training Coordinator Page 5 of 9

6 demonstrate To have demonstrated and proven ability, try to show that you have successfully performed the duty or skill in the past. This does not have to be directly in the specific role advertised, but you must be able to show (demonstrate) your actual experience and ability. It is best to provide concrete examples of how you meet the criterion. clear evidence Outline some specific examples, actual scenarios or situations that provide the panel with clear evidence that you have prior experience in the particular area. Again, the experience you have does not need to be in the specific role advertised, but you need to show that you can transfer your skills to this role. an ability You must have some level of competency or ability in the area asked for. You don t need to be an expert, but you do need to clearly outline your ability, at whatever level that may be. Structuring your responses to Selection Criteria the STAR Model A simple technique for addressing and presenting selection criteria in a logical and concise way is to use the STAR model, where: S refers to SITUATIONS in which you have demonstrated your particular skills T refers to TASKS you have performed that have demonstrated your ability A refers to ACTIONS you have taken and how they have demonstrated your skills R refers to the RESULTS of actions taken. Try writing a paragraph using the STAR model (loosely) when you respond to the selection criteria. Outline a particular SITUATION that you were involved in. Describe the TASK or role you needed to perform in that situation. Outline the ACTIONS you took and describe what the outcome or RESULT was. It may seem strange at first, but as you work through your application and seek feedback from others, it will become clearer. Don t feel too tied to the STAR process. It is a helpful framework that will enable you to construct some concrete examples for the selection panel. FINALLY SOME IMPORTANT TIPS: DO write clearly and concisely. Take time to work and rework your application, it is worth it. You will be offered the opportunity to interview based on the strength of your written application. DO ask someone to read through your application and give you some constructive feedback before you lodge it. They may offer a fresh perspective or help you rephrase key points. DO show us that you will be able to transfer your skills and life experiences to the position advertised. SVP: Application Pack - Training Coordinator Page 6 of 9

7 DO provide a range of examples from your life and experience. Vary the context and situations to show that you are able to adapt and transfer your skills to a variety of circumstances and people. DON T waffle. An application that is short and well structured is better than a bulky application that says little. Choose specific examples and scenarios that highlight your abilities. Work to keep your writing tight. DON T just tell us that you will make a good team member in this role (everyone says that!!). Provide specific, concrete examples that clearly show us WHY you will make a good team member in this role. Don t be afraid to show us (not just tell us) how good you are!! DO write simply and clearly and remember your application will be read by people who will assess your suitability for joining The School Volunteer Program and whom don t know what you can do. End.
