2 EARNEST MONEY DEPOSIT (EMD) 1. EMD of Rs.5000/- (Rupees Five Thousand) only in the form of Demand Draft drawn on any Nationalized Bank in favour of The Director, Central Institute of Classical Tamil, Chennai payable at Chennai must be submitted along with the tender. 2. The bidder should write the organization name at the back side of the DD. 3. Bids without EMD will be rejected. 4. No exemption from submission of EMD is allowed. 5. EMD shall not carry any interest. 6. EMD of unsuccessful bidders will be refunded after placing of work order to the successful bidder. 7. EMD of successful bidder will be returned after submission of performance security in the form of Bank Guarantee. PERFORMANCE SECURITY The successful bidder shall give performance security in the form of Account Payee Demand Draft / Fixed Deposit Receipt from a Commercial Bank, Bank Guarantee from a Commercial Bank amounting to 10% of the total Contractual value in favour of The Director, Central Institute of Classical Tamil, Taramani, Chennai Performance Security should remain valid for a period of sixty days beyond the date of completion of all contractual obligations of the supplier including warranty obligations. The Security Deposit will be refunded only after the expiry of the contract. Scope of Work of Comprehensive Annual Maintenance of CCTV Systems 1. All the Cameras installed in first and second floors of CICT like Camera of Hikvision Make, HP Proliant ML110 G6 Server of PCNVR with Power supplies and Network Cabling etc., related to CCTV Systems shall be maintained by the contractor with Preventive Maintenance i.e., once in every month during the contract period to ensure proper functioning of the CCTV Surveillance System. 2. Certificate of authorization of service of installed product i.e., camera and NVR should enclosed with bid documents. 3. A monthly maintenance chart should be maintained and be signed from concerned authorities. 4. The Contract shall cover Spot Breakdown Maintenance, Preventive Maintenance and Servicing, Repairing of cameras, Transportation of cameras. The efficiency of cameras and other equipments shall be ensured.

In case of defect due to force majeure conditions needing replacement of CCTV cables, power cables and other spares (which are not covered in AMC) shall be arranged by the contractor with prior approval of cost and make and actual charges shall be claimed separately by submitting proper supportings.

4 Terms & Conditions Annexure 1 1. The Bidder must submit evidence of at least one similar nature of work done by him within a year. 2. The bidder must under-take to ensure that sufficient standby cameras / spare parts / wire etc, are kept in readiness so that there occurs no lapse in the security system of the institute. 3. Bidders are advised to study all technical and commercial aspects, instructions, terms and specifications carefully in the Bid document. Failure to furnish all information required in the Bid document in every respect will be at the bidder s risk and may result in the rejection of the Bid. 4. Bidders are advised to visit the Institute premises to view the location and type of product installed before submitting the bid documents. 5. The rate shall be quoted on per unit basis and inclusive of all taxes / VAT s and other charges such as delivery, installation and commissioning etc. 6. Bidder should attach copy of experience if any, along with necessary endorsement. 7. The cover thus prepared should also indicate clearly the name, address and mobile number of the bidder to enable the bid to be returned unopened in case it is declared late. 8. Bid document should be signed by authorized signatory of firm or by proprietor himself/herself. Certificate of authorization should also be attached. Interlineations, corrections, erasures and/or over-writings shall be valid only if initiated by the persons or persons signing the bid. 9. All payments are subject to statutory deductions as and when applicable. 10. CONTRACT PERIOD: The Contract is valid for one year. The Contract period may be extended further to successful bidder if performance found satisfactory. 11. PAYMENT: Payment will be made on quarterly basis on submission of bills in triplicate by the contractor. The rates remain same during the entire period of the contract and no escalation shall be payable under whatsoever reason. No sub-contractor will be engaged without written permission of the Director.

The Director reserves the right to terminate the contract at any time without notice if the work is found un-satisfactory and also get the work done through any other agency at the risk and cost of the Contractor. 13. In case of any technical snag it should be attended within 24 hours. However, all efforts should be made to attend the snag forthwith. 14. CONTRACTORS RESPONSIBILITY: The firm should ensure that no delay should occur in responding, attending to any complaint, problem such as repairing, rectification of cameras. In the event of any consistent delay or failure in attending the problem of cameras for two or more occasions in a span of 7 days, the Director shall reserve the rights to cancel the contract forthwith and also to make alternative arrangement at the full risk and cost of the firm. Such cost would be recovered from the periodical service bills in addition to imposing a penalty for each such incident of delayed reporting. Penalty will be decided by Director, CICT Chennai. Documents to be submitted with Tender The Tender properly bound and serial numbered shall essentially contain the following: - 1. EMD for Rs 5000/- from any Nationalized Bank in the name of The Director, Central Institute of Classical Tamil, Taramani, Chennai 113 payable at Chennai. 2. Copy of TamilNadu VAT Registration Certificate 3. Copy of TamilNadu VAT Clearance certificate 4. Copy of PAN Card 5. Copy of IT Clearance Certificate for the last two assessment years. 6. Certificate of Authorized Service Partner of CCTV Surveillance System. 7. Copy of Certificates from the Organizations for which they worked/working and having completed the Similar works by the Tenderer during last two years 8. Price quotation as per annexure 3. Bids not conforming to the above mentioned requirements are liable to be rejected. The Director reserves the right to accept or reject the lowest bidder either in part or in full without assigning any reason thereof.
