3 Introduction About Remote Access Remote Access provides district employees with the ability to connect to district systems in order to work from outside the district computer network. Some of the systems available include your network user folder and files, the Microsoft Office Suite applications, and the Help Desk. Remote Access is for full-time instructional, administrators and support staff members who work in the Wayne Public Schools. Business Requirements In order to participate, you will be required to: Read, sign and abide by the district s Remote Access Acceptable Use Agreement. Obtain your supervisor s signature, approving your request for Direct Access. Change your current password to a strong, alphanumeric password. It is your responsibility to remember your new password. Attend a mandatory training session. Technical Requirements When selecting Terminal Services for the first time, there is a requirement to install a small program on your personal computer. This could take from one to five minutes to install, depending on the speed of your Internet connection. Note: At this time, the Remote Access service does not support the Macintosh platform. Disclaimers There is a certain level of computer literacy required to install and use the Remote Access service. The Technology Department will not provide personal computer support. The Technology Department is only responsible for ensuring that your Remote Access account is created and accessible from outside the district network. Every attempt will be made to ensure that the Wayne Public Schools Remote Access Service components remain stable and operational. However, there will be times when the service is unavailable due to system maintenance, or when the number of users logging in exceeds the number of available user licenses, or when there are other unforeseen events or circumstances (e.g., local ISP problems, power issues, etc.). remote access manual v1.8.doc Version 1.8 Page 3 of 11
4 How to Obtain Remote Access 1. Print, read, and sign the Remote Access Acceptable Use Agreement. The agreement is available on all District websites from the left navigation column: Staff>Technology Resources> Documentation>Remote Access. 2. Have your supervisor sign the Remote Access Acceptable Use Agreement, approving your request for Remote Access. 3. Request Remote Access by submitting a Help Desk ticket with the problem type Remote Access. Each person requesting Remote Access must submit their own ticket. 4. Attend Remote Access Training. (Training session dates and times are announced via e- mail. announcements are usually sent one week prior to the training session date.) You must bring your completed Remote Access Acceptable Use Agreement to the training it is your ticket of admission. If you do not bring the Agreement with you, you will not be allowed to attend the session. 5. 5 About Your Remote Access Session Time Limits Session Time Limits Each time you log on to Remote Access, you have two hours of available session time. At the end of the two hours, your session will be disconnected if you have not previously signed off. Note: The Personnel and Budget systems have individual time-out settings independent of your remote access session. They will time out according to your personal settings, just as they do when you are working within the school. It is recommended that you keep track of your session time to avoid losing any work you have not saved if you reach your two-hour limit and are automatically disconnected. Your Remote Access Home Page has a session clock that indicates how long you have been in your session. While you are working in a Remote Access application, you can return to this screen in your browser to track your time usage. Alternatively, you may want to note the time you started your session and be aware as you approach your time limit. Saving Your Work If you are working on a document such as a Word file, it is recommended you save the file on a frequent basis so you don t lose any work if you reach your two-hour time limit and are automatically disconnected. You can also set up an option in Microsoft Office applications that is called AutoSave or AutoRecovery. This option will save your file at frequent intervals, minimizing the possibility of losing any of your changes to time-outs or unforeseen events. 6 Starting Your Remote Access Session Signing In to Remote Access 1. Open a web browser (e.g.; Internet Explorer) on your home computer. Remote Access is not accessible from the Wayne Schools in-district network. 2. In the address bar, type the URL: You will be directed to the secure site below. 3. To start your Remote Access session, type in your username and your new alphanumeric password. Click Sign In. remote access manual v1.8.doc Version 1.8 Page 6 of 11
7 Accessing District Resources Your Home Page Remote Access provides you with a home page containing links to the district services you are authorized to access, internal district websites, and your personal User Folder. Your home page is divided into two sections: The top half, Web Bookmarks, contains links to district websites and applications accessed using web browsers. The bottom half, Terminal Sessions, contains links to district applications accessed through Remote Desktop terminal server sessions. 8 District Websites/Applications The Web Bookmarks section of your home page offers a menu of in-district websites and applications. Example: Home Page Web Bookmarks Menu To access a website/application, click on its link from your home page. The link will open in a new browser window. Log in/log off in the same manner as when you are in-district. After logging off, close the browser window by clicking on the red X at the top right of the window. 9 Remote Desktop Applications The Terminal Sessions section of your home page offers a menu of district applications accessed through Remote Desktop. Example: Home Page Terminal Sessions Menu Your User Folder To access your User folder (H: Drive), click on the link titled Remote Desktop Access to User Folder. Log on to Windows the same as if you were logging on to a computer at work. You can open, edit, and save your documents as if you were working in-district. The Remote Desktop User server provides a set of MS Office applications and Adobe Acrobat to work on documents within your User Folder. When you ve completed your work, log off the Remote Desktop session. Click Start at the bottom left of your computer screen, then Log Off, just as if you were logging off your computer. Other Remote Desktop Applications To access other district Remote Desktop applications, click the appropriate link in the Terminal Sessions menu. You log on, log off and work with these applications just as if you were in-district. Using Remote Desktop for the First Time The first time you select a Remote Desktop application you will be asked to install the software necessary to connect to the district in-network system terminal server sessions. (Depending on the speed of your Internet connection, it could take up to several minutes to install the software.) As the installation proceeds, pop-up windows will prompt you to grant permissions to a series of questions. The questions presented will vary, based on your computer s operating system and service pack, firewall, etc. Please grant permission to all questions that may pop up. Note: You may need to temporarily disable pop-up blockers and/or other security features on your home computer. remote access manual v1.8.doc Version 1.8 Page 9 of 11
10 Ending Your Remote Access Session Once you ve completed your work and closed all your applications and/or Remote Desktop sessions, you are ready to end your Remote Access session. 11 Printing to Your Home Printer To print your work at home while connected to Remote Access, you will need to install a program on your home computer that enables Remote Access to recognize your home printer. 1. Go the URL: 2. Choose the most recent version of ScrewDrivers for RDP (for remote desktop users) ScrewDrivers Client... RDP Only MSI. (Note: The most recent version appears near the top of the page.) 3. You will be presented with a series of prompts to install the software. Please grant permission to all questions that may pop up. 4. Once the software is installed, you can print your Remote Access session work at home by choosing the printer titled: printer name (from YOURNAME).
