2 TIME ATTENDANCE HOW TO CHOOSE YOUR SYSTEM WHAT IS MY BEST CHOICE? The first step in selecting your time attendance system is to know clearly how much information you want to obtain from it. Three are the main levels, the most elementary is just taking care of the IN/OUT punches. Up to this basic surveillance mode almost any brand and time clock will do, even the cheapest ones. Next control level implies hour calculations, if you need to obtain from your system, regular hours, overtimes and absenteeism per employee, then, three special time attendance tools are required: Shift Calendars, each employee has a private shifts calendar where each calendar s date is assigned to a shift to be fulfilled for the employee, the calendar shows concepts such as vacation days, sick days and other significant issues. Shift configuration, where allowed periods of working time are shown as well as how to deal with different overtime hours and absenteeism. Leave types configuration, configuration of leave reasons as worked time is accruable or just absent time. Highest level requirements in time attendance management consist of features such as having an employee s site, where each employee is entitled to obtain reports from the time attendance system to check his hour s balance, punches, shift calendar, etc. Which punching method, badge or fingerprint? Two main punching methods are available in the market, badge or biometric punching. Badges can be magnetic stripe based or proximity cards, biometric punching can either be fingerprint based, palm-hand-based or facial recognition. At AGW we made the choices easier for you, we propose you Proximity Card (Badge) or Fingerprint (Biometric) punching. Lets see advantages and drawbacks of each punching method: the fastest punching method is proximity card, in a single proximity card time-clock, up to 40 to 50 employees can punch in one minute while in a biometric timeclock the rate is only of 15 to 20 employees per minute. Punching in a biometric terminal is somewhat slower due to the fact that the employee must place the finger properly in the reader and positioning in front of the time clock takes some seconds. Fingerprint punching, has besides some important advantages which are the following: avoids buddy punching and also there are no additional costs for lost cards. Our time clock models: W38 TimeClock is a fingerprint based timeclock and our W35X is a Proximity Card based time clock. We offer also the W38X, a Two in one time clock with a fingerprint reader plus an embedded cards reader. Connectivity: TCP/IP Once decided the punching method, connectivity is the next issue to be concerned about, LAN and the internet are strongly related in our time-clocks, you can obtain the information in real time from your LAN or even from outside your office via internet. Time Clocks can even send punches by internet to remote locations where Time Attendance Software is hosted. USB time clocks aren t scalable and do not provide real time information, imagine having 30 time clocks worldwide and having to collect the information of them all! USB connectivity is not in our league and you should avoid it at all costs. T&A Software: classic or web based? Main features in a T&A systems are provided by the Software. It can be either a PC based software or a web based software. We offer only web based Software since it is cross-platform and you can run it on Mac OSX, Windows or Linux. Web Software does NOT mean that you are going to make periodical payments, Web Software means that you access to it through your favorite Web Browser, Internet Explorer, FireFox, Safari or Google Chrome The Web server is inside the time clock, so you see directly the stored data in your selected reports format, employees can also access their data, and data and reports are available also from home, or even from your iphone or BlackBerry. Payment is a ONE TIME ONLY payment and there are no hidden fees. Internet is not required, only LAN connectivity. 3 HOW IT WORKS? Webclock s setup takes only 10 minutes W35/W38 time clocks are supplied ready to install, the connecting cables are already attached so what you need is to attach the WebClock to the wall and plug the power supply and connect the LAN cable to one of your LAN access outlets or directly to your data switch/hub. Assigning the time clock s IP with the keypad The Time Clock IP can be assigned directly through the keypad and the software is ready to be accessed from any PC located in your LAN. Open your Internet browser, type the Time Clock s IP in the directions bar and press return. You will be prompted for your admin and password. Up to 5 users can access the time clock simultaneously.once inside the software, type the employee names and the fingerprint codes or, If your time clock is proximity card based, the card codes. The Webclock is up and running. Employees can already punch once the previous procedures are executed. And the administrators will have direct access to the worked time, overtime and other information instantly. AGW Systems

4 SHIFT AND CALENDARS FOR EACH EMPLOYEE EASY AND POWERFUL You decide the number and type of concepts or parameters you are going to track. Shifts parameters track not only IN and OUT hours but how many regular hours must be fulfilled for each day, how many overtime hours are allowed, lunch time and any other information related to hours and absenteeism calculations. Shifts can be applied to any other employees with the same payroll setup. Further than shifts configuration, each employee can have an attached calendar where special days, for example, sick days, vacations, shift changes, etc. can be reflected and recorded. The information stored in the calendar will be available later when obtaining reports. The embedded WebTime software is very user friendly, it is possible to use it directly with neither Shift configuration or calendars, when used in this way the software will supply punch reports, attendance time, break time with its totals per period. If more detailed information is required, more information must be introduced in shifts and calendars. You choose how to use it. Shift parameters can also be customized to match exactly your own criteria and concepts.

5 LEAVE TRACK WORK LEAVES ABSENTEEISM LEAVES TIME AND SPARE HOURS The main time attendance s goal is to track the real amounts of worked time, employee s lateness and also the amount of spare time detailed for each leave type or even to obtain full detail of worked time on the field. WebClock s software does it thanks to special tools provided to accomplish the task. It is possible to introduce directly in the reports worked time in the field and also it is possible to punch out with a code typed through the keypad. Codes are defined by the user and can be classified in three general leave types, absenteeism for any non paid leave, accrual paid time to be applied when is a legally paid leave and attendance leave when the employee is in fact leaving to perform any external work for the company. Each company configures the software with its own leaves concepts definitions and descriptions Descriptions are displayed in the time clock when the employee selects the code through the keypad.

Reports can be run over any period of time, not only full months but just for one day only or any given dates. It gives you also annual data and information. Receptionist profile Special profile is provided for the receptionist this profile enable the receptionist to check the attendance board only. Administrator profile has access to all webclock features and to the information of all employees an general accruals. Especial profile for the employees is also provided, each employee can access his punches and reports and keep track of his hour s balance. 8 While the webclock is located in the working center, it is possible to access all its information and reports thousands of miles away, this is achieved directly connecting to the webclock through internet. Even if no computer is operating in the working place the webclock can be accessed from the internet, webclocks supply data directly. WEBCLOCK SOFTWARE AVAILABLE FROM ANY WORLDWIDE LOCATION WITH INTERNET WebClock software access is password protected and the user with administrator profile manages the users and the rest of access permits. Since employees can be authorized to punch directly accessing the webclock through internet browser, a typical use of this feature is to install the webclock in the workshop where employees punch directly in it, with a badge or fingerprint, and the staff punch directly when they come to the office through their computer s web browser.

9 PERFECT TRACKING MORE UTILITIES GMT TIME SYNCHRONISM WebClock synchronizes directly with GMT time server in internet so it shows always the right time, still you can also program and set any desired offset in hours or minutes from the GMT times. Door Control, WebClocks provide a dry contact relay which can be used for door control, the relay will activate the electric or magnetic door lock when access is granted to and employee. Bell Control, WebClocks provide a dry contact relay which can be configured to activate a Bell at certain times signaling break times, according to the week day. Backup, easy backups are obtained by just pressing the button located in Tool menu, backup function makes a copy of whole data and software, it takes 10 minutes and the process runs in background mode, and is fully operational while backing up. Updating with new features, your WebClock can be updated directly from internet, keeping it updated with any new feature available.

10 FINGERPRINT W38 FEATURES W38 punch clock has a fingerprint reader, employees must only place the finger on the reader, the webclock shows directly their name in the display and also the punch registered time. Fingerprint punching avoids problems produced when cards are lost or forgotten. Punching g is a bit slower but it also avoids buddy punching. Up to 2000 fingerprint patterns can be stored in the webclock standard version, patterns can be stored in the W38 Extended version. Each employee can enroll several fingerprints Fingerprint scanning time is closely related to the number of stored fingerprints but keeps lower than one second in normal usage. Cleaning services companies and employees using abrasive liquids can not use this type of reader since those employees have very damaged or no fingerprint at all. The W38X model, has a fingerprint reader and also a proximity card reader and can be used in both ways at will.

11 W35X BADGE TIME CLOCK FEATURES When the employee places his proximity card on the clock s red dot a punch is generated, his name is shown in the display as well as the punching time. The punch is only generated when the card is almost touching the red dot to avoid unwilling punches. Punching with proximity cards is faster the punching by biometric readers, up to 40 persons per minute. Main disadvantage is that buddy punching is possible and some spare cards are need to replace lost cards. Proximity cards are complete weather proof its duration is usually longer than 8 years, when any employee leaves the company, the card can be assigned to any other employee and keep reusing the same cards constantly.

12 EMPLOYEE S SITE Employee s Site? YES, WebClocks feature an employee s site,each authorized employee can access his private site and check his punches, hours balance, his shift calendar and other reports. Not only browsing his data, employee s can also punch directly from their web site if authorized to it. Very useful for employees working at customers office since they just login from internet and punch in the clock located in our headquarters. Flexible Shift When flexible shift is established, web access to the hour s balance of each employee is crucial since with this tool each employee knows how many working hours ore due and his information is exactly the same seen by the human resources department. Employee s site format is quite different than the administrators format and each employee has only access to his own information. AGW Systems

13 WEBCLOCK FIRST SETUP AND SUPPORT SETUP AND SPECIALIZED CONSULTING WebClocks are installed in just 10 minutes just attach the webclock to the wall and plug it to the power outlet, the power supply works for 110V as well as 220V. Cables are already pre-attached to make the process easier. The data cable must also be connected to any available RJ45 plug or just directly to your router. Once the webclock is on, a free IP addess must be assigned. It can be done directly trough its keypad, once the IP is inserted, you can already access the WebClock software from any computer accessing your LAN, open the internet browser enter the ip assigned to the webclock in the address bar and press return.
