1 MINUTES OF THE REGULAR MEETING OF THE BOARD OF SCHOOL TRUSTEES OF THE AVON COMMUNITY SCHOOL CORPORATION Held on October 7, 2013 The regular meeting of the Board of School Trustees of the Avon Community School Corporation was called to order by the Board President at 7:04 p.m. in the Administration Center Board Room. Three Board members were present: Mr. Mark Buckley, Mrs. Pam DeWeese, and Mrs. Anne Engelhardt. Two Board members were unable to attend: Mr. Gary Brinkman was out of town on business and Mrs. Kim Woodward was representing the corporation at the Indiana School Boards Association Fall Region Meeting. Dr. Margaret Hoernemann, Superintendent of Schools; Dr. John Atha, Assistant Superintendent; Dr. Maryanne McMahon, Assistant Superintendent; Mr. Brock Bowsher, Director of Finance and Operations; and Dr. Michael Whitman, Human Resources Administrator; were also present. The meeting began with the pledge of allegiance to the American Flag. There were 20 persons in attendance. CELEBRATING ORIOLES Dr. Hoernemann introduced Mrs. Tina Morgan, Avon High School Family and Consumer Science Teacher, who was selected as one of 17 FCCLA Advisers to receive the Adviser Mentor award at the National Conference for her work with new and veteran advisers. She then congratulated Mrs. Morgan and thanked her for setting a very high standard for all of us. Mrs. Morgan stated it was her pleasure to work for Avon. Dr. Hoernemann introduced Tyler Nickol, student at Avon Intermediate School West, and Sydney Stiener, student at Avon Middle School South, for being selected as Junior PGA All- Stars, among only 10 Indiana golfers (five from Hendricks County). This team, coached by Mr. Ben Weaver and Mr. Jared Alexander, was the only unbeaten squad in the Chicago regional qualifier and went on to play (among only six teams) in the Junior PGA All-Stars National Tournament. This event, which began only three years ago, is the PGA s answer to the Little League World Series. This is the first time that Prestwick Country Club has sponsored a team. She was delighted that Mr. Weaver, Prestwick owner/pga Professional, was able to attend the meeting and thanked him for sponsoring the team. She is very proud of these student athletes. MINUTES AND CLAIMS/PAYROLL The minutes of the Regular Meeting on September 9, 2013 were approved as submitted.
2 Lists of claims and payroll were presented by the Superintendent, and a motion was made by Mr. Buckley, seconded by Mrs. Engelhardt, to allow claims #2967 through #3409; payrolls for September 6 and 20, 2013; and ECA check registers from all schools for September 1-30, The motion carried, 3-0, and the claims and payroll lists were certified by all Board members present. COMMENTS FROM THE BOARD PRESIDENT Mrs. Engelhardt welcomed everyone to the meeting. She stated there were a few IUPUI students in attendance and wished them the best in the future. She thanked Mrs. Gray, Mrs. Davis, Mrs. Berry-Tayman, and Mr. Webb for their attendance. PERSONNEL approve the Personnel Report as presented. The motion carried, 3-0. UNFINISHED BUSINESS Mr. Buckley made a motion, seconded by Mrs. DeWeese, that the Board of School Trustees approve Capital Equipment Transaction Form pages 1-11 as presented. The motion carried, 3-0. Dr. Atha reported on student enrollment for the district. As of October 4, 2013 enrollment numbers totaled 8,938 students. ADM for the current school year was confirmed and reported at 8,546 which is up 99.5 students from last year. NEW BUSINESS Mr. Buckley made a motion, seconded by Mrs. Engelhardt, that the Board of School Trustees approve the Avon High School Athletic Department, Avon Middle School North, and Avon Middle School South equipment purchases as presented. The motion carried, 3-0. Mrs. Engelhardt made a motion, seconded by Mr. Buckley, that the Board of School Trustees approve the contract with Sycamore Services, Inc. as an independent contractor for hearing screening services with Avon Community School Corporation effective August 1, 2013 to June 15, The motion carried, 3-0. Mrs. Engelhardt made a motion, seconded by Mrs. DeWeese, that Mr. Buckley be appointed as Board Secretary for the evening. The motion carried, 3-0. approve the contract addendum with Autumn Wyndham as an independent contractor for diagnostic services with Avon Community School Corporation effective August 1, 2013 to September 13, The motion carried,
3 approve the revised job description for Network Application Team Leader-District Technician Levels 4, 5 and 6 as presented. The motion carried, 3-0. approve the revised job description for Network Services Team Leader-District Technician Levels 4, 5 and 6 as presented. The motion carried, 3-0. approve the revised job description for District Technician-Levels 1, 2 and 3 as presented. The motion carried, 3-0. approve the revised job description for Computer Technician as presented. The motion carried, 3-0. approve the revised job description for School Bus Technician as presented. The motion carried, 3-0. approve the revised job description for Bus Driver as presented. The motion carried, 3-0. 4 Mrs. Engelhardt made a motion, seconded by Mr. Buckley, that the Board of School Trustees approve the Fall Program/Camp as presented. The motion carried, 3-0. Mr. Buckley made a motion, seconded by Mrs. DeWeese, that the overnight field trip request by the Avon High School Distributive Education Clubs of America (DECA) to the Central Region Leadership Conference in Milwaukee, Wisconsin on December 6-8, 2013 be approved. The motion carried, 3-0. Mr. Buckley made a motion, seconded by Mrs. DeWeese, that the overnight field trip request by the Avon High School Sax Ensemble to the Indiana Music Education Association State Conference in Fort Wayne, Indiana on January 24-25, 2014 be approved. The motion carried, 3-0. Mr. Buckley made a motion, seconded by Mrs. DeWeese, that the overnight field trip request by the Pine Tree Elementary Third Grade Classes to the Indianapolis Zoo on April 17-18, 2014 be approved. The motion carried, 3-0. Mrs. DeWeese made a motion, seconded by Mrs. Engelhardt, that the Board of School Trustees grant the named Avon High School students as presented a waiver of Board Policy 5464 requiring seven semesters of attendance at Avon High School for graduation and the students be granted permission to participate in commencement ceremonies. The motion carried, 3-0. Mr. Buckley made a motion, seconded by Mrs. Engelhardt, that the Board of School Trustees grant the named Avon High School students a waiver of Board Policy 5464 requiring seven semesters of attendance at Avon High School for graduation and the students be excluded from participation in commencement ceremonies. The motion carried, 3-0. approve the registration of the Avon Parent Partnership Committee for the school year. The motion carried, 3-0. approve the registration of the Avon Marching Black & Gold Band Booster Organization for the school year. The motion carried, 3-0. approve the registration of the Avon Splash Club for the school year. The motion carried, 3-0. approve the registration of the Avon Boys Soccer Boosters for the school year. The motion carried, 3-0. approve the registration of the Avon Intermediate School East Principal s Advisory Team for the school year. The motion carried,

The motion carried, 3-0. approve the registration of the Hickory Elementary School PTO for the school year. The motion carried, 3-0. approve the registration of the River Birch Elementary School PTO for the school year. The motion carried, 3-0. approve the registration of the Sycamore Elementary School PTO for the school year. The motion carried, 3-0. Mr. Buckley made a motion, seconded by Mrs. DeWeese, that the Board of School Trustees approve the Donation Report as presented. The motion carried, 3-0. BOARD MEMBER ITEMS Mrs. DeWeese stated it was lovely to have Mrs. Morgan as well as Tyler and Sydney in attendance to be recognized. It is nice to recognize students not only for their accomplishments in the classroom, but for being role models for our community. She appreciates their dedication and the support of their parents. She welcomed the IUPUI students who were in attendance to complete their course requirements and offered to answer any questions they may have. Mr. Buckley offered congratulations to Sydney and Tyler for their accomplishments. He congratulated the fall sports teams at Avon High School for doing well. He congratulated the boys soccer team which is ranked second in the state and in the country and congratulated the girls soccer team for their success. He wished everyone a great fall break. Mrs. Engelhardt thanked all those who provided donations to the district. She expressed her appreciation for Mrs. Morgan who has been very involved in the schools for a long time. She thanked and expressed her appreciation for the young golfers. She thanked everyone for a great Board meeting and for their work put into the Board packet. She reminded everyone of the working session on October 28 th at 5:30 p.m. and the School/Town/Township/Library joint meeting on November 4 th beginning at 6:30 p.m. Dr. Hoernemann stated the Board always enjoyed the opportunity to visit the schools and hold meetings in the schools, but it can be difficult to schedule with outside jobs. At various upcoming working sessions throughout the year, principals will be in attendance to present information about their schools. On October 28 th at 5:30 p.m. there will be three presentations of 20 minutes each from the principals of Avon Middle School North, Avon Intermediate School West, and Pine Tree Elementary. The Board will hear a similar presentation from each principal 5
6 with time to ask questions. On November 4 th the district will have an opportunity to present information about the operations of the school district. The Chamber of Commerce Board will also be invited to attend. A draft of the presentation will be provided to the Board members for review. Dr. Atha had no comments. Dr. McMahon had no comments. Dr. Whitman had no comments. Mr. Bowsher had no comments. There being no further business, the meeting adjourned at 7:40 p.m. Board President Board Secretary 6
