6 HOW TO REGISTER FOR TRAINING When You Implement Preceda If your organisation is currently implementing Preceda, your project consultant will create a Learning Plan for you, based on the specific project requirements within your Implementation Contract. Initially this Learning Plan will be prepared in a spread sheet; then the Learning details of this project may be added to our Learning software to produce confirmation s and a Learning history for each participant. Whilst we will endeavour to accommodate your specific date requirements, most implementation projects are inclusive of Scheduled Learning, which means that your team members (in Australia) should be available to attend sessions that are advertised on our web page talk to your project consultant if you are not sure about this. Once we have received your complete Learning Plan, in co-ordination with your Implementation Project Plan, we will send confirmations to each participant about a fortnight before each session. The cost of this Learning may be invoiced separately from your project costs, so please be aware of our Cancellation Policy, as detailed later in this document. All Scheduled sessions within Australia are delivered at a Preceda Education Facility, located in selected Australian cities. Prior to attending any Preceda training session, you should review the Course Overview to ensure this session will provide you with the information you require to work with Preceda more effectively. Some sessions also have Preparation Guidelines which outline any tasks to perform before attending Learning, as well as what to bring along if you do not follow these instructions, the benefit you derive from this Learning has the potential to be substantially lower. 7 New Preceda Users If you are working for an organisation that has already implemented Preceda, you can register yourself for any scheduled training sessions in Australia from The Education Schedule on our web page ( >Services > Education). If on-line registration is unavailable, discuss this with your Preceda administrator within your organisation. The Education Schedule is updated daily, and shows each scheduled session by course name, and location. The cost of each session is also displayed in Australian dollars. For training sessions outside Australia, contact your local Preceda Consultant or Account Manager. To register from our web site, you must first be a registered Preceda Client follow the prompts in The Client Area Entry window to be issued with a Client Username (your unique work address) and Password. It is the same Username and Password that will allow you to register on-line for any scheduled session just click on the adjacent link, and follow the prompts. Remember to register for the correct date and venue an instant confirmation of this registration will be ed to you, session confirmation will be ed a fortnight before the event, each participant will receive confirmation with venue and session details. Preceda training is available in a number of formats: Scheduled Training Sessions - Australia Conducted on a regular schedule, sessions are delivered at our Learning Facilities in Adelaide, Brisbane, Melbourne, and Sydney. All of our Learning Facilities offer modern rooms located close to public transport. Nearby parking is also available for a nominal fee. Each participant will have a dedicated PC with internet access and the correct PC security configuration to ensure that Preceda is accessible. 8 Customised Training Sessions Customised sessions are available for your team with no minimum class size, and up to a maximum of ten participants, we can offer an exclusive and specific session for your staff. Whilst the format of a customised session will follow our standard training model, we are also able to include any examples that will assist your staff to get the most out of the session. All sessions delivered outside the scheduled Training Schedule are regarded as customised. On-Site Preceda training is also available at your own premises, provided that you are able to supply the following environment: A private training room, with adequate access and ventilation An internet enabled PC for each participant Data Projector Projection screen, visible by all participants White board or flip chart Crystal Reports XI or later, is loaded and tested, if part of the session Sessions of more than four hours duration should include a facility for a lunch break PLEASE NOTE: It is not appropriate to deliver Preceda training whilst sitting at an employee s desk. Software Requirements Adobe Acrobat Reader 7 or above to view reports Windows 2000/XP or Windows 7 Microsoft Internet Explorer 8 or above Hardware Requirements Pentium, Celeron or AMD 800MHz minimum. Minimum 256MB of RAM for Windows 2000/XP - 512MB recommended. Screen resolution 1024x768 is recommended An Internet Connection Windows 95 is not a supported PC operating platform. Internet Connection Internet connection through a reputable Internet Service Provider (ISP) If multiple users will be using Preceda concurrently: An ISDN, Cable, ADSL or better connection. A dedicated connection is recommended so the connection is not affected by factors such as or internet downloads elsewhere in your office (one three users = 64k dedicated connection, three - ten users = 128k dedicated connection or greater. More than ten users = 256k dedicated connection or greater) We are able to offer a fixed price delivery fee for onsite training, depending on the number of attendees. Any set up time to install software or configure PCs (including Active X Settings) may be invoiced at an hourly rate. Outside the metropolitan area, all travel expenses; accommodation and meals are the responsibility of the client. Travel is either by air or at an agreed rate per kilometre. You will be asked to sign a Service Order Authorisation, outlining expected expenses, before any customised training is commenced. For more details about these options, contact your Account Manager. 9 Fees, Confirmations and Cancellations Session Fees: If your training is part of a Prepaid Implementation, the advertised value of your training will be taken from your account balance, when Confirmations are sent to the participants. Registrations outside an Implementation Project will be sent an invoice after the session. All sessions include comprehensive notes and hands on practical exercises. Check with your local Preceda Account Manager for our current rates for training. Cancellations: We understand that sometimes you cannot attend training sessions, at short notice, for various reasons. However you should notify us either by contacting your trainer during business hours by telephone ( ), or ing education.au@ngahr.com Cancellations will be accepted without payment up to 11 business days before the nominated session. A 10% penalty will apply if cancellation is made within six-ten working days; 50% penalty within 5 or less business days. Nonattendance without notification will be charged the full session price, and substitutions are accepted at any time. If your training forms part of a project, and other steps within your project are dependent on the Learning being completed by a due date, your project may be delayed as a result of canceling your attendance to Learning as rescheduled dates may be unavailable. When you register as a Preceda Client, please also provide a mobile contact number. In the unlikely event of the trainer cancelling the session on the day, we will then be able to contact you. Confirmation: All participants that are registered to attend our scheduled sessions will receive confirmation approx. ten days prior to the session. This will contain the venue and parking details. For customized sessions or training delivered at a client site, confirmations will not be automatically sent, unless requested by the person organizing the event. The confirmation is an automatically generated process, and we require individual addresses for each participant. Preceda Education Facilities in Australia NGA Human Resources has offices in many Australian capital cities, and any scheduled sessions will be delivered either from those offices or from a specialist IT Learning facility. Confirmation s sent to all registered participants will contain the specific location details for the individual training sessions. NGA Human Resources 2014 P a g e 9

10 HOW WE TRAIN PRECEDA USERS Our Learning Methodology is simple and as such very unique. Wherever possible, we train using your own database 1, this provides real live examples to create the rules and reports that you want to be able to use later. Learning databases are available for all sessions, and are used for: Preceda Introduction Preceda Payroll New User Preceda Pay in a Day Preceda Time New User Preceda Reporting Basics Preceda Workflows All other courses encourage participants to sign-into their live database, and work through a series of practical exercises, resulting in the Module being implemented during the class we can also ensure that your specific project Key Performance Indicators are achieved this way. Each session commences with a review of the material around a board table, where issues, concepts and objectives are discussed, and how the Preceda functionality can be implemented within your organisation to achieve these objectives. Each participant is assigned a PC with access to a database for specific practical exercises which will demonstrate the newly-learned functionality. This workshop approach is repeated for all new part of the functionality being learned. Remote Access for In-House Clients Visiting our Facility During some sessions, you may be required to perform certain tasks and practical exercises on your own database. If you are currently managing your own Preceda server (referred to as In-House), special consideration needs to be given prior to attending our offices. Where a situation exists that an In-House client visits a Preceda training facility and wishes to connect to their own network, we are unable provide dial up facilities or connection to an ISP to create a VPN connection. In- House Clients are advised to bring along a laptop with wireless connection to their home (business) network or ISP to create this VPN connection. 1 Most Preceda HR Learning sessions are delivered using your own database, wherever possible. 12 Preceda Payroll New User 003 Aim The Preceda Payroll New User session (incorporating Preceda Introduction on the morning of day one) introduces the features and operating functions of Preceda Payroll. Participants will become familiar with the many aspects of the Preceda Payroll Module, including maintaining employee records, time card entry, payroll processing and reports. Target Prerequisites Payroll employees Data entry personnel, responsible for time card entry Payroll processors Participants should have a payroll background and an understanding of their own organisation s specific payroll requirements. 14 Preceda Advanced Payroll User 021 Aim Preceda Advanced Payroll User is customised for each individual client. Advanced Payroll User training session includes advanced Preceda skills for super users, and is ideal for users who need to ramp up the performance of Preceda to enable them to take ownership of this software package. This session is also unique in that it will be tailored to all attendees, and will be delivered for only one organisation at a time. The session will be made up of a selection of Modules as listed below in the Course Content, and may also contain topics not mentioned below. To organise a Preceda Advanced Payroll training session for your company, contact your Account Manager. Audience Prerequisites Payroll employees Preceda Super Users Preceda Application Administrator Participants should have successfully completed Preceda Payroll New User Learning, including actively using Preceda for a minimum three months. An understanding of their own organisational functions would also be an advantage. Course Content Modules which can be included: 1. How to Establish Reference Tables 2. 15 Preceda General Ledger 011 Aim Preceda General Ledger training session will show participants how to maintain the interface configuration of your leave liability and payroll costing into your General Ledger. Participants will learn how to maintain General Ledger parameters and their relationship to your costing levels set by employee, establishing parameters for payroll tax, labour and leave on-costs. Audience Prerequisites Payroll users responsible for the General Ledger Finance personnel responsible for processing payroll data into the General Ledger An understanding of company Payroll and General Ledger costing structures is essential, additionally payroll users should have successfully completed Preceda Payroll New User training. 16 Preceda Remuneration 005 Aim Preceda Remuneration training session reviews all features within the Preceda Remuneration Module, and provides participants hands on experience with functions interacting with the Payroll Module. Using your own data, you will establish the rules, and work through a series of examples designed to demonstrate the functionality, including exporting data for salary reviews. For On Demand Clients, examples may use the live database. Audience Prerequisites Payroll administrators Preceda users responsible for establishing and maintaining Salary Packages Preceda users responsible for maintaining vehicle records and vehicle expenses Participants should have completed the Preceda Introduction training (half day included in Preceda Payroll New User) and have an understanding of their organisational salary and benefits policy. Course Content 1. Remuneration Overview 2. Establish a Salary Package 3. Vehicles Within Salary Packages 4. Salary Reviews 5. 17 Preparation for Remuneration Learning All participants of this session should have successfully completed the half-day Preceda Introduction session, prior to attending. Participants must also have a valid Log In and Password to enable them to access the Remuneration Module within Preceda. During this workshop, participants will establish your Remuneration rules within Preceda, and build several Salary Packages for existing employees. To facilitate a successful outcome, please bring along the following information: 1. Details about Vehicle Lease Types within your existing Salary Packages 2. Details about your actual Vehicle Running Components that you want to record against each vehicle 3. Details of any Finance Companies that your employees use for vehicle finance, including address and phone number 4. Bring along Company Vehicle details for any vehicles that will make up a salary package 5. Salary Review details for some of your employees, including the name of the person who will conduct the review 6. Details of any Allowance and Deduction Codes that are either already in use within your payroll, or will need to be established within your payroll, to become part of a Salary Package Within this workshop, we will review, but not change, Allowance and Deduction Codes on your live database, as well as establish rules to enable the Remuneration Module. For On-Demand Clients: Where your data is stored on our server we will be working on your live database. Where your data is stored on your own server, live data can only be accessed on your own premises and will require onsite training. If you are an On-Demand Client and this workshop is being conducted at a NorthgateArinso facility, we will access a test database, and your trainer will provide examples. 18 Preceda Year-End 124 Aim Preceda Year-End Learning workshops (scheduled classroom style) and seminars (either at a seminar venue or via webinar) will be scheduled for delivery towards the end of each financial year in the respective countries. These sessions cater for all levels of Preceda payroll users, and aim to provide information to enable a smooth year end process, and the production of any local legislative requirements. Audience Prerequisites Payroll administrators Preceda users responsible Year-End processing Participants should have completed Preceda Payroll New User prior to attending this hands-on session. Course Content 1. Pre Year-End Checks 2. Review Reference Tables 3. Review Employee Records 4. Test Year-End Balancing 5. Before Processing Year-End 6. Processing Year-End 7. This session will not include Hiring or Terminating employees see Preceda Payroll New User for this material. Audience Prerequisites New Preceda Payroll Users within existing client sites. Preceda Users who are responsible for processing payroll. Participants should have successfully completed Preceda Introduction prior to attending this session Course Content 1. Preceda Overview 2. 20 PRODUCING YOUR OWN REPORTS The Reporting Pathway Preceda Introduction Half day Preceda System Security One day Preceda Reporting Basics Half day Introduction to Crystal Reports One day Preceda Automated Reports Half day Intermediate Crystal Reports One day Interactive Reporting Suite (IRS) Half day The Reporting Learning Pathway displays course pre-requisites to enable attendees to gain the best knowledge transfer in a logical order. Users who require reports in either Microsoft Excel, Adobe Portable Document Format. Or Microsoft Word should attend Preceda Reporting Basics. Reports can be scheduled for distribution as ed reports, and this functionality is established and reviewed in the Preceda Report Automation session. Crystal Reports allows you to manipulate and present data that is displayed in a user-friendly manner. This third party product is trained over three separate levels, each on a separate day. Introduction to Crystal Reports from Preceda will show user how to develop basic Crystal reports, and process the advanced suite of Preceda reports. Intermediate Crystal Reports from Preceda will train formulas, and other data manipulations. If you want to automate Crystal Reports via Report Manager, or enable Crystal On-Demand, you should also attend Preceda Interactive Reporting Learning. P a g e 20 NGA Human Resources 2014

21 Preceda Reporting Basics 012 Aim Preceda Reporting Basics session will cover the key functions to extract and format your Preceda data into Microsoft Excel, Adobe Portable Document Format (pdf), or Crystal Reports. Basic reports will be created to display Preceda data in a meaningful manner. Please Note - No instruction will be given for developing Crystal Reports during this session Audience Prerequisites All Preceda users Business analysts Participants should have successfully completion of the Preceda Introduction session. Participants must also have a working knowledge of their organisation s reporting requirements. Please bring along your company logo in jpeg format (small and large format) if you would like to attach it to an Extracted report. For users who require automatically distribute reports via Report Manager, we suggest attendance of Preceda Report Manager in conjunction with this session. Course Content 1. Basic Extractor 2. Extracting to Adobe Portable Document Format 3. Extractor into Microsoft Word 4. Extractor into Microsoft Excel 5. 23 Preceda Interactive Reporting 014 Aim Interactive Reporting Suite (IRS) allows Preceda users to automatically schedule Crystal Reports to be ed in an Excel or pdf format. This customised training session will cover the key elements in establishing the rules for the Interactive Reporting Suite. For On-Demand Clients, examples may use the live database. Audience Prerequisites Payroll Administrators Business Analysts Preceda Reporting Administrator The organisation must be licensed for the Preceda Interactive Reporting Suite, and participants should have successfully completed Preceda Introduction, Preceda Reporting Basics, and Preceda Report Automation training prior to attending this session. An understanding of Crystal Reporting is advantageous. If various people in your organisation hold these competencies, they may all attend. Course Content 1. Pre-Requisites for Interactive Reporting Suite 2. Overview of Interactive Reporting Suite 3. Converting an Existing Extractor-Generated Crystal Report to the Interactive Reporting Suite 4. Preceda Organisation Structures is a Learning workshop that allows the organisation structure to be developed within Preceda, as well as the position hierarchy both of which are the cornerstone for Preceda Security and workflows generated from Employee Self Service. Preceda Self Service is a tool for employees to access and maintain or view aspects of their own information. Once established by your NorthgateArinso consultant, this workshop will demonstrate the ease of maintenance. Preceda System Security if properly established can ensure that Preceda users will only have access to specific employee records, based on the established Organisation Structure, and will only display the selected results. This Module influences data visibility throughout Preceda. Preceda Workflows enable the automatic notification via of a process underway in Preceda, such as a Termination Request, to whoever is required to know about this request. This Module is implemented to enable users to create an up to date organisation chart within their business, as well as provide the appropriate security links for use within the Employee Self Service Module. The Organisation Structures Module is also pivotal in establishing security for a wide range of users, as security access can be based on Organisation Units. In addition Participants will also learn how to export the data from Preceda into Microsoft Visio a third party product that will enable users to create their own organisation charts with up to date data. Depending on how this Module is implemented, it may affect the following functions within Preceda: The ability to group employees by organisation units for headcount and EFT reporting The ability to leave applications to the appropriate reporting manager for each employee, from Self Service The ability to process compa-ratio calculations The ability to compare salary surveys based on salary grades within Position Definitions Preceda Organisational Structures training is designed to establish your rules within Preceda, build your Organisation Chart and Position Hierarchy, and add your existing employees to them.
