Replacing a MealTime Point of Sale Computer Overview Use these instructions only when you are replacing the MealTime Point of Sale computer that hosts the MealTime database (mealtime.mdb). Before You Begin Before you begin, you will need: A backup of MealTime Point of Sale that you create when you are ready to move data to the new computer. You create this backup by selecting Utilities > Backup MealTime Data. Be sure to select Yes when prompted to backup your customer photos. Access to the latest archive backup file for MealTime Point of Sale. Archive backups are created when you archive MealTime, are stored in the same location as the end-of-day backup files and are named MTLArchiveyymmdd.zip (where yy = 2 digit year, mm = 2 digit month and dd = 2 digit day). A login that has Local Administrator rights on the new computer. The license key (located on a USB or parallel port on the old computer). The MealTime installation CD or access to the downloaded installation files. Any input devices that were attached to the old computer (e.g., keypads, barcode reader, Touch N Go finger scanner and its accompanying installation CD, etc). The new computer s name (UNC) or static IP address. Step 1: Install MealTime Point of Sale on the New Computer 1. Verify all network login accounts (such as those used by the staff that run MealTime to serve meals) work and provide access to network drives used to store backups or transfer data. 2. Login using a user account that has Local Administrator rights on the computer. This is necessary in order to install MealTime. 3. Install MealTime/POS on the new computer from the CD or by accessing the setup.exe installation file from an external or network location. 4. Insert the license key from the old computer into the new computer s USB or parallel port. Windows will find the device and install the drivers automatically. (The drivers are included as part of the MealTime installation.) 1 Replacing a MealTime Point of Sale Computer Rev. 06/10

2 Note! When using a USB license key, if the key is not detected, try switching to another USB port. USB license keys have a red light that glows when properly installed. 5. Connect any keypads or barcode readers. If the keypad/barcode reader is a USB device, it will automatically be set up for MealTime. Serial devices require additional setup in the MealTime program. Make note of the serial port number(s) to reference later in this document. If you are connecting a Touch N Go finger scanner, make sure to follow the installation instructions on the original CD that came with the finger scanner. 6. If you have more than one computer that uses MealTime, share the c:\mtwin folder on this computer and give the other user logins full permissions to the folder and files. Step 2: Restore the Active Data 1. Start MealTime by double-clicking the MealTime Point of Sale icon on the Desktop. 2. When prompted for an Installation Type, click OK. 3. Select Utilities > Restore MealTime > Restore Active Data. A password prompt displays. Contact MealTime support at to obtain the password. 4. Enter the password and click OK. 5. Browse to the location of the backup file you created and double-click the backup file you want to restore. The file name is usually MTLBackup.zip. The restore begins and you are prompted whether to overwrite the Mealtime.ini file. 6. Click Yes to All. After the backup is restored, log into MealTime. 7. Click OK. Note! MealTime POS backup files do not have names unique to the school. Verify that the school name in the title bar is the correct school to be restored. If the incorrect school was restored, select Utilities > Restore MealTime Data > Restore Active Data and restore the correct backup file. 2 Replacing a MealTime Point of Sale Computer Rev. 06/10

3 Step 3: Restore the Archived Data 1. Select Utilities > Restore MealTime Data > Restore Archived Data. A password prompt displays. 2. Enter the same password used to restore the active data and click OK. 3. Browse to the location of the archive backup file and double-click the archive backup file you want to restore. The file name is usually MTLArchiveyymmdd.zip (where yy = 2 digit year, mm = 2 digit month and dd = 2 digit day). You are prompted to verify the file and path name. 4. Click OK if the information is correct. 5. Click OK. Step 4: Set Up the Terminals, Touch Screen Computers and Serial Devices Note! If you are not using a touch screen computer or terminal, you can skip to step 5 of this procedure. 1. In the toolbar, click Customer and double-click any customer to open the Customer window. Without making any changes, simply click OK and then close the Customer Finder window. This action creates an instance of this new computer in the Terminal definitions. 2. If you are using a touch screen computer, select System Setup > Point of Sale > Point of Sale Terminals. In the Find Terminal window, select the name of the Terminal that matches the name of this computer and is set to Port 0. Click the Edit button. You may see several Port 0 entries; don't be alarmed by this. A new Terminal record is created for every computer that attaches to this database. 3. If you are using Point of Sale Terminals (either single or through a Multiplexer), select System Setup > Point of Sale > Point of Sale Terminals. In the Find Terminal window, select the POS Terminal and click Edit. Make sure the computer name listed in Connected to Computer, is the same as the computer name listed in This Computer s Name Is. If Connected to Computer is not the same, change the Connected to Computer to match the computer listed in This Computer s Name Is. 3 Replacing a MealTime Point of Sale Computer Rev. 06/10

4 4. Click the Templates tab. From the drop down list, select the correct template for Breakfast, Lunch and Other. There may be only one template defined and you may set each of these to the same template. 5. Click the Auxiliary Ports tab. From the drop down list next to the corresponding COM port, select the serial devices (keypads or bar code scanners) as were noted in Step 1, Item 5 above. You do not need to configure USB devices here, only serial. 6. Click OK and then click Exit to exit the Find Terminal window. 7. Test the touch screens or terminals by clicking Touch or Terminals on the toolbar. If you receive a message that there is no template defined, repeat Steps 2 through 4 of this procedure to ensure a template is defined for Breakfast, Lunch and Other. 8. Test the serial devices. Step 5: Modify the MealTime.ini on Other Client Computers If you have more than one computer that uses MealTime Point of Sale, you will need to modify the mealtime.ini file on those computers to specify the new computer name or IP address. 1. Browse to the c:\mtwin folder on the client computer. 2. Open the mealtime.ini file using Notepad. "Software\CLM Group\MealTime Local\Database","Path", \\computername\mtwin 3. In the example above you would modify computername to match the new computer name or IP address. 4. Save the file. 5. Repeat on all MealTime Point of Sale client computers. Step 6: Confirm You Can Start MealTime Point of Sale on the Client Computers Double-click the MealTime Point of Sale icon on each computer that runs it to ensure Point of Sale starts without errors. If you can reach the login window, you have succeeded. Step 7: Change the Connect Path in MealTime Central Office If your district uses MealTime Central Office, you need to update the connect path to specify the new computer. 1. 5 3. Double-click the school whose main Point of Sale computer was replaced. 4. Click Path then Browse. 5. Type the new computer name followed by the shared folder name (usually mtwin) then click OK.
