1 3/6/2013/Vig/HO To, Reputed Suppliers of CCTV Sir/Madam, Sub: - Procurement of CCTV reg The Marine Products Export Development Authority (MPEDA) is a Statutory Body established by Government of India to promote and regulate exports of marine products from the country. MPEDA intends to procure and install CCTV system in its premises at Panampilly Nagar, Kochi. Sealed quotations are invited from the eligible vendors who are experienced and authorized to supply and install CCTV as per the Scope of work and Specifications in Annexure 1 and Special Terms and conditions in Annexure 2. The quantity required may vary as per requirement The quotation must contain/specify cost of all materials and labor required for successful installation and maintenance of the CCTV. Eligibility of Vendor: 1. The vendor shall be a registered and authorized supplier of CCTV with TIN and VAT. 2. The vendor shall have minimum three years experience in supply and installation of CCTV in similar organizations. 3. The vendor shall enclose with quotation the copies of work orders received from Government/Quasi Government departments for supply and installation of CCTV which was successfully executed by him. Terms and Conditions: 1. The sealed quotations (Superscripted on top of the sealed envelope as Quotation for CCTV ) enclosed with EMD in the form of DD for Rs 5,000/- in favour of Secretary, MPEDA shall reach the undersigned on or before 11 th July The selection of the agency will be based on the previous experience of the vendor in executing similar work in government/quasi government departments and the rate quoted for the materials. 3. The CCTV shall be installed at MPEDA as per the instructions of the competent authority within 07 days from the date of the work order.

3 4. The rate quoted shall be the unit cost of the material and labor which shall be quoted separately. 5. The quantity required may vary as per the requirement. 6. Payment shall be released within 15 days from the date of completion of the successful installation and submission of tax invoice in duplicate in the name of Secretary, MPEDA. Yours faithfully, B. 4 Annexure I SCOPE OF WORK 1. The Scope of the work is the Supply, Installation, Commissioning and Maintenance of Closed Circuit Television Systems to cover sensitive areas of MPEDA HO and the connectivity of all the cameras to DVR 2. The CCTV cameras shall be mounted at Main Gate, Reception front entrance, Side entrance, Back side stair case of ground Floor and corridors of 5 floors and such other places as instructed by the competent authority. 3. System shall provide sufficient storage of all the camera recordings for a period of 90 days. 4. System shall have facility of additional camera installation beyond the originally planned capacity with the existing DVR capacity 5. System should facilitate viewing of live and recorded images and controlling of all cameras by the authorized users present in the LAN and internet. 6. The Recording of CCTV cameras should be clear & the recording resolution should be of D1 quality. The DVR should also give the 25fps per channel on live display and recording. 7. The CCTV Cameras, DVRs and LCD monitors shall be of reputed brands such as Sony/ Panasonic/ Honeywell/ Samsung/ CP Plus/Hik Vision/Dahua. The Hard Disk shall be of Samsung/Seagate. Cables, casing, connectors etc shall be with ISI mark. TECHNICAL SPECIFICATIONS 1. 6 Annexure II SPECIAL TERMS AND CONDITIONS 1. The Tenderer shall submit along with the tender an EMD of Rs. 5,000/- (Rupees Five Thousand Only) in the form of Demand Draft in favour of Secretary, MPEDA. The EMD should be submitted in a sealed cover marked on the outside with the word EMD. The EMD of unsuccessful Tenderer(s) will be refunded, after short listing of proposals, without any interest. In case the tenderer withdraws from the process, the EMD deposited by him will be forfeited. 2. The tenders received after the prescribed date and/or time or without EMD will be rejected. 3. This enquiry notice can be downloaded from MPEDA website at for tender submission. 4. Tenderers are advised to visit the site of installation of the CCTV System and understand the nature & scope of the work to clarify doubts of any nature before quoting. 5. Cost shall include all taxes, duties, entry tax, packing, insurance, forwarding and installation charges. 6. All the payment related to work would be made after satisfactory completion of installation and testing. No advance payment shall be made by MPEDA. 7. Proposal shall include documents to prove quality of products, service support and technical competence. 8. The offer shall include delivery time, validity of quotation and warranty period. The delayed delivery would cause penalty of 0.5% of the total cost per week. 9. Offers which are incomplete in terms of scope, items or specifications or required details will not be considered and such tenders are liable to be rejected forthwith.

7 10. The tenderer has to ensure availability of spares and service support for a period of 5 years 11. Warranty/AMC cost for a total period of 5 years shall be quoted to cover all costs including labour, onsite service and replacement of parts and software up gradation. 12. Successful tenderer shall ensure the proper monitoring and ensure the timely call attending. 13. The delay in rectification of calls would cause the penalty of Rs.300/- per week for each CCTV 14. Continued fault after the warranty period, with any of the critical equipments like DVR, Cameras for a period of one month would result forfeiture of the security deposit. 15. List of items not covered under Warranty/AMC should be specified. 16. Unit cost of items shall be quoted for placing orders in future for additional items 17. Warranty/AMC cost for 5 years (1 Yr Warranty+4Year AMC) will be taken into consideration in the evaluation of proposals. 18. The tenderers shall have minimum 3 years of experience in the relevant field 19. Quantities shown in the tender are approximate and payment shall be made as per actual measurements. 20. The tenderer shall quote rates for all materials and works related to the installation and future maintenance of the CCTV system at MPEDA.
