1 Counseling SARS Software and Annual Licensing Summary: The SARS software licensing (SARS-GRID, SARS-CONNECT, SARS-MSGS) and new software (SARS-TRAK), includes tech support and software upgrades that support the annual SARS software product package for the college. Description The costs of the SARS software and licenses, which includes tech support and software upgrades recurs annually and serves all Lane students, staff, and community, not just students who access Career and Employment Services. During your review of the Student Technology Fee allocations this year, please consider this software expense as becoming part of the on-going software cost to be deducted off the top of Student Technology Fee allocations in the future. The SARS software package consists of GRID, CONNECT, MSGS, and TRAK. GRID is the most commonly used by Lane departments and divisions. Each SARS package is used as follows: GRID (staff scheduling and student drop-in and appointments): Counseling, Academic Advising, Recovery Center, Career and Employment services, Testing, Florence Center, Cottage Grove Center, ABSE/ESL, TRiO STEM, TRiO Learning Center, Credential Acceleration and Support for Employment (CASE), Veterans Services, Enrollment and Student Financial Services, International Program, and High School Connections. GRID ( e-sars online appointments and scheduling for students): New Student Academic Advising Sessions, Keys 2 Success Academic Progress Standards intervention, Academic Advising Nursing Workshops, Guided Studies Orientations, Scholarship Workshops, Placement testing, HOBET (Dental Hygiene) testing. CONNECT: All Lane SARS users benefit from this software. It improves and automates Banner data transfer efficiently into all SARS products, providing more accurate student information for Lane staff to use in serving their students. MSGS: All Lane SARS users creating rosters of students will benefit from this software. Presently that includes New Student Academic Advising Sessions, Keys 2 Success Academic Progress Standards intervention, Academic Advising Nursing Workshops, Guided Studies Orientations, Scholarship Workshops, Placement testing, HOBET (Dental Hygiene) testing. In the near future there are plans for Enrollment and Student Financial Services (general admissions appointments), and High School Connections (Career Days) to use this product as well. This software allows for timely, targeted s to be sent from the SARS rosters, through the use of autoreplies once appointments are made, appointment reminders, changes in appointments, etc.
2 TRAK: All Lane SARS users will have access to this software being considered if funds are allocated by this initiative. As of now, departments planning to use it are Veterans Services, and Enrollment and Student Financial Services. Departments likely to use it are Counseling, and Advising. This product allows students to sign-in for drop-in, putting them on a waitlist through self-service, meaning without the assistance of a staff member present to check them in. This initiative is a new initiative. SARS is a diverse student and staff scheduling, service and record maintenance software allowing the ability for staff to track students wherever they enter the student services system, in particular, the Student Affairs areas. It is a feasible and improves efficient use of college resources. Describe the resources needed: Licensing (LIC) includes electronic access fees such as online databases used in the library, does not include renewing software licenses. From Tech fee: Total cost is $6,300, but this initiative requests the $5,300 balance after $1,000 is deducted from Information and Academic Technology (IT) support for the annual licensing, which includes tech support and software upgrades. SARS-GRID: $3,000 annual licensing, which includes tech support and software upgrades. SARS-CONNECT: $1,000 annual licensing, which includes tech support and software upgrades. SARS-MSGS: $800 annual licensing, which includes tech support and software upgrades. SARS-TRAK: $1,500, new software, annual licensing, which includes tech support and software upgrades.
3 What specific measurable program outcomes do you expect to achieve with this initiative? The outcomes should be specific enough to be measurable. Also, outline the method that will be used to determine the results. Continued records of use through the reports function are available. Department Priority: 8 Unit Resources: $1,000 has been committed towards support of this cost from Information and Academic Technology (IT). So the total cost of $6,300 allows for a request through the Student Technology Fee of $5,300. Vicki Doughty administers the software campus-wide, with administrative support from each department that accepts the responsibility to implement the software in their respective departments/divisions. Students will experience improved students services through improved technological efficiency. SARS products will help students experience this improvement when accessing scheduling, drop-in, and appointment services from Counseling, Academic Advising, Recovery Center, Career and Employment services, Testing, Florence Center, Cottage Grove Center, ABSE/ESL, TRiO STEM, TRiO Learning Center, Credential Acceleration and Support for Employment (CASE), Veterans Services, Enrollment and Student Financial Services, International Program, and High School Connections. Also, when they participate in services provided in New Student Academic Advising Sessions, Keys 2 Success Academic Progress Standards intervention, Academic Advising Nursing Workshops, Guided Studies Orientations, Scholarship Workshops, Placement testing, HOBET (Dental Hygiene) testing, they will receive the benefits of electronic online appointments, reminder s, and scheduling. Staff working directly with students will benefit from having an organized schedule of student appointments, and benefit from more accurate student information to use in serving their students.
