1 Streamwood Park District Goal A: Streamwood Park District employees promote a culture based on SPD CARES Core Values and ideals. January 2012 Core Values regularly reviewed at staff meetings in all departments: Business, Parks and Recreation (on- going) Business Department created department core values. At monthly department meetings, discuss impacts of SPD CARES and training/role play. (on- going) Generally, 2 team building events offered for all staff each year. St. Patrick's event and fall event held in Next one scheduled for February 23, (on- going) SPD CARES Committee offered employee social events and activities throughout the year including Halloween costume contest and staff lunch, Football Fridays, Secret Santa, Family Employee Appreciation Night, etc. (on- going) Other activities organized for employees including Golf Outing, BBQ lunch, Christmas Lunch, lunch time sports activities, SPD CARES Holiday Tree, etc. (on- going) SPD CARES Multiple Choice quiz offered for all staff as a review. All entries were entered into a raffle for a prize. (December 2011) Staff Survey recently sent to gather information on impact of SPD CARES on all departments. This information to be used to create training tools for staff at all levels. (January 2012) Staff Trainings on new and updated procedures and policies including Purchasing Policy, New Hire Orientations, New Hire Packets, Applitrak Webinar, etc. (on- going)
2 Streamwood Park District Goal B: Empower employees to deliver responsive customer service through reliable and efficient internal January 2012 communication. Increased use of Outlook and Intranet utilized to assist with scheduling at facilities and communication with Parks Department. (on- going) Survey used following FT Christmas Party to receive anonymous feedback. (December 2011) Information received on customer/participant evaluations utilized by all departments for improvements and changes. (on- going) Increased coaching of staff at part- time levels. Regular coaching with all full- time staff. (on- going) Performance Review process evaluated each year for changes and improvements. Performance Review training prior to start of 2012 reviews scheduled for February 2, (on- going) Cross training is conducted regularly in Parks Department especially during the peak season with seasonal staff. For example, all staff are trained on safe, proper and efficient use of all equipment and machinery currently in inventory. (on- going) All Departments (Business, Parks and Recreation) hold regular staff meetings weekly, bi- monthly and monthly in large and small groups. (on- going) Increased use of , text and electronic opportunities for efficient communication to staff. (on- going) Cross training increased in Recreation Department to assist when substitutes needed for service area positions and program instructors. (on- going)

Completion of Capital Improvement Plan through Equipment (all departments), Vehicle and Playground Replacement Plan in place through Capital Improvement Plan. (on- going) Revised Purchasing Policy approved and staff trained. Better utilization of internet for multiple quotes. Continue evaluation of regular vendors for cost comparisons. (on- going) Streamwood Park District Master Plan completed and approved (September 2011). Participant Evaluation workshop with Recreation Staff (June 2011). Implementation of improved participant evaluation forms, process and reporting. Schedule defined for program and seasonal report deadlines. Regular revisions to programs development of new programs based on feedback. (on- going) Application for soccer grants not received. Receipt of grant funds for Museum and Playgrounds. (2011) Received donations from Dick's Sporting Goods for youth sports leagues and programs. (2011) Continued relationship with Comcast for sponsorship and promotion of programs and events. (on- going) Development and implementation of multiple financial reports in all departments (business, parks and recreation) to better track finances and make operating decisions. (on- going) Continued evaluation of outdoor field usage and maintenance costs over three year period. (on- going) Continued review and comparison of facility rental fees with neighboring districts. (on- going) Quarterly IMRF reports created and distributed to better track staff hours. Monthly review of health insurance and IMRF costs. (on- going) Continued utilization of resources from colleagues at neighboring Park Districts, IPRA and other professional organization contacts and networking, PDRMA, etc. Touring of other recreation facilities including Wheeling, Hoffman Estates, West Chicago, Elk Grove, and Itasca for comparative analysis. (on- going) Utilization of salary surveys. (on- going) Monitoring and reporting of website and social network statistics by Marketing staff. Continued increase in smaller projects expensed through operating budget thus reserving Capital Funds for major projects. (on- going) Banner sales in January 2012 at Park Place. Maximizing sales at Hoosier Grove Barn - currently at 90% capacity on weekends. Expanded recruitment opportunities for advertisement of open positions and seeking of prospective employees. (on- going) Increased personal training staff and group fitness instructors to increase service and programming opportunities. (on- going)
4 February 2012 Goal D: Standardize programs, processes and procedures within the District. Development of preventative maintenance program for indoor pools and splash pad. (on- going) Implementation of Parks Seasonal Staff training day for consistent and efficient disbursement of information. (on- going) Development and implementation of Parks Department customer service log. (on- going) Development and implementation of Parks Department winter project list. (on- going) Development of Program Manuals for every general program area. Manuals include program structure, vendor information, market analysis, promotional information, seasonal evaluations, budget tracking, etc. Information updated seasonally and annually. (on- going) Development of Museum Operations Manual. Updated Community Center Operations Manual. Updated Park Place Emergency Facility Streamwood Park District Medical Plan. Developed Swim Lesson Training Manual. Updated Indoor Pool Facility Rules. (on- going) Continued improvement and training of performance review process with all staff. (on- going) Coaching of staff implemented at all levels of full- time staff and IMRF staff. (on- going) Improved payroll process implemented and back- up staff trained. (on- going) Hoosier Grove Barn processes and procedures documented including customer service standards, inventory control, custodial checklists and standards, reservation procedures, etc. Business Plan in progress. (on- going) Weekly reports created and distributed every week for improved communications. (on- going) Continued presentations by Managers at Board Meetings. (on- going)
5 February 2012 Goal E: Build a clear external communication plan that informs customers about SPD services. Applitrack software in place for all hiring needs. Applications are submitted on- line for specific positions listed. Software is also used for the interview process. (On- going) AEK software used to create and develop financial reports. (On- going) Monitor Facebook and Website and track hits on both. (On- going) Currently looking for ways to increase search engine optimization. (in progress) Tracking of all "How did you hear about us?" responses on all types of participant surveys. (on- going) Customer Service training for Hoosier Grove Barn staff and other facilities. (on- going) Survey system implemented to track rental experience at Hoosier Grove Barn. (Revisions currently underway) Regular revisions to development current programs and new programs based on feedback from participant evaluations. (on- going) Streamwood Park District All full- time staff in all departments participate in regular coaching sessions with their supervisor. All part- time IMRF employees participate in regular coaching session with their supervisor. Full- time Managers coach at least one part- time employee. (on- going) HR Department oversees the onboarding process for all new hires. Training includes review of policies, procedures, safety, etc. (on- going) Parks Department Customer Service Log implemented. All park related calls received are logged, investigated, and remedied. Follow up logged after resolution of issue. (on- going) Training in all departments through internal and external workshops and seminars. (on- going) Master Plan completed and approved (September 2011).
6 Streamwood Park District Goal F: The Streamwood Park District is an integral and valued partner in serving our community with local groups and February 2012 agencies. Park Pride program and event developed through Parks Department to get residents involved in their neighborhood parks on an annual basis. This program involves a part clean- up, planting of annual flowers, mulching plant beds, and specialized projects for various sites. (first year April 2011) Park Dedication ceremonies at newly developed parks. (April 2011) Parks and Recreation Departments conduct regular meeting with Affiliate organizations and/or visit Affiliate Board meetings to address issues and questions regarding operation and facility uses. Reduced rental rates utilized when appropriate to help accommodate not- for- profit organizations and community organizations for use Hoosier Grove Barn and other facilities. (on- going) Staff involved in conferences, committees, round tables, and broadcast questions within professional organizations such and IPRA and IAPD as well as specialized professional organizations such as Society for Human Resource Management (SHRM) and Club Industry. (on- going) Staff members of Village of Streamwood Commissions. Kurt Reckamp - Community and Economic Development Commission. Debbie Karner - Community Relations Commission. Staff attend and host Streamwood Chamber of Commerce activities. Intergovernmental agreements with three Park Districts for use of outdoor aquatic facilities (Hanover Park Park District, Hoffman Estates Park District, Roselle Park District.) Intergovernmental agreement with Bartlett Park District shared use of fitness facility and indoor aquatic facility during annual maintenance and emergency closings. Intergovernmental agreement with School District U- 46 for shared use of outdoor ball field and soccer field space. Affiliate agreements in place with Streamwood Little League and Streamwood Falcon Football Youth League. Member of Intervillage Youth Soccer League. Member of multiple- organization groups for Girls Softball League and Girls Basketball League. Production of Streamwood Summer Celebration with Village of Streamwood and Streamwood Chamber of Commerce. Coordination of fitness programs and events with Hanover Township Senior Center held both at their facility and Park District facilities. Regular rental of facility to St. Johns School for PE classes and a church at Hoosier Grove Barn. Agreement with Sherman Hospital for rehab services within Park Place. Intergovernmental agreement with Hoffman Estates Park District and City of Elgin for the development and operation of a new Dog Park. (February 2012) Shared parking cooperation with churches near Park District facilities. (Grace Lutheran Church/Community Center and St. Johns Church/Park Place) Co- sponsoring of events with organizations. (Kiwanis/Fishing Derby and Streamwood Women's Club/Easter Egg Hunt) Intergovernmental agreement with Poplar Creek Library for shared parking use with Rahlfs Wood Park. Coordination with Streamwood Historical Society for exhibits and programs within Hoosier Grove Museum. Corporate relationships (Comcast and Pepsi) for event sponsorship and additional revenue opportunities. Coordination with neighboring Park Districts for cooperative programming. (Bartlett Park District/Bartlett Nature Center, Hanover Park Park District/Tennis, Illinois Shotokan Karate/BPD and HPPD, etc.) Regular donations to community organizations, schools, churches, etc. for silent auction items for fundraising events.
