The Metro Edmonton High School Athletic Association (MEHSAA) has 51 member high schools from the Edmonton and Metro Edmonton area. Inter-school leagues offered by the Metro Association include Football, Golf, Soccer, Volleyball, Swimming, Basketball, Wrestling, Curling, Indoor Soccer, Badminton, Cheerleading, Team Handball, Rugby, Cross Country Running, and Track and Field. The Association serves its member schools including principals, athletic directors, over 1000 coaches and over 10,000 student athletes. Job Summary: The Manager is responsible for the administration and coordination of all extra-curricular high school athletic competitions involving member schools of the Association which includes 15 sports for 51 regional high schools. The job also contributes to the delivery of the program s vision by developing, implementing, coordinating and monitoring administrative activities with district and external stakeholders. This is a permanent, 12 month, Out of Scope, Level 6, full-time position with a salary range of $72, $90, to commence August 19, Primary Duties and Responsibilities include: Responsible for Metro operations and administration and coordination of all extracurricular activities for the Association including, but not limited to, scheduling of athletic events, booking venues, securing officials for respective competitions and coordinating Metro Championships and Provincial Championships as required; Develop and maintain relationships with key stakeholders including principals, teachers, coaches, athletic directors, parents, Sport Associations, Sport Officials Associations and community parks and recreation department representatives; Collect, maintain, update and analyze data related to event results and league standings; Receive event entries, confirm registrations and oversee the information for the Edmonton Zone of the Alberta Schools Athletic Association; Assist with the identification of effective operating practices, communication protocols for all stakeholders, tracking and following up with contacts, and preparing required reports; Monitor budget, review invoices and track expenditures; Maintain the integrity of the Association and ensure leagues are governed with the Constitution to provide fair play and equal opportunity for all students; Monitor and supervise Facilitator, High School Athletics. Qualifications: Degree or diploma in an area related to sports administration, recreation or related areas, plus 5 years of directly related experience including decision making and working within strict deadlines is required; Knowledge of sports scheduling and school related sports; project management principles; presentation and instructional techniques; Metro operations, objectives and business plans; Knowledge of basic accounting principles and financial policies and procedures; General knowledge of the educational system, community recreation services and a range of sports facilities; Strong needs assessment, consultation, problem solving and analytical skills; Excellent collaboration, consensus building, conflict resolution and facilitation skills and the ability to establish and maintain partnerships; Strong written and oral communication, presentation skills and the ability to present information to a varied audience; Knowledge of Microsoft programs including Word, Excel, Outlook and databases; Coaching in the amateur sport system. The job is responsible for daily management of all aspects of the High School Interschool Athletics within the Metro Edmonton Area (14 School Districts 51 schools) The Association offers inter-school leagues in 14 different sports for both male and female athletes. The Association serves its 51 member schools, including Principals, Athletic Directors, over 1000 coaches, 750 teams and 10,000 students. Incumbent performs all duties as required of a Manager in ensuring the successful operations of the Association. The job is responsible for ensuring fair play and equal opportunity and maintaining the integrity of the Association and the Association Constitution. JOB RESPONSIBILITIES AND ACTIVITIES: Normally a job has four to eight core responsibilities, each of which shows what the job is accountable for, within what framework, and what the added value is. For each responsibility, approximately four major activities should be described. List the core responsibilities in ascending order of importance. 1. Responsible for Metro operations including administration and coordination of all extra-curricular activities of the Association including preseason coaches meetings, scheduling athletic events, booking venues, securing officials and coordination of Metro Championships and Provincial Championships as required. 2. Develop and maintain relationships with key stakeholders including Principals, Athletic Directors teachers, coaches, parents, Sport Associations, Sport Officials Associations and Community Parks and Recreation Department representatives. Is the liaison between the Metro Association and all parties involved with high school interschool athletics. 3. Collect, maintain, update and analyse data related to event results and league standings and maintain a current and informative website for the Association. To maintain a readily accessible data base for effective administration and decision making as may be required by participating School Districts. 4. Confirm eligibility of athletes, receive event entries, and oversee the information for the Edmonton Zone of the Alberta Schools Athletic Association. Is the Edmonton Zone Secretary and represents the Zone at the Alberta Schools Athletic Association Membership Meetings as a voting delegate. Hosts Provincial Championships as required by the ASAA. 5. Oversees the keeping of a record of all members and oversees collection and receipt of annual membership fees. Maintains all minutes of annual general meetings of the association and all documents pertinent to the operations of the Association. 6. Maintain the integrity of the Association when dealing with problems, concerns, protests or appeals arising from high school athletics. Consult, develop and implement policies for the Association. The Manager is a non-voting ex-officio of the Executive Committee. Submitted March,

Participate in strategic planning, providing a leadership role with stakeholders in the development of best practices, standards and systems supports. 8. Schools representative on the field user committee and aquatics user committee which includes attending monthly meetings, representing the schools best interests in booking of facilities and booking of necessary facilities for competitions. 9. Manages and maintains an effective system of financial control systems. Maintains the budgets of the Association and ensures accurate accounting and financial records of the Association including maintaining bank accounts, bank statement reconciliation, financial statements, invoicing and collection and payment of all fees. PROBLEM SOLVING: Describe difficult or challenging situations the position is typically expected to solve; the degree of originality of the solutions; assistance available; and any problems or decisions that must be referred to a supervisor for resolution or approval A school has played an ineligible player on their team for the entire season and it comes to light just before playoffs. A school practices out of the seasons of play and another member school reports them. An official ejects a coach or player and writes up the coach or player for unsportsmanlike conduct. Two schools complain of unsportsmanlike conduct by the other school during a game. ORGANIZATIONAL DATA: Identify any measurable areas upon which the job has either direct or indirect impact. Measures that may be included are: number of staff supervised, annual operating budget, number and size of projects, clients served or any other significant values. Include examples that indicate the size of the job. Attach a complete Organization Chart that includes supervisor, peers, direct reports and staff. The Metro Athletic Association has 51 member schools from the Edmonton and Metro Edmonton area. 15 Interschool leagues are offered by the Association and the Association is responsible to its 51 member schools, over 1000 coaches and 10,000 students. The Association has an annual operating budget for which the Manager is responsible for. The incumbent supervises one staff member classified as Facilitator. The incumbent is responsible for monitoring and supervising the Facilitator and providing guidance, work experience and knowledge in the operations of the Association. The job has significant impact on 14 school districts as the incumbent ensures all member schools are in compliance with the Association Constitution. The incumbent ensures that the governing principles of the Association are maintained including ensuring interschool athletics supports the goals of schooling as identified by Alberta Education and that they be consistent with the philosophy of the School Districts and with the overall program of the individual schools. The incumbent ensures all leagues are governed within the Constitution to ensure fair play and equal opportunity for all students.
